Dear All,

I believe you are all fine!

As you all understand, I was responsible for the interviews which we
did on 3rd June, 2011 with the great support from both Janeth and
Erick! It was not a complicated activity though at the end of the day
I have to say all were enthusiastic and potential considering their
interests and commitment they showed.

We have then managed to select two from the 4 who we interviewed and
now I would like to ask Amos to formally inform them of their
selection fro EASEN Google mail account. Their contacts are given
bellow.

I shall inform them. However, the email should have a bit of more information on next steps, way forward and an indication on what type of tasks and when they start. If i had such information, i would happily send out the email, and include them in our group email ASAP.

Dear Amos,

That was my concern too but since we haven't made any clear plan of
what to do and where to start from I guess we have to put them on the
loop for a while until all the plans are fixed.

Dear Amos and Mark

Shalin at First suggested that they will start with fund raising, But before that they need  a person who will be managing them

I think the next step first will be to choose a person who will be managing the interns from the core group and it will be better if we will have time to hold another meeting, so we know what actually have to be done together with capacity building

I think we need to agree on who manages the interns, someone who will be available to supervise and ensure follow up and quality control.

Dear All

Thank you Janeth and Mark for choosing the interns - is there anyway we can have their CV's and perhaps your comments on why you chose the two. This will help us focus on their individual strengths in assigning them tasks and milestones.

I would also like to draw the team's attention to the notes of the second meeting where all the tasks were spelt out clearly and can form the base of their workplan. There is little point in reinventing what we have already agreed upon. I attach the notes to this email but they have been available in Dropbox for quite a while since Janeth kindly put them in.

In terms of management I feel we need to be very clear who has the time and energy to be able to consistently support the interns. There is nothing worse for a new interns motivation if their supervisory support is unreliable and it would not be fair. It is not a difficult task but it requires one to be available. Two people from the core group could share the task. I am happy to help from here by email and skype but unfortuanetly cannot be there physically.

their ability to and their ability to organize various events and
projects

Thanks very much for that Janeth.

Perhaps we can progress matters by indentifying who might be able to supervise the interns. I guess this will fall upon either Mark, Alpha or Amos given the current circumstances of Sepcioza and myself (although I can provide background support from here by email) and Janeth cannot be expected to supervise her fellow students (is that right Janeth?).

So lads over to you? Any takers? Its actually not that much - once we have set the workplan and milestones (which I feel is the bulk of the work) its a matter of support and advise and I can help out on that too.

On the budget - can someone sketch out a rough budget as to what might be required. Carlo can you help out here at all? I guess it will be mainly travel, phone and any out of pocket expenses so we just have to work these out for the next 6 months.

Having seen the responses and CV's of the interns I believe Janeth and Mark have made a good choice and Angel seems to have particular strengths that will support the work. Actually all the interns were strong and we should keep them on our database. I feel that we will now be able to move on with the work and lets not waste the opportunity when we have such dynamic interns on board.

I appreciate a lot all the work you have put in place regarding setting up EASEN Tanzania.

I know  you even recruited interns. However, it seems no one is available to provide leadership to the interns.

Further, driving the agenda for EASEN may therefore not happen fast enough.

As I encourage you from far and knowing EASEN has no financial resources to engage full time staff, it may be helpful to understand what level of engagement you want with EASEN.

This will help clarify expectations and way forward. For instance, may be the interns should be released. It will be important to do only those things we can deliver on.

 

Kind regards and let me know your thoughts on way forward. I would be glad to hear from you before 1st July since am planning a trip to Dar and Kampala.

Your response will help shape our regional strategy particularly in determining the degree of readiness for EASEN.

I have a different opinion basically I believe we are set to move as a team the only challenge at the moment is coordination which we are also going to address soon to get things working!
 
As you understand, we formed a core group which will be in charge of a number of things to realise our set goals as a team.
 
Rest assured that the team is going to fix all these challenges and we don't really need to release the interns.

I echo the sentiments so far and also agree with Carlo that we should only try and do what we can deliver so that we do not unnecssarily raise the expectations of the interns who have only come into the picture because they want to learn and help. Please can we have a clear management and action plan for them and am happy to contribute.

I do concur with Mark that we have a fine core group that just needs to get into gear for the next step. I await further instructions.

Greetings. I have been a bit busy but now I a, back on track. I guess all of us are enthusiastic about kicking off EASEN Tanzania Chapter and we are fully aware that as pioneers of this vision, we shall have to devote ourselves for this cause, and work as teams to see this vision come through. 

In terms of commitments I know that all of us have agreed to be members of the Secretariat on voluntary basis and invest part of our time to form a strong EASEN Tanzania, share ideas and help in coordinating various activities and projects. The sulfonate goal is that EASEN activities in Tanzania shall bear fruits and be sustainable enough to support themselves and partly provide motivation and incentives to move on.  We are aware that EASEN is operating on minimal cash resources. However in order to launch our activities in Tanzania we need a basic operational budget for the next six months which would perhaps have components relating to launch of EASEN in Tanzania and activities related to pre launch and post launch events. We should aim at leveraging resources from other sources and also seek good sources of grants which would help EASEN establish itself locally. Use of interns should be on specific tasks or activities relating to launch, marketing EASEN and other targeted activities.  I however agree with Carlos that we need to manage expectations of both members and interns.

We have already gained some momentum and it's advisable to keep the spirits high, and if EASEN HQ would have sone sort of assistance to us, it's welcome.

We need to rationalize use of interns, agree on when we need to engage them and ensure they fit in our planning for next six months.

I propose someone to work out a detailed plan of action for us for next 6 months. We have already covered some ground and through our minutes of last meeting we can develop these set of activities and milestones culminating in  registration and launch of EASEN Tanzania Chapter. 

With a registered EASEN we could easily approach various partners to support our activities including British Council, Academia and Financial Sector Deepening Trust.

I feel Amos has a good point about getting together a small operational budget to kick start the whole thing even if we are to get help from the interns toapproach funding bodies - can we find a way of registering EASEN quickly and without much ado in order to leverage funders soon?

On the operational budget - can someone put together something for the next 6 months and who knows perhaps I can fund raise here in the UK?

I have volunteered and prepared a draft budget, for periof of 6 months (July- December 2011). The budget included costs of registration, launch and other related activities. We anticipate that through this cost, we shall be able to set up EASEN Tz and start leveraging more resources and funding fro members and sponsors. The budget is DRAFT and based on estimates. There is therefore a need to have a secodn and third eye, and its open to criticism.
 
Please have a look and comment.
 
Shalin you may develop a good case/ concept there and identify possible source of funding. Its less than £. 5,000/- and with actual information, we could have a more realistic budget.

Great work Amos,

 

On the budget under registration budget, we might be able to save some money based on what type of registration level we can want. I had asked an attorney that we use most of the time and she had asked me if we are planning to register it in an international or local level. Local level it will be slightly cheaper, so it will give us room to allocate whatever the fund difference into other activities within the organization. Just a thought, and if we need to know more about that, I can ask her to educate us on the subject.

 

Also on the PR, I had used one gentleman one time during the launch of one company, Nyumba Poa and he was able to save us so much money while getting so much millage both on newspapers, Radio and Television. Whenever we are ready, we can ask him to provide us with a cost effective PR plan for Luncheon and other ongoing activities in order to keep EASEN alive.  But I think the overall budget is right on the money.

I am so happy seeing EASEN is getting on track again,

Congratulation Amos for  a very nice Budget and I Believe it is a good start

Unfortunately I would like to remind  Amos to Send the formal Invitation Letter to the Interns because they haven't received it yet, They are always asking and I think is about Time they are recognized

But also  I would like to Notify all of you That, the interns are about to start their final exams in one week time, from 11th July to 22nd July

Therefore any formal engagement with them for the that particular time will be impossible!

Bust still I insist that they get a recognition email as soon as possible before they leave the University and Accept other engagements

Sorry this slipped my mind. Urgently please email again the interns details, so that i can inform them of tentative decision to engage them, BUT i shall have to be careful not to raise their expectations too much. As you are aware, we dont yet have resources to finance any internship activity as may be envisaged.
 
I wil trherefore carefully word my reply letter, so that its serves the purpose of informing them of interview outcomes, and advising them on our desire to work with them, incorporate them into EASEN vision and have a joint strategy. I hope the panel clarified such issues clearly during interviews?
 
I will write to them as soon as you send me the details.
