Morning DPP,

 

Our division create a mobile contact report for our DO’s a few years ago. This form was a mix of quantitative and qualitative questions meant to help structure DO responses and retrieve some data points [how likely to give in 3 years, where does our institution rank in donors hierarchy…] to inform our leadership.

 

I would like to start a small working group that discusses different aspects of contact reports and eventually present to the DPP  community.

 

Some examples of topics [more can be added]

  • types of contact reports
  • credit for contact reports
  • structure of report [free form vs quantitative]
  • after report actions

I am interested in this conversation. We are starting to develop such contact reports. 

We are also entering a phase of preparing for a possible database transition 😬

Here is a template that I modified from my previous employer, Tufts University, and we're using now at Salve Regina University.  I am always interested in figuring out a better way to capture our important work, so I welcome recommendations and feedback.

Title/Description: Introductory meeting w/

 

Prospect Name and Affiliation:

Salve Meeting Attendees:

Report Author:

Date of meeting:

Location:

Purpose: (cultivation, solicitation, volunteer management, etc.)

Outcome: (one or two sentence synopsis of meeting)

Details: (bulleted format—the subheadings can be deleted if not applicable)

·        Engagement:  Previous engagement with Salve; discussion related to leadership opportunities, volunteer management, or other engagement roles

·        Student experience (if parents):

·        Philanthropy: Other philanthropic activities and top priorities; Are they open to becoming a donor/expanding their philanthropic impact at Salve?

·        Impact: What current or planned priority at Salve is relevant and why? What type of impact does the donor want to have with their gift, how do they envision that impact, and how will the potential / discussed gift lead to that impact?

·        Gift Range:

·        Timing of gift:

·        Who else needs to be involved in gift discussion?

·        Gifts given to donor:

 

Next Steps:

1.      date of next meeting, topics to discuss, etc.
