Hi everyone,

We're currently experiencing an issue with our DSpace 7.6.2 instance that's causing some problems with author metadata during the item submission process.

Specifically, we've noticed that not all authors are consistently appearing in the author input plugin on the submission form.

We believe that its a capacity problem in solr database or the way like dataverse stores authority records.

This inconsistency is leading to a situation where users might inadvertently add the same author multiple times, resulting in duplicate and non-normalized author entries in our database.

This issue impacts the quality and consistency of our metadata, making it more difficult to accurately search and browse items by author.

Has anyone else encountered this behavior, or perhaps in earlier versions? We're looking for any insights, potential causes, or possible solutions that the community might be aware of.

Any help or suggestions would be greatly appreciated as we work to resolve this.

Thanks,

Humberto Blanco

Hi everyone ,

Just wanted to bump this thread to see if anyone has made any progress or has new insights regarding the issue in the submission form. We're still seeing this behavior and it continues to impact our metadata quality.

Any updates or further suggestions would be greatly appreciated. Thanks!

Hi Humbertyo,

I have not seen or heard of this behavior before, so I'm not sure what advice to provide.  If you can find a way to reproduce the issue in out-of-the-box DSpace (e.g. on our demo site at https://demo.dspace.org), then that would imply it's a bug. Or if you can find a way to easily reproduce it in a fresh install of DSpace 7.6.3 (which is the latest 7.6.x version).

It also *might* be something that is erroring out on your end either during the search or during the indexing.  So, you might want to keep a closer eye on your logs, and also check for any odd errors in the User Interface layer.  See the troubleshooting guide for more details: https://wiki.lyrasis.org/display/DSPACE/Troubleshoot+an+error

Basically, to me, it sounds like we need to find a way to gather more information by either locating an error, or finding a way to more easily reproduce the problem.  If we can find a way to reproduce it, then I'd recommend creating a bug ticket with those details, as that'd allow developers to analyze it further and find a fix.
