DSpace Help to Get Started for New Installations

Hello DSpace Community,

The University of Virginia Library has decided to move from our very old (mostly customized) IR to a locally hosted instance of DSpace (DSpace 8).

Since we (I) am totally new to DSpace and configurations, I was wondering if there are any guides (videos) on getting started (for V7x or V8x)? I have looked over (and over) the DSpace8.x wiki, but find it more for those who understand the workings of DSpace - the parts and how they fit, more for those already familiar with DSpace. I've also watched a few DSpace videos (tutorials), but again need more details on how things work together.

Is there anything for total newbies? I'm pretty technical; I am the administrator of our locally hosted Dataverse Repository (setting up user accounts, setting up configurations, working with APIs, setting up harvesting, etc.).  

I just need to know more than the basics (what the intro tutorials show) to get me started.

For example, why can't an ePerson who is in the "Administrator" group (who can see the DSpace Management side-bar), not see any results in the "Administrative Search". A non-admin user has created two draft items that I assumed an admin should see? But I see no items under Administrative Search (not even the one draft item I created).

Is this the best place for questions like this or is the DSpace slack space better, which channel?

Hi Sherry!

Welcome to DSpace. I'm not sure about the best resource for getting started, but I can answer your question about the Administrator Search. To manage submissions/drafts, go to the top right menu to the login drop-down and click "MyDSpace" (or whatever custom name you have there for your site). From that page, there is a lefthand menu called Show - you can toggle through Your Submissions, Supervised items, and Workflow tasks. The draft items you are looking for are probably under "Workflow Tasks."

It's a little confusing because the Admin Search menu looks a lot like the MyDSpace menu. But saved unpublished items, and items that need approval, will appear only in MyDSpace - at least that how it works for us (DSpace 8).

Hi Sherry,

Admin Search only shows items that have been approved. If you want to see items that have been submitted and are in workflow you can use the Administrator Workflow menu available in the admin sidebar.

To see workflow items that you can personally edit and approve, go to MyDspace and choose workflow tasks in the drop-down menu.

Hello Sherry,

The wiki can be overwhelming and has so much information. I've been working with it for 2 years now and am still learning to navigate them effectively. The Learning DSpace section of these wikis seems to be the most geared towards newbies - how did it work for you?

In addition to what the previous responders said about the Show drop-down menu and "Workflow tasks" you might want to view an item before it has been submitted.

You can see those non-admin user items before they have been submitted with the Admin menu sidebar -> Access Control -> People option.
Once you navigate there you can:
  • Search for the eperson account
  • select the "Edit" button for that eperson
  • select the  "Impersonate EPerson" button
  • Go up to the top right Profile icon and select the "MyDspace" option
  • You can view the submissions that they are working on but have not yet deposited.
  • When you are done, click on the "Stop impersonating EPerson" button in the top right menu. It will return you to the Admin view
