To: Prospective 2013 Credit Union Cherry Blossom Ten Mile Run Participants From: Phil Stewart, Event Director Entry Process for the 2013 Credit Union Cherry Blossom Ten Mile Run and 5K Run-Walk – Lottery Opens at 10:00 A.M. on Monday, December 3, 2012 IMPORTANT NOTICE: In order to reduce the chances of not receiving our messages regarding the lottery and the race itself, individuals are encouraged to “white list” or put on their list of approved email addresses in their email program the following email addresses: The Lottery The Credit Union Cherry Blossom Ten Mile Run and 5K Run-Walk will be using a lottery system to select our 2013 race entries. Here is how the lottery system will work: Prospective entrants will be able to register for the lottery during an 11-day period starting at 10:00 A.M. on Monday, December 3 and extending through 11:59 P.M. on Friday, December 14 on the event website, www.cherryblossom.org. When registering, prospective entrants will complete and submit the entire entry form including the credit card information. However, credit cards will not be charged unless the applicant is selected. The entry fees are $40 (plus an approximately $3.50 online entry fee – more if you purchase additional items) for the 10 Mile Run and $30 for the 5K Run-Walk. (Please note that pre-registration is required for the 2013 Half Mile Kids Run but it will be held on a first-come, first-served basis and will open up on January 4, 2013.) The lottery will be able to handle “Groups” of up to 10 people. This is designed to allow families and other groups either to get in or not get in as a “Group.” Each “Group” has exactly the same chance of getting in as each single individual. The first person in a “Group” will set up the group, give it a name and register himself or herself as the first member of the Group. When subsequent members go to register, they will be able to affiliate with that “Group” by using a drop down menu on the registration form. Please note that no additional members can be added to a “Group” after the lottery period closes. The “Groups” exist only for purposes of entering the lottery. Once the lottery is held, the “Groups” are disbanded. Groups may consist of runners entered in both the 10 Mile and the 5K Run-Walk. The event the runner who creates the group registers for will determine if the Group is entered into the 10 Mile Run or 5K Run-Walk lottery. The organizers strongly encourage prospective entrants to spread out their lottery registration over the 11-day period rather than everyone trying to register the moment the lottery opens. Registrants at the end of the 11-day window have an equal chance of getting in as registrants on the first day. If possible, we would suggest the following schedule:
An electronic “drawing” will be held from all the applications on hand after the lottery period closes. The names of everyone who entered the lottery – with notification of whether they were accepted into the race or not – will be posted on the event website by 10:00 A.M. on Tuesday, December 18. All lottery registrants will receive an email indicating their status as well. (These emails may precede the posting of the list on the website.) Individuals (and Groups) not selected will not have their credit cards charged for the entry fee or for any ancillary items purchased such as the “Upgrade” performance shirts, medals and carbon offsets. Please consult the “Lottery FAQs” at http://www.cherryblossom.org/generalinfo/lotteryfaq.php for more detailed answers to questions regarding the lottery. If you prefer not to enter online, we will be accepting a very small number of mail-in entries. A mail-in application will be available for downloading in .pdf format from the website starting on Monday, December 3. We will conduct a lottery from all the mail-in applications received by December 14 and accept only 100 mail-in applications for the 10 Mile and 25 mail-in applications for the 5K Run-Walk. Individuals attempting to enter online and by a paper entry form will have both entries rejected. Mail-in lottery results will be posted on the race website by December 31. If you receive a cancelled check submitted with your mail-in entry, you are in. You can bypass the anxiety of the lottery and help treat sick children when you sign up to become a Charity Race Entry Participant. You can qualify as a Charity Race Entry Participant by raising $500 dollars for our official race charity, Credit Unions for Kids. Every dollar raised for Credit Unions for Kids will be donated to the Children’s Miracle Network Hospitals, a network of 170 non-profit children’s hospitals located across North America. For more information about becoming a Charity Race Entry Participant, please go to our official fundraising website at http://www.helpmakemiracles.org/event/cucherryblossom/ The 2013 race marks the twelfth year Credit Unions have sponsored the run in support of Credit Unions for Kids and the Children’s Miracle Network Hospitals. Over $5.5 million dollars for children’s hospitals has been raised during this time. Join thousands of runners and over a hundred Credit Unions and Credit Union partners to help provide local kids with state-of-the-art care, cutting edge research and treatment for every disease and injury imaginable. Remember, all funds you raise go to the Children’s Miracle Network Hospital which supports your community. If you have completed the race 10 times either in a row or non-consecutively and do not get in through the lottery, you can gain a guaranteed “streaker” entry which will be accepted if submitted before February 1, 2013. If you are rejected in the lottery, you can check your eligibility for a streaker entry by checking our All-time Searchable Database which can be accessed through the race website. (We will check it as well when we receive your request.) Remember, please do not apply for streaker status unless you are rejected in the lottery. Streaker requests received before the lottery results are posted will not be considered. Send your request to stre...@cherryblossom.org. Guaranteed entry codes have already been sent to all the runners who, according to our records, are eligible for “TTL” entries. TTL entries will close at 11:59 P.M. on Friday, November 30. If you feel you are entitled to a two-time lottery reject entry and did not receive a code by email, please send an email to in...@cherryblossom.org. We will research your situation and determine if you should have received a code. Remember: No Two-Time Lottery Reject entries will be accepted after 11:59 P.M. on November 30. Volunteer and Seeded Runner Entries All 2012 volunteers should have received their guaranteed entries. If not, please contact Volunteer Coordinator Michelle Carter at mich...@cherryblossom.org. Individuals with guaranteed entries do not need to enter the lottery. These entries must be submitted before March 1, 2013. If you, or someone you know, would like to volunteer for the 2013 race, visit http://www.cherryblossom.org/generalinfo/volunteer.php The same policies as in the past will apply for “Seeded” runners. Qualifying standards for seeded runners are posted on the event website. Contact Seeded Runner Coordinator Drew Woodrich at seeded...@cherryblossom.org for details. Please note that runners and walkers who expect to take longer than 2 hours and 20 minutes (net time) to complete the 10 Mile must enter the 5K Run-Walk. We will close the 10-mile course at 5 miles to runners who are running or walking at over a 14-minute-per-mile pace. You will be required to leave the course at this time. In addition, sweep vehicles will pick up runners on the second half of the course who fall behind a 14-minute-per-mile pace. The large number of tourists in town to see the cherry blossoms limits the length of time we can keep the streets closed. 5K Run-Walk participants will receive the same amenities as the 10 milers, including having your results posted on the website. The 5K Run-Walk is limited to 750 entrants and has a time limit of 65-minutes (about a 20-minute-per-mile pace). Problems with Lottery Registration Please note that if you have visited the race website beforehand, you may need to refresh your browser in order to see the correct version of the web page with access to lottery registration. This seems to be a particular problem for AOL users. Some individuals using Department of Defense, Pentagon, and other Military and some Government agency email addresses may not be able to access the site or conduct electronic commerce on our site due to Government firewalls. We suggest that these individuals enter from a non-government computer using a personal email address. If you encounter difficulties with the online registration process, please contact our online registration provider at Registra...@MarathonGuide.com. Race Instructions and Confirmation All accepted entrants will receive -- by email – the race instructions and a confirmation of your entry by mid-March. Please read and save this email. You must print it out and bring it with you on race weekend to packet pick-up. Packet pick-up will take place on Friday, April 5 and Saturday, April 6 at the National Building Museum. There is no pick-up on the Washington Monument Grounds on race day, Sunday, April 7. Official Race Headquarters Hotel The JW Marriott Hotel, 1331 Pennsylvania Ave., NW, Washington, DC is our 2013 race headquarters hotel and is offering special race room rates of $209.00. The JW Marriott is about ¼ mile from the staging area on the Washington Monument Grounds and about .7 mile from the Health and Fitness Expo at the National Building Museum. The closest Metro stop to the hotel is the Metro Center stop on the Red line.
