Thanks for doing this research, Emily, and posing these key questions. 

Here's my partial proposal to give folks something specific to react to.

Saturdays, 4/18 and 4/25, 9:30am - 12:30pm (so we have time to set up before and close down after).
Wednesday 4/15 and 4/22, 4:30-8:30pm.
Monday, 4/27, 3:30-5:30 either at the church where the meeting starts at 6 or at the library.

And then I'm not sure about how many additional times we need to offer.

I wanted to touch base about in person voting at the library. Life got busy last week, so I am following up on election stuff now. 

My understanding of the board vote is that it has to take place in the 2 week window from April 13th to April 27th. The West Branch is closed on Sundays and it will be closed on Monday April 20th. Wednesday is the only day it is open late (til 9pm as opposed to 6pm)

1) how many days do we want to offer in person voting? 3? 4? 

2) My tentative thought is for us to see if we can offer in-person voting on the two Saturdays (4/18 and 4/25) in our time window. For weekdays, Wednesday evenings may be another good option since the library is open later. We could offer the option to vote between 6:30-8:30. 

Are we supposed to offer in person voting on Monday April 27th? If so, then we'd have to close it by 5:30 since the library closes at 6. Unless we do it at another venue.

We had a super productive meeting yesterday.  Here is the combined agenda/minutes.

First thing to know: the next election committee meeting is TUESDAY March 31, 5pm, in person at my house at 7 Spencer Ave and via zoom.  (zoom link to follow with an agenda later in the month)

The next biggest thing to know: we are getting as many folks trained to help with member verification as we can. The training will be a (short) zoom call with someone from the board.  I'm hoping that can get done in the next few days.

At the meeting, the following people volunteered to be trained:

Hala
Rebecca

Does anyone else want to join us?  You should!  It will be quick and easy.  Anyone who wants to be a poll worker will need to attend a training (very short, via zoom).  Also, I think it would be great if some of the outreach committee folks want to be trained, too, since setting up a table to offer verification would be a nice way to increase visibility of the DSNC.  Let me know soon if you want to be added to the list so we can make sure to include you in the training.

Other notes from the meeting:
  • Between now and the March meeting we are focused on publicity and outreach, both for the DSNC in general and for nominations and the upcoming election.  If you weren't at the meeting and you want to help out with that, let me know!  There were some great ideas that didn't get taken up because no one at the meeting volunteered.  But if you have time in the next two weeks maybe they can happen after all.
  • Most of the non-publicity tasks for the election should wait until after the March meeting, when we'll learn which version of the bylaws will govern the election.  
Congratulations for reading this far.  That's all the most important stuff.  Below this point there is a list of who I think volunteered for what at the meeting.  Let me know if I got any of this wrong.
  • Rebecca: create a blurb about nominations and the March meeting and see if we can get it to run in local new outlets; send request to add to proof of residency options; join Emily L to draft polling procedures and a manual immediately after 3/30 meeting
  • Sara: update the DSNC website election page (will not be live until after the 3/30 election); check with PJ about updating the election FAQ
  • Zachary: post Rebecca's blurb to various social media outlets (my notes are confused, did you actually volunteer for this?)
  • Michele & Emily B: contact city councilors and other local Davis organizations (listed here under "Local organizations") with a blurb; contact the city about using their ballot box and one voting booth
  • Hala: contact Middlesex Bank about a notice on their sign advertising the 3/30 DSNC meeting and seeking nominations; draft rules (code of conduct? guidelines?) for the polling place, e.g. no campaigning inside the library, others?
  • Emily L: schedule in person polling at the library; join Rebecca to draft polling procedures and a manual immediately after 3/30 meeting
  • Ed: help PJ and Sara with the update/revision of the election FAQ
And remember, anyone who's sending info to outside organizations should send it to this list first to check for typos, accuracy, etc.  I'll send around a blurb later for the March meeting and once it's finalized folks can just copy that if it's appropriate for the purpose.
