Hello Everyone!

 

First off thank you for all the great ideas and discussions that have come out of this group.

My question for all today is if you guys have a step by step welcome journey for new donors. Nowadays, when we buy new product or join a new club/team/membership/etc, you receive a series of emails and touchpoints that brings you into that brand’s fold.  Does your organization have anything similar that could be shared? We are looking to have a streamlined engaging effort that we can implement with our new donors.

Good afternoon Jimena,

 

We are a fairly small community college in Canada with a very limited budget so we do not have a finalized process for this type of ‘welcome”, despite the fact I believe it is extremely worthwhile…..as long as we are keeping our current donors adequately engaged to begin with. 

 

I would be interested in hearing what others are doing as well, especially smaller institutions with small budgets and teams.

Hi All, 

I work for CJP (Boston's Jewish Federation/Community Foundation). And we do have a welcome new donor stream. I am happy to talk with anyone who is interested, and Jimena, please feel free to reach out! This year we are piloting the use of automated comms. But last year was all DIY, low tech, personal outreach. 

Essentially, we use a combination of high-touch personal outreach over the course of their first year, combined with a seven-week automated email stream. We incorporate warm hand-offs to other programs in our organization during and at the end of the first year so their experience keeps going.

I have been in my role here only about 6 months. I have recently set up our first automated communication, which includes a first-time donor survey. I am working on extending our automated communication to include quarterly touchpoints.

Hi all, I don't have anything that can be shared since this is a highly customized effort based on any organization's unique resources, audiences, content assets, etc. 

However here's what I'd recommend for anyone getting started with creating an automation flow:

1. Start with the big picture, create a spreadsheet/googledoc or Canva visual with a summary of the overall flow for one specific audience. 
2. Include the subject line, key message, unique asset or CTA for what the reader should do from that email, and determine the spacing between emails (i.e. the first email should come right away after they take X action on the website, then 2nd email 2 days, 3rd email 3 days later etc.)
3. This will help you determine how many emails will be in the sequence, what the goal of each email is, and how long the overall sequence will be.
4. Once you have the big picture summary and it makes sense to you, you can drill into each individual email to create it and set it up. 
5. Make sure to test it with a fresh email address to make sure it works as it should and the final outcome looks and sounds good on the receiving end - I always catch little things to adjust in the testing phase!

Small organizations have one or two main automations, while larger ones can have a whole complex network of many automations based on a variety of donor or customer journeys. 

It's an ongoing process, even after you've set it up you should continually optimize it based on evaluating open and click rates, updating with new offerings or messaging. This is why having a member of the marketing team own this is super valuable as the team and organization grows.

At Bucknell, we send a new donor welcome letter that comes with a small gift (a magnet). Right before they are scheduled to receive the mailing, we send an email thanking them for their gift and noting that they will be receiving a small gift in the mail. We also ask them to complete a brief donor survey, including a question asking why they chose to make their first gift. 
I'm happy to share samples with anyone interested.

At Grand River Hospital Foundation in Canada we have built a few of these using low cost tools like Zapier and just our email (Gmail for Non-profits). We also have a few complicated ones.

Hi!

I work for a small non-profit in San Francisco. This is something that i've kept my eye on for a little while. Our CRM helps us to identify who is a first time donor and they get a special letter the first time they donate welcoming them to our family/community. We also include our one sheet in our first letter. After that they get the standard donation letter (no one sheet), although we've started to customize our letters to mention the fundraiser they've contributed too.

Hi everyone,

 

We have a “First-Time Givers” program at Wayne State where we welcome new donors into the fold through a series of specialized stewardship touchpoints in their first year of giving.

 

In addition to our customized acknowledgements that every donor receives, FTGs receive the attached postcard within the first month of their first gift to the university. 30 days after their postcard is sent, they receive a call from a student to simply say thank-you and celebrate their first gift (our student assistant makes these calls). 11 months after their first gift, they receive the attached letter co-signed by a member of our annual giving team (signature not currently on the letter template due to vacant position) and me with the intent of priming them for their renewal appeal. One year after their first gift, our annual giving team sends a 1-year anniversary ThankView, followed by their renewal appeal.

 

Our division is currently in the process of procuring some additional technology that will allow us to be more innovative in our donor communications and we look forward to rethinking our strategy for FTGs to be a bit less analog. I’d love to hear what everyone else is doing and how you may be using technology and automation to steward your first-time donors.

I love this concept and have several clients whom I've helped in setting it up. For one it is still manual, as they are small and don't have an automated system yet. But others are automated. One uses Salesforce and we've created journeys in Pardot to do this. Not just for welcoming but for other uses as well - like sharing impact communications more regularly with all donors, which is an important part of stewardship. 
If set up carefully, the stories or other content items can be evergreen and therefore can still work for a new donor if their first gift is now or if their first gift is months from now. Of course, you'll want to update it every so often to keep it fresh, but the idea is not to recreate the wheel if you don't have to. 
With my clients I suggest just a few emails for the welcome sequence: 1) welcome language and sharing the newsletter opt in if they aren't already subscribed, 2) story of impact, maybe a video or photo with a story 3) a very brief history of the organization, maybe the story of its founding, or similar kind of background information, 4) something else related to impact, perhaps more along the lines of the scope of the impact of your org rather than the drill down personal impact of an individual story. Once new donors complete this sequence, they get dropped into the regular impact email stream wherever that might be at the time. Happy to talk more if anyone is curious about this sequence.

Just picked up on the thread while drinking my morning coffee. 
Great ideas, appreciate everyone’s suggestions. 
Does anyone make stewardship calls after receiving the  donation? We have a standing order to make “thank you calls” within 72 hours of receiving the gift. It’s a bit cumbersome at times but who doesn’t like making “thank you calls”.

I will try to join. We've been building custom automated welcome and cultivation touchpoints for legacy donors and legacy handraisers in EveryAction. We are also building in parallel triggered snail mail touches for donors who opt out of emails. I'm happy with how they are coming out. These are for my organizations that have stopped using outside planned giving microsite vendors.

CJP uses something called Maven, it's a Blackbaud product that has been adapted for the Jewish Federation system. We complement that with Hubspot (where the automation takes place).

Hello DPP Colleagues,

 

Thank you for sharing all these wonderful ideas! I am a fan of hand-written thank you notes that include my business card. But, we had so many new donors this year that I created a Welcome Packet mailing that included a thank you letter from our ED and information about programs, impact, need and how else to get involved (volunteering, social media ambassador, planned gift, etc.). We’re in the process of switching to a new CRM that will automate a lot of this including our ability to create and email embedded personal video messages.

Love this topic! We are doing thank you calls to first time donors at Cornell from students starting this fall, and are excited to see how it goes. We started sending a thank you card and sticker to new donors when they make their first gift at the end of last year. It’s a manual process – every month, we send the sticker to new donors who gave the month prior.  We are also working on ensuring that new donors get a second ask within the first 90 days to help boost retention as well (after receiving stewardship touches). All is new for us (and highly manual at this point), so hoping to see impacts on new donor retention in the coming year.

Our gift officers make thank you calls to all first time donors. I am planning to expand the effort this year to at least one other donor segment. Several of the calls have resulted in visits for the officers.

Good afternoon,

I call each donor personally to thank them for their donation.  I call them on their birthday, wedding anniversary, just to chat/share industry news(select portfolio).  Some members of leadership also have 2-3 donor portfolios.  

We have an annual brunch to thank major donors. We have a Funder and Artist guest and entertainment. 

We are very happy that we have a strong donor relations program.  I have been here 16 years!

I too make calls to every first time donor and to a donor when they have gifted after 2 years. I always try to find out how they found us and with lapsed donors , why they came back.  I am researching new CRM also. Looked into Virtuous and raisers Edge.

We use Tessitura since all Box Office /
Patron records can live in Ine place.  They’ve come a long way with the Devo capabilities over the years.
