Concern Regarding Lack of Notice for Upcoming HOA Meeting

Dear Devon Board,

I recently heard through informal channels that an HOA meeting is scheduled for this Saturday. However, several residents — including Arvind, Ann, Jim, and myself — have not received any formal notice regarding this meeting.

Most HOA bylaws require that advance notice be provided to all members prior to any official meeting, typically within a specified timeframe (e.g., several days or weeks depending on the type of meeting).

Could you please clarify:

• Whether a meeting is indeed scheduled for this Saturday?
• If so, why a formal notice was not distributed to all owners?
• What the expected notice period is according to our HOA’s governing documents?

I have not received any communication about a HOA meeting this Saturday as well.  If communication was sent out, I was not included.  Can some send out clarification to all residents if there has been a meeting scheduled?

I too haven’t seen an official notice. The last information regarding a meeting was included in an email from Susan under the subject line “Karen’s Butterfly Report”, dated 9/22, and reads as follows: 

“Look for an email very soon, inviting everyone to our annual HOA Community Meeting which will be set for a Saturday in October at 10 AM. The Board should have the date fixed within the next couple of days.”

I would like the opportunity to attend HOA meeting. Please reschedule (if indeed scheduled for this Saturday), following the process set by HOA bylaws.

Hi Dawn,

I am sorry you didn’t receive the notice. An email was sent to the Devon Village HOA regarding the October 4 Community meeting at 10 AM.  I have to check the date when that was sent.

I am assuming you are on that group email address. 

I do not know who handles adding names to the HOA address but if there are homeowners not on it, we will need to address that at our meeting and include all not receiving emails from that central address.

Have you received other communications directed to Devon Village HOA?

I will notify Paul to send an additional notice to our Homeowners reminding them of the meeting this Saturday.
