Hello everyone

Thanks to those who could come to the meeting tonight I think we got a
lot done and I am excited about our ideas!

Here is a summary of what we discussed and some action points to work
on before the next meeting

LAUNCH TEA PARTY

In order to attract new members to our group and to create a bit of a
stir (get it?!) we have decided to hold a Tea Party in East London

We want to hold an event people can be involved that is a launch for
the group and Claire thought of holding a tea party which is great as
Alice in Wonderland is current and eating cakes and drinking tea is
uber cool!

Tonight we also wrote up a base plan for the groups objectives and how
to acheive the aims of Oxfam through our group which I will also type
up as a sort of guide we can refer to when planning future events

TEA PARTY IDEAS - what will happen at the event? Ideas we came up with
were:

a mug swap or bring quirky china
a Lucky Dip of tea bags (everyone bring their favourite tea and puts
it in the lucky dip box!)
live music, DJ or accoustic musician
food (Lucy can apply for this through Oxfam's link with the Coop or
Tessa can ask her food suppliers through work or ask a local cafe to
donate cupcakes...mmm)

AIMS- what do we want to achieve at the event?

to promote the East London group
for people to sign up to our group by collecting their email addresses
speak to people about our aims (ie future events such as stalls; film
screenings; art installations & projects)
develop local links with businesses that may be able to help us in
future by providing venues etc
invite press along and develop links with local papers

ACTIONS - what do we need to do now?

LOCATION - CLAIRE to ask Dalston Oxfam shop if we can use the shop to
hold the teap art on a Sunday afternoon (this would be good to help
with getting shop volunteers interested in our group)
- option 2 is to ask a local cafe such as 'Tina We Salute You' in
Dalston; The Hackney Pearl in Hackney Wick (TESSA & CLAIRE to arrange)

DATE - proposed dates are SUNDAY 6th JUNE or SUNDAY 13th JUNE - PLEASE
CAN EVERYONE LET ME KNOW WHICH IS BEST ASAP!

PROMOTION - once date; location & time (some time between 1-4pm?) are
confirmed we can decide a theme for flyer and poster - ALEX to design
CLAIRE to set up a Facebook Event group
LUCY to reproduce flyer and poster
TESSA to co'ordinate handing out promo material
TESSA to invite local businesses to event & ask if we can run a stall
to promote the event in their venue beforehand (venues suggested are;
Rich Mix; Vibe Bar; Cafe 1001; Rough Trade)

Group to decide a 'draw' for press & MP?

OTHER ACTIONS - I will look for other local events we coud possibly
run stalls at over the summer & bring to next meeting

For members that were not there tonight please let the group know of
ideas you have for the Tea Party and ways you can be involved as it is
our first group event so we want it to be a success!

Next meeting is on TUESDAY 11th May at Rich Mix at 7.15pm see you
there!

Hi everyone,

Sorry I couldn't make it tonight, work deadline had me glued to the computer.

Excited about the tea party idea though! One suggestion for a venue from me would be the Gallery Cafe in Bethnal Green. They are a hippy, green-friendly, veggie place so I imagine they would be up for it. They often have live music so could be a way of getting someone they have had before to play. If not, they would definitely be able to put a couple of flyers up.

I can make either of those Sundays at the moment. Let me know if there are any jobs I can help out with. I'm happy to try to send out any emails/contact businesses.

I can do either date but the 6th would be better for me. I have asked the question about using the shop, Steve and Kevin are going to talk it over and let me know. I think we should find some alternative venues as a plan B, as I think they are not too keen on the idea. There is quite a lot involved in setting up and putting the shop back together, if we don't have enough volunteers from the shop or campaigns team this will be a lengthy task, there are a few other issues too that need to be discussed too. Hopefully we should know by the end of this week, but I think we should get our thinking caps on for alternative venues.
 
I will keep you posted.

Hi everyone

Ok let's set the date as Sunday 6th June from aorund 2-4pm.

Alex - can you get started on the poster and hopefully we can confirm
the venue by the end of this week

Claire - thanks for asking the shop but in a way I think it would be
better to hold it in a cafe as they will have food and drink
facilities


VENUES - Leila can you ask the gallery cafe in Bethnal Green if they
would consider having our tea party there? Claire are you able to ask
Tina We Salute You in Dalston? I am away next weekend and don't get
home until 7.30pm so can't go to either place but could ring or email
if you are not able to pop in. WE could ask for free tea in return for
advertising!

If anyone else has any other ideas for the venue email as we need to
get it confirmed so Alex can complete the poster / flyers.

Hello Everyone

The next meeting is this Tuesday at 7.30pm in the Rich Mix. Please can
people confirm if they are coming; also have we got any further with a
venue for the tea party or the flyers?

Have just been roped in to helping out with Envision's fundraising pub quiz...

I will be there!
I have emailed Tina We Salute You as the are closed for refurbishment at the mo so just waiting to hear back from them. There is another cafe close to where I live and one on Church Street that I am going to speak to tomorrow so should have some venues to choose from by tomorrow eve.

Hi all,

I came along this evening, I was about 20 mins late, but I think everyone had left as there was an event going on in the bar.

It doesn't matter, it was on my way home(ish) but guess in future will have to check if there's an event when we have meetings and come up with a back up meeting place.

Sorry we didn't realise there would be an event on so went to a local
cafe to have the meeting. I did leave my number at the reception of
the Rich Mix in case other people turned up, sorry.

Hello Everyone

Here are the minutes for tonight's meeting:

TEA PARTY is at Tina We Salute You in Dalston - (Leila - still speak
to The Gallery Cafe as we can maybe hold future events there, but
'Tina' have definitely said yes to the tea party)

WHEN - 1-4pm on Sunday 6th June

AIM - to get people to come along and meet us, share their ideas for
the group & sign up to this email; we want to have a board or space
for people to write their ideas for events (such as putting on films,
photo exhibitions, knitting clubs etc). The main consensus is that
rather than being a group that has stalls at festivals or fetes we
should engage with creative East Londoners and use their skills to
promote Oxfam's campaigns. We also want to put pressure on the new
government so maybe holding letter writing events or getting the press
involved with attending our exhibitions etc

VENUE - Claire will speak to TWSY and confim time, if they are willing
to subsidise the food and drink etc
FLYER - Alex has designed a fab flyer which he aims to finish this
week with all of the info such as venue, map, facebook email etc
PRINTING - Alex let us know re printing and if you can get A6 flyers
and A4 poster printed the plan to collect them next TUESDAY to
distribute
FACEBOOK- Claire has offered to create a facebook event once the flyer
is complete - please invite all your friends

I will organise getting Oxfam Literature to the venue and some key
campaigns we maybe need to speak about at the tea party & can
distribute flyers

We also spoke about having the following at the tea party to make it
more fun; a swap shop - people to bring any item they may have been
thinking of taking to an Oxfam shop and swap it; a cake raffle - to be
discussed at the next meeting

If anyone has any simple ideas as to how to make the party interactive
and fun let us know & we also want ideas for decorating the venue
(Claire is making bunting!) please let us know and get creating!

NEXT MEETING - TUESDAY 25th May at RICH MIX, Bethnal Green Road. &
7.45 - 8pm (as Claire will arrive at 8pm - I also now have a birthday
bowling party to go to on Brick Lane so I can't stay too long!) My

I'm in Bristol all day 25th so if I do manage to make it I'll be late. But I'll do my best :) And will have a think about ideas for the tea party. Really like the clothes swap idea and the board for people to write up ideas. Could we maybe have a campaign up and running, so people could see that the group is about taking action? Even if it's just information on a particular issue and then a petition...

Oh, brilliant stuff!

Have you managed to find a cheap printers? I know a pretty cheap one - ukflyers.com - especially good for small leaflets which I found when I was going round East london trying to promote the Pik n Mix event were WAY more popular than posters. Let me know.


We will have 3 campaigny options that you could get people to do if you wanted:

Keep Uppys (Video each person doing some keepy uppys an then upload them onto a website which will thread together thousands of them to raise awareness of the importance of Aid in the run up to the Millenium Development Goals conference- this might be good cos tea party is just days away from World Cup mania!)

Robin Hood- a simple action card, but we have hats people could where are photos could be taken?

A big Promise: This is also about the MDG's, we have little action cards that people sign, but also there is a post it for them to make their own promise on.

Is everone free on MONDAY 24TH MAY as it would be good if Leila and
Claire can be there and also I do kind of need to go to my friend's
birthday bowling on that Tuesday!? Please let me know.

Leila- yes I think it would be good to promote Oxfam campaigns and if
we can get the actions card and some ideas going for how to promote
these campaigns that would be great. Lucy - I can pick these up from
the Oxfam office w/c 24th May (when I'll be free from work!)

Alex - let us know when the leaflet is done
Lucy - are we able to use the £50 budget for the printing? How does it
work?!

I'm working until 8.30 on Monday I'm afraid, I can do Thursday evening or Friday that week, or can do 19th or 17th.
 
TWSY got back to me today to say that the 6th is ok but that they can only host the party from 5-8pm as 1-4pm is their busiest time of the day. I feel a bit nervous getting lots of flyers printed when we haven't met them in person to discuss the event. They said they will find out tomorrow when the cafe is re-opening. Maybe I could arrange to meet them on monday in the day as I am free. Any news on the plan B venue just in case!?

P.S If you find yourself near Selfridges in the next week check out the Oxfam curiosity pop up shop in the basement, I was volunteering there today. There is some amazing stuff for sale!! Check it out It's open until the 20th.

I can come to the meeting on the 19th. Also I think it may be a good idea to get confirmation of the venue before we print the flyers. Was anyone able to ask at the rich mix about hosting it there? Glad to see everything is going ok :).

Ok, yeah if you can meet that would be great. How does everyone feel
about having it from 5-8pm?

Leila - did you contact the gallery cafe in Bethnal Green to see if
they are up for hosting it?

RE I can't do Wednesdays, Monday 17th is good or we just leave it on
the 25th but I'll have to leave at about 8.30pm.

I will try to get along to Selfridges - it sounds amazing!

Hi everyone, 

I can come to the meeting on the 19th. Also I think it may be a good idea to get confirmation of the venue before we print the flyers. Was anyone able to ask at the rich mix about hosting it there? Glad to see everything is going ok :).

hey just reading through this.

5-8pm. is ok. need to get to gatwick after, but no rush.

- I can do any evening after around 7pm onwards.

Dear all,

I can do the 25th as well. 5-8pm is great. Am sorry that I have not been able to put as much input as I would have liked :(. I have been in Norwich finishing my exams so fingers crossed I can make this meeting. Alex can you post the final flyer on the facebook group so that we can tag people and make it our profile. I was thinking of also doing a Blog post about the group to let more people know about it? Let me know what you all think about that :). It would just be something to let more people know they can get involved in more things :).

Hello

Ok, so before we get antthing printed or post anything about the event
on facebook we neeed to confirm the venue and the time.

Claire is going to go to Tina on Monday and see if they are happy to
hold it from say 4-7pm on the 6th. Tina We Salute You would be a good
venue as it is small and quirky and local. The Rich Mix is too big and
there isn't really a 'tea pary' atmosphere (TWSY has cakes and teapots
etc).

Claire will confirm the time and then Alex can adjust the flyer.
Claire is also happy to ask a few local printers regarding pricing.

I can't do Wednesdays so the 19th is not good. I propose we have a
meeting on THURSDAY 20th May at 7.45pm - leaving it until the
following week is too late. I'm sorry if not everyone can come. We may
still need to have a meeting the week after but hopefully by the 20th
we'll have a printers sorted and then we can make a facebook event &
start flyering!

Hi guys! We re in business! TWSU is happy to hold the event with a swap shop on 6th from 5-8 they can't start let us start any earlier as they have lost lots of money as they have been closed for so long! They are happy for us to decorate. They are going to get bk to us by the end of the week re tea and cake deal. They may sell discounted cakes or donate a petcentage of takings, I mentioned budget but they said they don't want us to pay them any money. They are going to propose some ideas.  Also said we can use outside space too for the swap shop or overspill of people!! They are quite excited about it!
