Hello, Division 31!

I hope you all are doing well. This email will be very informative especially to those hoping to attend Fall Rally South at Six Flags this year. Please thoroughly read this email and share with your fellow members!

Many of you are not replying to any emails, which makes it difficult for me to know whether or not you have receive this information. So please respond to this email, once you have fully read and understood this email.

I ask that the club presidents attend this meeting since I have not seen you all or heard from you all in quite a while. Please encourage all officers and members to attend, especially those interested in FRS!!

​Fall Rally South
The purpose of attending FRS is to celebrate all funds raised for the Pediactric Trauma Program and with we get to spend a fun day, meeting new people, doing cheers, riding roller coasters and so much more! However, many officers neglect to explain the true focus of Fall Rally.

We don't attend just to gain more followers on Instagram or add more people on snapchat. We are not there to just ride the roller coasters. We are there to celebrate raising money for the Pediatric Trauma Program. The Pediatric Trauma Program (PTP), works to reduce the number of young lives lost due to trauma. In the United States, trauma remains the number one leading cause for death of kids ages 14 and younger. The money raised for PTP goes to grants to our partner hospitals which include Kapi'olani Children's Hospital in Hawaii and Rady Children's Hospital in San Diego, California. Additionally, the money goes to Kiwanis and back to SLP programs in the form of grants, allowing them to help more children in their communities. Finally, the funds raised will provide PTP safety items, like helmets and car seats, to needy families. 

When advertising Fall Rally, be sure to establish why the CNH Key Clubbers are gathering at Six Flags. We want to be together to commemorate the joyous accomplishments we have made in our efforts to reduce the number of deaths by trauma, which is an easily preventable death. It helps that the spirit displayed at Fall Rally is overabundant, but remind the members of intentions in this event.

Fliers for Fall Rally South are attached to this email, so you can utilize these to your advantage.

Event Details
Here is the date, time, and location for Fall Rally South:
  • Saturday, November 11th from 8:00 AM-7:00 PM 
    • These times are special to Key Club. The regular park hours are 10:30 AM-8:00 PM.
    • Transportation will be at Helix. Buses arrive at 5:30 am and will come back around 10-11 pm.
  • Six Flag's Magic Mountain
  • Ticket window as well as the parking lot opens at 8:00 AM.
Note: Region 1 will meet at Helix Charter High School's student lot at 5AM and return around 10PM. More information regarding transportation will be released soon.

Tickets
Advisors must purchase the Fall Rally tickets online. Here are the prices for the tickets:
  • Pre-Sale is $40, On-site is $44 (Key Club booth closes at 11:30 AM)
  • For the ticket and a catered meal, it is $55
  • Car/Bus Parking at Six Flags is $25
  • Season-Pass Holder pay $5 for their rally stamp*
* = refer to the section "Season-Pass Holders" under "Purchasing Process" for clarification

Note: Transportation costs with Region 1 will be separate and be $36 each student. Totaling to $75 per member for Fall Rally. Please show up at the back parking lot of Helix High School before 5:20 am so that the check-in process is much smoother and so that we get there on time. 


Purchasing Process
The process to buying the Fall Rally tickets varies. There are three different processes for three different instances: pre-sale, on-site, and season-pass holders.

Communication is crucial to getting this event to run smoothly. If you need help organizing payments, please let me or Region advisor, Mr. Tobias know. Collecting money through your sponsoring Kiwanis club should be the best plan. 

Pre-Sale
  • This link directs you to the Six Flag's website, where you can purchase the admission tickets and the catered meal ticket. You MUST pay using a credit card if you apply online for pre-sale. PRE-SALE CLOSES AT 11:59 PM ON NOVEMBER 9, 2017.
  • If you cannot pay with a card, you can pay with check or enclosed cash by filling out the mail-in form titled "2017 KEY CLUB FALL RALLY South - Check Payment Form", which I attached to this email. MAIL-IN FORMS MUST BE RECEIVED NO LATER THAN OCTOBER 27, 2017.
On-Site
You must go to the Key Club booth (where it is located specifically will be announced when the date nears) and purchase the tickets there. You MUST have an adult chaperone handle the purchasing of the tickets. I recommend that only you and your adult chaperone be the only ones going to buy the tickets, so as to not overcrowd the booth.

Season-Pass Holders
You must go to the Key Club booth (where it is located specifically will be announced when the date nears) and purchase the spirit rally stamps. You MUST have an adult chaperone handle the purchasing of the tickets. Because the rally entrance "ticket" is a stamp, the season-pass holders must accompany you as you purchase their stamps. The stamp, which will be placed on their hand, allows them entrance into the spirit rally.

Submission Process
  1. Have an advisor help you collect funds. You should never be handling money on your own.
  2. Count funds with an advisor present and document the totals. We do not receive division PTP totals until the day of Fall Rally, so it is imperative that you keep track of funds raised by the clubs you serve yourself through a tracker.
  3. Reimburse individuals if needed (this is where budgeting is key!)
  4. Have an adult or advisor generate a check and mail it to:

      Rancho Cucamonga, CA 91370 
      Memo Line: Club ID/Division Number (Important if you want the division you serve to receive credit at Fall Rally)
Important!
  • Ask your Kiwanis advisors and faculty advisors to chaperone at Fall Rally NOW1 chaperone per 12 students.They are very busy people that need a weeks in advance notice in order to attend. Asking them now will prompt them to put the date on their calendars and not schedule anything else for that day.
  • The officers can help reduce the price for the members that they serve by fundraising. If you do plan on doing this, I advise you to start now. 
Division Requirement
All members interested in attending FRS, must have a minimum of 10 service hours completed. 10 hours are not hard at all. If you attend 5 events that are at least 2 hours each, you can complete that requirement. Please note that they have to be service hours through Key Club, not personal. 

Clubs may add other requirements as well. If you would like to add more hours to the required amount for your respective club, please pick a reasonable amount. 
    Division Shirt Orders
    ​​As you all may know, Helix's tech editor Nikki Tran has designed the new division shirt for this term. This shirt will be worn at Fall Rally South. For an affordable price of $10, you can get a shirt today!


    ​Submission Process​
    1. Club board, please have your advisor collect money from students who would like to purchase a shirt.
    2. With your advisor, please count the money and write a single check. Please make the check out to KYDS Club and for the memo, put Division 31 Tshirts (school name).
    3. Arrange a time and location with me so that I can collect the check.
    Important
    Once again, all key clubbers should not be handling money without advisor supervision. Please work with your faculty advisor or Kiwanis advisor.
