Dear colleagues,

this is to inform you, that after a quick poll in the Collaboration
Board the HERA-B management has decided, to curtail the upcoming Hera-B
week to its minimum. There is a broad consensus that devoting a full
week of our precious remaining time until the shutdown to sitting in
meetings and preparing plenary talks is irresponsible. Nevertheless, it
will be highly recommendable and interesting for the external members to
come to Hamburg for that week !
It is clear, that this will be a specialty for this upcoming meeting,
the next one in October will be of usual (or even extensive) length !

The following strategy will be followed :

a) All subgroup meetings are put completely in the hands of the
subgroups. They decide if they want to have a special arrangement for
that week, have no meeting at all (like target) or cover it by the
regular weekly meeting they anyhow have (like OTR).

b) All these regular weekly meetings are announced such that the
'externals' have a chance to go there.

c) The Wednesday afternoon Physics meeting is blown up to a real Physics
Plenary Meeting (in the big Auditorium). It should have a well prepared
agenda, covering the present status of analyses, the potential physics
reach of this year and the status of planning for the time after. Thomas
Lohse is preparing such an agenda.

d) We anyhow have to arrange a review of the most critical items
(attention : ITR, OTR, MUON, FLT, TRACKING...) to the Research Director
of DESY (now scheduled for Tuesday late afternoon, could possibly be
shifted) where the responsible people (group leaders) have to make an
informative report (not a plenary type hymn) of their subjects. This is
of course public and would be an excellent possibility for all HERA-B
members to get the latest status.

e) We have the official (political) meetings : Collaboration Board,
G-12, a meeting of the board members with the Research Director.

f) There are NO plenary subsystem presentations.

g) we keep the dinner

A new agenda will be prepared these days.

I hope, this is acceptable for most of you and reflects the resoluteness
of the collaboration to get good physics this year !!

Regards

Bernhard
