Well, we didn't plan for an email vote and historically this is not something that the club has done when there is an in person meeting. It sounded like people wanted an in-person meeting and so that is what we planned. I spoke with Steve Roti, who wrote the bi-laws, and he stated that the intention is for one or the other, not both. Hold an in person meeting or do a written vote in the absence of an in person meeting. This is also how I interpret the bi-laws.
I think that it makes really good sense to do an in person meeting for voting in new officers and such. I think it could make more sense to do a written letter for bi-law changes that require a lot of reading. Of course this is just my 2 cents and super happy to hear other opinions on this. I can add it to the agenda as the first thing we discuss.
