Resignation from the post of Secretary of Elita Garden Vista Cultural Committee

All,

Due to some unforeseen events in the last few days, I think its time I
resign from the post of Secretary of Elita Garden Vista Cultural
Committee with immediate effect. Please allow me to iterate few events
happening over the past few months:

1. During the month of April I called up one of the fellow residents
of EGV, to start planning of Durga Puja. Few residents gathered and a
puja committee was formed. The initial budget is the next meeting was
estimated to 3-4 lakhs. With tentative 100 residents the per head
contribution was decided to be 3000/- to 4000/-. Some of committee
members objected to this amount as its very high. It was decided that
the budget was to be reduced to an affordable amount.

2. 2 months passed without any progress. In the meantime i tried to
followup twice with the same resident regarding the progress of the
durga puja. The first response from the resident was we donot have
sufficient manpower to do the puja. When I said whatever number of
residents including committee members are present we can work out a
plan, the said resident told me "We are committee members, we are not
going to do any ground level work". It was a shocker to me. The second
response was in bengali which when translated to english stands as
"Why do we need Durga Puja? We will do some fun (Masti in Bengali)
during that time".

3. Towards the end of July after we had the meeting with Surekha
officials I took a leave from office on a weekday and talked to few
local people and went around 3/4 villages (Akandakeshari, Patharghata,
Shikarpur, Kadagram) for obtaining the estimate of the cost involved
in Durga Puja. Additionally I also visited few durga puja committees
in Kolkata and Kumartuli (to get an idea of durga pratima). Based on
my findings I published the estimates in both mail and facebook.
Overall response was positive. A meeting was called in few days to
form a EGV Cultural Committee. I was nominated for the post of
secretary, Mr Amalendu Kumar for president and Mr Rajan Prasad as
Treasurer. When we approached the other members for additional
participation they told that they are busy in office work/travel and
cannot spend time in contributing towards Durga Puja. I requested help
from few fellow residents regarding negotiation and booking of various
items of durga puja. No body came forward as they were busy with their
professional committments. Since we had little time left i negotiated
and booked purohit, durga pratima, decorator, flowers, doshokorma etc
based on my previous experience with Durga Puja and intimated all the
residents.

4. On 17th Aug a meeting was called and several sub-commities were
created. People who initially were not interested in participating in
Puja activities for various reasons mentioned above , suddenly didn't
have travel, office committments etc. Following are the subcommities:

a. Pratima + Decorator : Ambuj and Saikat
b. Dhaki : Ambuj
c. Puja : Ambuj
d. Food : Barun Rai and Souvik Bhattacharya
e. Immersion : Biplab Das and Sumit Sinha

5. For the past few days I was repeatedly asked the same question over
and over "Why did you book this item? This cost is way high, there was
no decision taken by the committee regarding this item." When I tried
to put forward the absence of any committee during the initial stages,
I was told the committee has been formed now and we should evaluate
and then decide and we should not dwell and quarrel over past
incidents. I was also told that this is not your personal puja, this
is public puja so approval of committee is required prior to booking.
Questions were raised on the expenses, how much withdrawl from bank
account, why the bank details are lying with the secretary and not
with the treasurer? This has put me in bad face in front of various
service providers whom I have committed.

6. With regard to food items during puja initially i booked a cook who
was interested in cooking 4 meals for 4 days with his cost at 8000/-
(i.e. 2000/- per day), cost of raw materials is ours as per actuals
(we need to purchase from market) and serving to be done by residents.
The cook was cancelled as he couldnot cook exclusive items and nobody
is willing to take the responsibility of marketing and serving.
Instead couple of caterers were asked for estimate (who are supposed
to market, cook, serve) , their estimate ranges at 2,00,000 + (approx)
for 70 ppl for 4 days and 3 meals (evening tiffin is exluded)

Below are the list of items I booked/paid :

1. Bill Book (2 pieces) and Puja Nirghonto (1 in english and 1 in
Bengali) : 420/- (fully paid)
2. Thakur Pratima : 15,511/- (15,500 for Pratima and 11/- for
Dokkhina), advance paid : 1011/- , to be paid : 14,511/-
3. Decorator:
Rise Lights (250 pieces) : 8000/-
Stand Fan (4 pieces) : 4000/-
Metal Lights (2 pieces): 880/-
Sound System (2 pcs) : 8800/-
Halogen (4 pieces) : 600/-
Stage : 7000/-
Chairs (50 pcs ): 2000/-
Chair Cover (50 pcs) : 4000/-
Round Table (4 pcs): 1280/-
Square Table (3 pcs): 480/-
Table Cover (7 pcs) : 1120/-
Table Filt (7 pcs) : 840/-

Advance paid to the decorator : 1500/- + 5500/- = 7000/-

4. Ink pad and EGV Cultural Committee Stamp : 25/- + 70/-
5. Flowers : 8000/- (advance paid :1000/-)

The bills for the above are with me, please collect the same at your convenience

Finally I never expected such push back for Durga Puja from a PREMIUM
complex residents and that too bengalis. One thing I learnt how to
destroy good will and committement and humiliate people. Good learning
for me :)

Dear ambuj,
The little that I know you your youth is betraying you. Every senior man like me knows that at in any public work these sort of incidents are common since it is always easier to criticise than to do a work. If you have taken up a responsibility then you must see it to the end since a lot of people have placed a lot is trust on you running into 50.s or 100,s whereas those criticising you do not exceed 10 oR 20.
You are learning the lesson now. Oldies like me learnt this long ago.
So the correct path will be to talk things over for which i request souvik to take the lead.
If someone objects to something give him the responsibility to be executed within the given time frame.
So as a gentleman you can resign only after the Lukas and not before.

All,

On 26th August I resigned from the post of secretary of Elita Garden
Vista Cultural Committee. After numerous emails and phone calls
following my resignation I was persuaded by some of the members of the
committee that everything will be resolved in due course of time.

However after a few days i started to realise that the situation has
not changed and it worsened every day it passed.

When I initially presented the budget, it was approved by all the
committee members. I contacted few service providers from the locality
as they are providing the similar services in the local pujo. These
service providers are cost effective and are readily available. I
booked their services and notified the committee members. Initially no
one opposed. As we are nearing the puja days several decorators (from
south kolkata, park circus) , food providers (from as far as
chandennagore) started appearing who are offering the same or less
service at a much higher price. The committee members are arguing
their case with a logic that local ppl doesnot have the capability to
provide service in a premium complex like EGV. Puja committee meetings
are a complete chaos with no decision whatsoever. Every thing I
propose is being opposed severely and questions raised on my
integrity/honesty. In a nutshell this is not a healthy environment to
carry on as a secretary.

Although I was told by committee members that I shouldn't have let the
larger EGV group know about the differences in group in my earlier
resignation mail (according to them matter to be resolved amongst us),
I am still letting you know that I cannot ethically support these
activities where I can foresee a fund mismanagement etc. This puja is
not done by the contribution of puja committee members but of all the
EGV residents/owners.

I hereby donot wish to continue as part of this EGV Cultural Committee
and I apologise to all that inspite of my sincere/honest effort I
could not go till the end to complete the puja due to factors
mentioned above.

My responses below:

1. Most importantly I request you to kindly hand over the statutory clearances
of state authorities to conduct the puja, expenses for which were covered
from the contribution made by the members/ flat owners .


<Ambuj> - In pursuant to my resignation from the Secretary of Durga
Puja Committee, I went to New Town Police Station to inform about the
fact of my said resignation,in writing.
At the Police Station, the concerned Police Official asked me to
surrender the original No Objection issued by the said P.S.granting
permission to hold Durga Puja, on the ground that the said Certificate
was issued against my personal name and not against the Post.
The Police official further stated that a fresh permission from from
the P.S.is required to be obtained by the New Secretary.
Any confusion in this matter may please be clarified from the New Town P.S.
Similarly, I also informed the agencies about my resignation in
writing along with the Original Certificates issued by them. This is
for your kind information.


2. The members pointed out that as on date all major contracts had been
finalised by you , advances paid without concurrence of other members.

<Ambuj> - In the meeting held on 31 July only following people were elected:
1. Amalendu Kumar - President
2. Rajan Prasad - Treasurer
3. Ambujakshya Ghosh - Secretary

The Durga Puja estimates were published on 28th July for approval of
all. In the meeting of 31 July the estimates were approved.
Accordingly I proceeded with the booking as there were no
sub-committee was formed as no one was willing to come forward to
participate due to their personal and professional committments. I was
told to go ahead with the budget and advance

On 1st August I went to purohit and pratima, had a discussion and
booked them with 1511/- (1500/- as advance + 11/- as dokhhina)

On 8th August I talked to the decorator, cook and florist (all local)
and got the estimates.

On 17th August president called a meeting stating concerns whether any
work has happened till date. Various sub committees were formed,
details below:

1. Decorator : Ambuj + Saikat
2. Food & Ashtami Bhog : Barun + Souvik
3. Cultural : Amalendu Kumar
4. Puja : Ambuj
5. Immersion : Biplab + Sumit

At that meeting the decorator, food and florist items were discussed,
the president requested for additional items w.r.t cultural activities
and promised to provide the list

Based on that discussion I emailed the president next day i.e. 18th
August regarding the list of additional items. The response to that
mail is yet to come

Based on the initial list I booked the decorator on 21st Aug with
7000/- as advance (total value : 45400/-) , booked the cook with
1000/- advance, booked the florist with 1000/- (total value :8000/-)
advance.

All the above mentioned activities were done after discussion with the
committee.

On 28th Aug meeting the committee was extended. New committee:

1. Decorator : Ambuj + Saikat + Ajay
2. Food & Ashtami Bhog : Barun + Souvik
3. Cultural : Amalendu Kumar + Barun
4. Puja : Ambuj + Surya + Ajay
5. Immersion : Biplab + Sumit

On 28th Aug the local decorator was called and was told that he is
charging more in all the items. He was literally foul mouthed and was
told that if needed will be contacted again.

On 28th Aug meeting decision was taken to call new decorators. New
decorators submitted the estimates as 87650/- (Mr Kumar's contact from
park circus) and 63450/- (Mr Ajay's contact from south kolkata)
respectively. Once I put my resignation last saturday, the local
decorator was called again on 8th Sep and the initial contract was
cancelled and was given a list of new items which he submitted an
estimate of 76K approx. I can provide the further details later

2. The members expressed deep anguish and hurt at such defamatory allegation
and were unanimous to term these as false and baseless .

<Ambuj> - The mail I sent on 5th Sep said I could foresee a
mismanagement of funds. The simple reason being when the local
decorator and cook are providing services at low cost the same
services were asked for at higher cost from ppl as far as park circus,
south kolkata , chandennagar etc.

Additionally the south kolkata decorator called me (not sure from
where he got my number) and pleaded to accept his services as the
person who brought him is supposed to be an influential member of a
certain club and he would loose his contract at that club if he
doesnot listens to his word to provide decoration service here. He
also offered a financial deal to me, which I refused. I resigned the
next day

With reference to the word "defamatory allegation", I was threatened
by Mr Amalendu Kumar as not to allow me to do the puja if I donot
follow his orders on 28th August. This i too consider as a defamatory.

3. Vide this mail I request you to hand over all stationary, bill book, rubber
seal, money receipt etc to Shri Barun Rai, Secretary, EGV Cultural
Committee

<Ambuj> All except money receipts already given to Rajan Prasad and
was received, Money receipts with me will provide the same soon
