I've had a major setback and I am going to need some help pulling all
of this together. Can we make plans to have regular online meetings
until the reunion and have at least one 'finishing the details'
meeting at my house? I could also use some help in getting all of the
vendor stuff, etcetera finalized.

Sure, just let me know when and I'll be there. I'm off at 5 most days
and can be in Eatonville by 6. Im off Wednesdays all day.
I had a chance to go into Bruno's...I think we need to ask them to
pull out the front small tables so we an have room to stand. Also, Im
getting some balloons for the outside patio area..blue and white. Just
minor things.
My husband has a truck if we need it to pick up things. I dont think I
can get that Friday off or to leave early, but we'll work it out. What
else can I do to help?

Carole-

Are you available this weekend? I need help in pulling the details
together... the caterer is supposed to come by this weekend and I'd
like to get the bartender there too, so that they can claim their
space... but other details of table and chair placement, etcetera I
could use some help with. How are we coming on getting $$$$ in? Bill
paying is another immediate issue, maybe I can pass those on to you so
that you can pay them directly? I am sequestered from the public for a
couple more days, so that might be easier than you getting the checks
to me. The immediate issues are insurance and the balance on rental
equipment. We've got time on the DJ, the portable toilets are COD, and
the caterer is the Monday before the reunion. I will be able to get
off work a little early that Friday (that is if I ever get back to
work ;) ), so either I will be there for the delivery or my parents
will be there and I think they can be there for the delivery of the
toilets. So, set up Friday before the icebreaker and during the day
Saturday will be the only times I need you to be there... you won't
need to leave work too early on Friday.

My friend found some centerpieces at the dollar store in blue and
white... If you haven't come up with anything yet, when I am feeling
better, I will go grab some of those for the tables. Also, she said
there are some little plastic trophies six for $1... should we get a
couple of those to go along with the certificates? I got blue
tablecloths for the tables that will be under the tent. We do need to
buy soda and water... any other non-alcoholic drinks? I was thinking
about making ice tea and havin it in a big dispenser? I dunno, tea and
water are the only thing I consume, so I don't know what to do as far
as soda and other drinks. I could probably have my Mom pick up stuff
at Costco once I get a list of what we should have.

I'm sorry I got sick so late in the game, but with a little
adjustment, we can still pull this together.

Chris~ Didnt know you were sick. I must have missed a chat or
something. Hope you are doing better. Whats the matter?
Ok, so lets see.
~I just called Jamie Drexler Jonientz..saw her uncle at the Art
Festival...and left a message for her to call me. Michelle Gallaghers
mom is going to post an ad at EatonvilleNews (?) Cant remember her
sight. I also will contact the Dispatch again and ask her to run our
ad in there. It is free as long as space is available in the paper.

What am I looking for? I bought the megaphones and Im gonna try to
customize our logo or EHS or something on them myself. I thought we
could put those on the tables too. But, I'll be more than happy to get
what you mentioned, just give me a few more details on what Im
searching for. Let me take care of it, I dont want you to have to do
any more running around for the little things than necessary. I'll get
some candy dishes too, like I mentioned for nuts or candies.

~I am available this Sunday. Saturday I have to pick my son up from
Camp in Olympia...I can do late Saturday or anytime Sunday. Im good
with anytime! And actually Sunday works better.
~ I have only received one check from Terri Fuller Ise. Thats it. Im
not panicking, just thinking everyone is going to wait till the last
minute. Are you getting any paypal payments?
~I will be there Friday to help set up at Bruno's Whats a good time
for everyone? We could all meet there early if Bruno's will let us. Is
it all ours that night?
~ Iced Tea will be yummy, and if you like it, id say sure! If its not
a huge hassle. Why dont we all buy a water/pop? Each of us get a pack
from Costco? That way the expense isnt all on you, and your mom doesnt
have to haul it in and out...we can all buy and bring one each
ourselves?? Is that too big of a hassle?

I think that each of us picking up a case of water and soda at Costco
is a great idea. Let's break it down... I will get diet Coke, you get
Coke, Terry can get 7-up/Sprite, Bob get another cola - Pepsi or Diet
Pepsi?

I am just going to put on my regular 12 cup coffee pot for the evening
and I will make a dispenser of ice tea.

I can grab the centerpieces. Since I am able to get out now, little
trips like that do me some good... I'm going stir crazy right now. Is
there anything else I should grab at the dollar store?

Any luck on RSVPs? We need to get the insurance policy paid so that we
can lock in this price.

i got the centerpieces, i think they will work well with the
megaphones you got. i also found some citronella candles in mini
flower pots, those will go well on the tables, too.

meeting on sunday will be fine, carole. i will be at my place all
weekend.

on my part? I also got the copypaper for the awards, so I'll try to
get my husband to print that and bring that out too. I still need to
make the ballots for the awards, but that shouldnt take long.
The more I get done and brought out to you, the better for me,
otherwise I'll space. Do I need to get the trophies you mentioned?
Did you see them when you were out?

Updated roster. I called everyone we have phone numbers for that have been sent an invitation one way or another. I reached several people and left messages everywhere else. Should have more info later. (The pink fields are RSVPs but not sure if it's one person or two.) Can we get together tonight to talk about the remainder?

a couple of things:

i'd like to get white tablecloths for the tables and put the blue
plastic tablecloths over them, but they are $18 a day to rent, which
seems ridiculous. anyone have any ideas on how to get these cheaper,
or should we just skirt them with crepe paper or something similar?

can i get the committee members to pay for their RSVPs? that will
cover the insurance that is due and it looks like we may need to front
the liquor for the bartender, too.

We have 4-48" round tables... I'm not sure what size tablecloths that
would be, 96" round? I think they usually say on the back what size
tables they are for.

More details:

We need to set up a "smoker's lounge"... my mom has some tall planters
I can fill with sand to use as ash trays and I was going to make a
sign to guide people out there... anything else that needs to be done
for that?

Preliminary talks with the bartender- two or three kinds of beer and
wine, some pre-mixed drinks ( i.e. cosmos, lemon drops, margaritas)
and a few selections of liquor. Anyone have input on this?

I am trying to hire one or two people to be parking directors/
buspersons/gophers. I've got a lead on one 17 year old girl, but if
you guys know of anyone else who would like to make a few bucks, I
think this would be a really good idea so that we can enjoy the
evening and not spend our time picking up plates and refilling food
platters.

Okay, now I am getting into full-detail obsession (I am feeling
better, if you couldn't tell). I'd like to leave the refrigerator
primarily for the use of the bartender, and I think it would be good
to have the non-alcoholic drinks available at different places (the
tent, inside, the deck...). I have one metal drink container and one
pull-along cooler. I am thinking three more medium to large size
coolers would be great and am looking for loaners for the event. If
you have one (or more) you're willing to loan, please contact me asap.

I'm going to make a couple signs to help direct with parking, but it
would be good to have someone at the gate for the first hour or so to
keep it orderly. Even with a parking attendant, my wedding (which only
had about 20 cars) turned into a free-for-all very quickly (it only
takes one knucklehead and all of the lemmings to fall behind to create
chaos).

We still need more citronella oil torches. I saw these on sale at
Party Central for 99 cents, but then got sick and didn't get by there
before the sale ended. If you see any super cheap, please pick up
about 10 of them and let me know you got them.

Do we want to set up for bocce ball or any other kind of outdoor
game?

Shut me down if this is way too much detail, but what about a map to
hand out with programs, or a "permanent" one by the entrance pointing
out the different areas, bathrooms, porta pottys, smokers' lounge,
etcetera?

yay! party! along with the stress, i'm getting jazzed for this :)

I am sure that I can buy 4 table cloths for less than $18 a piece. I have
to go do school supply shopping today and I will see what I can find at
target. White, right?

Re: smokers lounge. I think that sounds adequate.

Re: Bartender: the premixed drinks are usually pretty good and pretty
cheap. My suggestions for liquor are vodka, rum, whiskey and tequila.
Cheap brands tho. IF anyone wants anything better than monarch they can
bring their own!

As far as bussers and valet, maybe you can ask the guy at Bruno's to suggest
a couple people that work for him that have Saturday night off?

I have a mini fridge I can bring and at least one if not two 50+ quart
coolers.

I agree with the parking director idea.

What do you mean by the oil torches? Tall tiki-type that stick in the
ground?

Games are always a good idea. Anyone have a karaoke machine? (just
kidding)

Maps are a great idea.

Program: is Carole putting that together?

I think we should also put out a directory of contact information for
everyone to correct/revise/add to with the idea of publishing a formal one
for everyone to receive after the party. Even if it's just emails.

Also - what about disposable cameras? I was thinking about making photo
albums of the party (with Snapfish or someone that can make a nice
memorabilia quality book) and then selling them for cost plus postage after
the fact. Or maybe just cds to mail out. But would need cameras either
way. And of course anyone with a digital would be welcome to contribute
their pics.

Also, I was thinking of putting the little notebooks on each table for
comments and addresses. We can write down our thoughts, addresses
whatever and then we'll take those and compile into a book or

I think the cameras are a good idea.

Carole, that would be great if you could ask your niece's roommate. If
she is interested have her call me. I haven't had much luck finding
anyone. I'm thinking we will probably need the person for 6 hours (or
should we have them for longer for set up help? We're probably not
going to be at the top of our game thanks to the icebreaker and it
might be good to have some non-hungover help during the day...), $12
an hour? A driver's license is a must, prior waitstaff experience is
highly desirable.

I'm thinking middle shelf booze, especially since we're probably going
to get to divide up what's left over and I'd rather not have Monarch.
I agree with whisky, rum, vodka, and tequila. Are we in agreement on
cosmos, lemon drops and margaritas for the pre-mixed drinks?

Ok, My niece is coming over today and I will ask her again about her
roomate. I will get back to you on Thursday when I get home.
I will probably bring some of my own drink stuff, not sure yet,
depends on the damage I do to myself Friday night and how I feel! LOL.
All those drinks sound great to me.
