Many Thanks for attending the meeting on 18th Dec 2016. It was a fruitful meeting as many useful decisions were taken and will be implemented very strictly without any exceptions for everyone's comfort, convenience and benefit.
--> Transactions Rights for our association account has been granted and the payments will be done to vendors only through online now on.
--> Fixed deposit receipt has been collected from the bank.
--> Any complaints to be raised in the Whatsapp group and the same will be logged in the Log book by Manager and get them fixed in a fixed time based on type of issue and mark them completed once done.
- Cauvery connection - as we have not received contributions from all apartment owners we will decide the next steps to take:
--> The decision has been taken the final date for cauvery amount pooling is 31st Dec 2016 without further extension.
--> Follow up with A block to speed up their collection process.
--> Also check with the contact person provided by Mr. Parveen (303) on alternate approach of cauvery connection.
- Appointment of new Treasurer and core committee:
--> Decided to elect the treasurer in the AGM which will be held in March 2017.
--> Balance sheet will be prepared by this year end and will be maintained the same till March 2017 and get all the sheets audited since the formation of association till march 2017.
--> Check with a different auditor as well to compare the auditing fee.
- Complaints regarding garbage and cleanliness:
--> One complaint raised on theft of foot wear in flat 209. Decided to go ahead with CCTV cams.
--> Decided to check for different quotations from providers and finalize it ASAP and get it installed.
--> Already one contact has been provided by Mr. Parveen.
- Swimming pool - complaints and action taken:
--> Last month an issue happened with the attendance of pool maintenance guy and we have deducted Rs. 1000 from last month's swimming pool maintenance.
- Pending maintenance from few flats:
--> Strict decision has been taken that all the flat owners are responsible to clear their pending maintenance till date by end of this year - 31st Dec 2016.
--> If not done, from 1st Jan 2017 the electricity will be shut down for that flat without any exception or compromise.
--> Attached the sheet with pending maintenance against each flat.
--> The responsible person for each flat has to check and the sheet, clear the maintenance and acknowledge to the same mail to all so that the action against them will not be taken.
- Change in the Maintenance structure:
--> A concern has been raised by the owners of Duplex flats that there should be change in the maintenance structure as the payment they are doing is very high comparatively, taking the number of residents into consideration and most of the maintenance expenses are common for all flats.
--> Decided to study the expenditure for past 1 year and come up with a structure which will be accepted by all.
- Pending Corpus fund collection:
--> The flats 008, 201, 302, 303, and 310 have to pay the corpus fund Rs. 25000 yet.
--> The deadline for paying the same is by 1st Feb 2017.
