Second guessing ArtBeat vs July farmer's market table

Hello All,

The deadline to submit an application for a table at ArtBeat is next Monday, June 15. The ArtBeat date this year is July 18. It costs $75 to have a table and if we want them to supply a table and chairs it is an additional $20. I know several members have tables and chairs we can use. Initially I thought 'Of course we will be at ArtBeat. It is a signature Davis Square event.' I am having second thoughts detailed below. What do you think?
  • Many people at ArtBeat are from outside our catchment area.
  • It is a long day, noon - 9pm. I have reached out to find out what hours community tables are typically staffed but don't have the answer yet. Rebecca, How many volunteers showed up to table yesterday?
  • I don't know if we can break down a table before a certain time (also waiting to hear about that). I assume if we use their table and chairs we can just leave them whenever we want but that may not be true.
  • It is often a very hot day. Maybe someone can loan us a tent.
  • I was thinking to table at the farmer's market on the Wednesday before the last Monday in July, August, and September. The July date is the 22nd, soon after the 18th. It would be too much to ask for volunteers for two long hot days so close together (farmers market runs noon - 6pm). I have not communicated these dates so we are not committed to them. I do realize getting volunteers for Wednesday afternoon may not be realistic. There are less people at the farmers market but most of them should be local.
  • I think I just talked myself into skipping the market in July and going with ArtBeat but what do you think?
  • If we shell out $75 but there are very few volunteers I will feel very miserable.
If we do decide to table at ArtBeat, they would like for us to have an activity. The easiest to implement suggestion from the Outreach Committee meeting is coloring pages of the statue people.  Any other ideas? Also, the application is required to include an image of our organization participating in an event. Does anybody have one?

The application must be submitted by June 15 but there is some processing after that which includes approval, signing an agreement and providing payment.

Thanks for bringing up the upcoming ArtBeat deadline.

I had asked someone from the Arts Council if they'd be willing to waive the fee for us. (They normally waive fees for city departments, which we are not.) She said this is their primary means of recovering some of the event costs, since they don't have sponsors for this. So, it is unlikely, but she said she'd look into it. I'll follow up.

If that doesn't work out, Paul generously offered that we could use the sidewalk in front of his store. It is outside of the general event space, but the area should still have a lot more foot traffic than normal. It saves us the $75 fee.

Or, it is fine with me if the outreach committee decides you want to be in the main area alongside the other non-profits, even if it means paying the fee.

Also, I'm updating the board email address on this thread. We previously used one marked 2025 for the old board, but will use this new address going forward.

My recollection from past years of ArtBeat  is that community tables are expected (maybe even required) to shut down by 5 or 6 pm.

Great news! The Somerville Arts Council has agreed to waive our ArtBeat registration fee. Heather wrote "Yes, we can do that. Happy to have you there."

Great to hear, Louisa!

To answer your questions about yesterday's tabling in Davis, PJ came by for an hour, Joel stopped by for a bit, and I saw you as I was packing up.  So not a ton of folks volunteered to be there.  I have had had 5-10 show up at previous tabling events before the election, though.  There may well be many more folks who are willing to show up for ArtBeat, but it seems wise to line up people ahead of time before putting lots of work into creating activities and materials for a table.

I just wanted to touch base to confirm that you or someone from the Outreach Committee submitted DSNC’s Art Beat application? I believe it is due early this week. As you know, the Arts Council generously agreed to waive our fee. Sorry for the last minute inquiry.
