Manager reports directly to CFO in San Diego, with daily interface with Anadys Europe
Managing Director.

General Function:

Perform all local administrative duties (except ultimate oversight) for Managing Director who
will be traveling on Business Development and interfacing with scientists onsite in this 15-
person subsidiary.

Specific Responsibilities:

1. Finance

· Purchasing: process purchase orders using locally-installed American version of
Navision (accounting software), solicit approval for large purchases.
· Shipping/Receiving.
· Payroll admin.limited to review of prepayment register (the rest contracted out).
· Payment of invoices (phased in, with Managing Director control by approval of
Navision output payment file).
· Requests for money transfers into Deutsche Bank account from San Diego.
· Accounting in American version of Navision: entry of invoices, posting to G/L,
accruals.
· Grant accounting (one grant now, others expected).
· Petty cash and its accounting.
· Bank reconciliation, monthly.
· Interface with San Diego financial department by e-mail and by phone (evenings)
on an as needed basis, especially at month-end, to clarify monthly closing details.


2. HR
· Advertisement for recruiting.
· First review of applications.
· Correspondence with applicants.
· Coordinate approval process (requires interaction with San Diego).
· Employment contracts per local template (exceptions handled by M. Director).
· New employee orientation.
· Track vacation, sick leaves etc., assemble reports.
· Provide employee information to external payroll accountant.


3. Facilities

· Interaction with local building management, janitors and contractors.
· Safety and health monitoring according to regulations.

4. (If qualified) Information Technology
Assess periodic need for and coordinate work of existing part time IT contractor.


Knowledge and Skills:
1. One year of accounting education or equivalent. Prefer some experience with
computerized accounting.
2. Intermediate Excel and Word skills.
3. Bi-lingual: German, English. Prefer American or British ex-patriot.
4. Minimum of 5 years business management experience, including administration
outside of accounting. Prefer experience in office management per se.
5. Diplomatic take-charge person with strong written and oral communication skills,
able to work well unsupervised. Excellent interpersonal skills and service orientation.
