university dataverse, what to do when people graduate and leave.

The UCLA Dataverse is intended for faculty, staff, students, researchers, anyone affiliated with UCLA.  At some point people graduate and leave.  We're working on our policy for former UCLA people.

I'm wondering how other people manage this.

Hi Jamie,
In my experience with other installations,  some have allowed accounts to be converted to generic accounts,  so depositors can continue to manage their data,  especially any restricted content. I think Singapore is doing this or at least we discussed this option during one of our visits.

Good morning Jamie,

At UVa, we only allow dataset creation (deposit) by current UVa faculty, staff and students. Once they leave UVa, they have the same permissions as non-UVa folk do - search and download only. UVa has a research retention policy (institution policy, not a library policy) that basically says all research is "owned" by UVa (OK, Grad students are a little different and "it depends"). If a former researcher who did the work (collected the data) while at UVa, and is no longer affiliated with UVa, I will deposit the data on their behalf. We have forms for that,  which includes an author acknowledgment of the deposit license.

Question, I have Jamie, what do you see no-no-loner-afflicated persons needing access to (to do)?

At DataverseNO (which is a national repository) we allow users not anymore working at a Norwegian research organization to publish datasets if the data were produced while they still were employed at a Norwegian research organization. In such cases, we allow them to create an account with built-in authentication. We recently have created internal guidelines (in Norwegian) on this to be used by our collection managers.
