Good morning ladies and gents,

Firstly apologies to those who still have not received group invites,
they were sent last week and again yesterday. I cannot diagnose
exactly what the problem is, because others seem to receive them
instantly and others not. Technology is letting us down.

None the less I have cc'd people who have been sent the invite but
still haven't joined the group so that they are also kept in the loop
about developments with the programme/project.

I have started with the interim Constitution. Just to give context,
the bank (Nedbank) requires this to open the club bank account. As
well as three trustees.

Please read through the interim Constitution below, and make
recommendations. Obviously it is very high level for now as there are
still logisitcal issues to sort through before we become specific
about schools, etc. It is basically a skeleton of the initial idea.

Please can we have these suggestion before Thursday.

Also please can people who are keen to be trustees for banking
purposes please let us know.
This is an urgent issue and the deadline for showing interest is also
Thursaday, because we need to go visit the bank on Saturday morning
with whom ever is interested.

I can find where to attach a word document on this google group so I
have had to cut and paste the document directly to the email which
looks squashed and not formatted.

I will send an email from my account with it attached in the .word
format.

Constitution
Aims:
The aim of the programme is to empower rural youth in high school
through sponsorship and mentorship.
The programme aims at all times to work in harmony with the identified
school(s) and community.
Objectives:
To provide study material for high school students, particularly study
guides and/or textbooks for pupils to prepare for examinations from
early in the academic year.
To provide moral support for the scholars through mentorship.
To establish a network of sponsors, donors and volunteers to assist
with the running of the programme.
This is done in order to improve the pass rates and also to deepen
understanding of academic work studied, as access to study material is
limited in some rural communities.
To programme aims to foster a spirit of “ubuntu”, through exposing and
allowing youth to participate in the betterment of society by
investing in education.
Functions:
The programme is not to replace classroom teaching, but to supplement
the teaching.
This is to be done through the collection and distribution of study
material to scholars.
The function of the mentorship programme is to increase levels of
confidence of students through motivation by peers who are older, and
to provide career guidance where necessary.
Roles:
Financial Management (3 Trustees):
To keep stock of the funds entering the account, the sources of funds
and acknowledging receipt of funds.
To ensure the funds withdrawn are used to fulfil the function of the
group.
To be held accountable for the use/allocation of all funds.
To provide proof of use of funds at all times.
The trustees are to give feedback monthly of the financial position to
stakeholders and to perform tasks in a transparent manner which
includes providing bank statements every second month to the funders.
Fund raising:
This is a responsibility of all stakeholders through advertising and/
or giving donations.
The group fundraising initiatives are to be co-ordinated by a
fundraising committee to be established.
The group name is to be used for fundraising activities that the
committee have been made aware of and approve.
All funders must be acknowledged in the financial report; if funds are
given anonymously they must be disclosed as such with the exact
correct amount.
Study material allocation:
The allocation of study material is to be done on a needs basis in
consultation with the teacher of the targeted school.
Mentorship programme co-ordination:
A mentorship programme is to be established to encourage the learners
consistently through the year.
Communication between the mentor and the mentee is to be maintained
from March to November or end of exam period.
The allocation of mentors to scholars is to be done by the mentorship
co-ordinator.
The preferred communication channel is to be chosen by the mentor, and
to notify the mentorship programme co-ordinator prior to the
allocation time.
Administration/Communication:
The communication within the group is the responsibility of all
members; all members are to maintain reasonable etiquette standards
when expressing their views on topics with regard to the programme.
The group page on googlegroups is the main interim communication
channel between members, to communicate.
Invites to the group will be issued to the discretion of current group
members and the group is open to the public, please advise the
googlegroup manager if you wish to invite more members and supply
their email address.
Personal contact details are not to be given to the public without
obtaining prior permission from the person whose personal details will
be given put. Under no circumstances are they to be given without
prior permission. Members who do not respect this rule will be
expelled from the googlegroup.

Hi all

Read through the constitution. These are things/questions I need clarity on, and some opinions:
• I'm still thinking about a name.
• Is our decision to run this project in only high schools? If so, what's our reason?
• I think it's good that we haven't specified, and therefore restricted, the forms of "sponsorhip and mentorship".
•Fifth objective: is it supposed to be "To programme..." or was it meant to be "the programme" ?
•Maybe it's important to state that all that's stated in the constitution that all that is stated in it does not "disallow" more work in any way?
•I think deciding who our trustees are is VERY urgent.
•The point above brings me to the fact that we also need to be immediately clear on exactly who's involved in this project.
•I take it as we know our group members and decide on what we want to do, how we want to do it, and where we want to do it we will then deal issues such things not allowed to be done "in the name of the group" or with the name of the group?
•In "Study material allocation" should it not read "teacher(s) of targeted school(s)" or "teacher (s) of each targeted school" ?
•I take it clarity on other roles such as the mentorship co-ordinator will come when we know how many people we have in the group?
•I also take it that the questions I raised in the email I sent, and the question raised by some of my suggestions and those of others, will be addressed once we know who's in the group?
•I think it's important to note that this constitution is an interim constitution, or a working document.

That's all that came to mind for now. Will be sure to email should anything else pop up. Let's do this properly, we don't even have to rush it :)

Furthermore we need to figure out a role for those who aren't based in EL, will we have something that we do over the holidays especially summer holidays or will we only have the role of ensuring study material is received. Hi all.

Has it yet been established how many people there are in this project? Would it be possible if there could be a meeting with those who are in East London? Could we appoint a task team or is that unnecessary?

My worry is that we have new ideas everyday, which is good of course, bt there must be a time when we have to implement them. I remember not so long ago Sibo came up with suggestions of spotting different schools instead of a single school, but I don't recall any response to that, so I take it that we all agree.
