I would like to invite you all to a conference sponsored by National Unification Advisory Council.  It is held on November 21 and 22 and speakers are well known in their field in US (list of prospective speakers).  Registration starts at 5:30pm.  The detailed conference site information will be sent later but I promise you that it is going to be a 5 star hotel near by O'Hare.  There is no registration fee.  All expenses are paid by the Advisory Council.  You can bring your non-Korean friends, but you need RSVP in order to reserve seats.   I think it will be very informative session if you are interested in Recent Korean History.  Please let me know if you would like to attend the conference by October 29.

Yesterday  I went to drop off the contract, the deposit, and some of the papers we filled out.

- Next we need to fill out the technical questionaire packet and the information that should be on the tickets, including the price as soon as possible. they can't print out the tickets until we have the price of the tickets.

- Betty said after all the paper work is done, they will send us a bill, and we need to pay by cash or cashiers check LATEST 3 days prior to the event. The $500 consigned fee will be included in the bill.

- After we decided on the price, it will take 3-5 business days to print the tickets.

- Betty suggested that if we're not certain on having a full house then don't print out all the ticket. Print like 500-600 tickets first, and if we need more later, print some more. Because once we purchase all the tickets, it's ours, even if we don't sell it. So we'd be wasting extra money on tickets that weren't sold.

- I just got Frank the Tech guy's email today. So I will talk to him after classes.  I will CC to peter hur and winda kim.

- Important: Get the Paypal account set up as soon as possible, even before getting the tickets printed out. Have the online purchasing displayed on the official dokdo website and the facebook event page. At least then people can start purchasing tickets online right away. They're picking up their reserved tickets on the day of the event, so it wouldn't matter having the tickets right now.
     + of course we're selling tickets at venues such as assi and hmart, but there is still a good amount of people who probably can't go to those venues for specific reasons; schedule problem, distance, no transportation. so for staff who can drive around and meet the person to sell the tickets, that'll be a great way to sell tickets too. so if you can, write down your email address or phone # in the facebook events page and put in (     ) or whatever, the locations you can sell tickets. I told Betty that we will have autograph session at 4pm-6pm.
She said we can't unless we want to pay more money.
the venue staff + their security has to be there during the autograph session.
and because they are being paid from an hour before the show, we cant.
they are very strict about all this and it seems that i'm not even in good terms with the tech manager anymore haha.. because we keep on changing things around and telling him we do/dont need more monitors and other equipment. so it's annoying him it seems.

this is her message:

Hi Elliott-

 

The earlier autograph session will add staffing hours to your total, so let me know if this is how you want to do the autograph session.

 

If your autographs are at 4 pm and your concert time is 7 pm, then we will be adding 3 hours more for all security, usher and house management staff. The technical staffing INSIDE the theatre is determined by Frank Rose, so I have copied him on this note to make him aware of possible lobby activity earlier than initially scheduled.

 

I have received the check. Thank you.

 

Elliott, if you decide to start your activities earlier as described above or you add more details than estimated in the revised resettlement, I recommend that your group provide a credit card that can be run (5% fee added to amount run). Our office would tell you the amount that would be run. Due to the Thanksgiving holiday, I am not planning to conduct any new business or payments after tomorrow,  so please let me know if you have questions.

Betty called me.
She said we cant have the autograph session even at 6pm-7pm either without paying the staff more.

The staff that are needed to do an autograph session is actually hired from 7pm-11pm.
So she said if we don't want to get charged extra, best to do it is after the concert. 9:30-10:30pm.

HOWEVER...like i said, they are hired till 11pm. IF we have any people remaining in the venue past 11pm (audience members & us staff),we will be paying extra for the venue staff. A final statement will be sent to us if the venue staff are worked over time, or wutever.

Soooo if you want to have an autograph session, it HAS to end on time, and right after the show, 9:30pm, staff have to start preparing to clean up & leave.

WE CAN however have a merchandise sale at 6pm.
There will be one merchandise staff that'll be there at 6pm.
We can use our own staff for merchandise sales, but that venue staff will be in charge of the money, basically so we don't cheat them out of their 25%.
