AGM and end of season party plans

Hi All

I just wanted to check with you about the AGM/end of season party on May 24th. I have provisionally booked the top floor at The Fountain for this, the hire cost is £150.

At this stage the main decision is whether to go ahead and book the Fountain for the AGM and party....should I go ahead and do this?

If we're happy to proceed I will confirm the booking and also announce the party to everyone is Spring League when I send the main organisational mail in the next few days. 

As I said at the last committee meeting I am likely to be able to attend and if so I'd be happy to DJ for the party as I have before (if you're happy to let me?? :) but I can't commit to this 100% at this stage, so it may require finding someone else to run the music. 

The next decision is food for the AGM.

The Fountain can offer 2 or 3 course pre-selected seated/served options like we had for the Christmas Party, or various self-serve buffet options. Sample menus are attached.

My suggestion would be to go with the cheapest buffet option (£6 pp), and for the club to pay for this, to incentivise members people to come have fun and participate in the running of the club through the AGM, and to nab people to get involved in the summer tournament. This would cost £180-£300 for 30-50 people respectively (I'm guessing at the turnout we'd expect for this...). What do others think? 

In summary the decisions are:

1. should we book the Fountain on May 24th for the AGM?
2. should we also have an end of season party there after the AGM?
3. will you come to both??????
4. would we like food for the AGM?
5. if so would we like pre-selected, served dinner or buffet style?
6. who will pay for the food? 

Please let me know your thoughts asap! All suggestions welcome :) B

PS If we keep the entry fee at £100/team I estimate we'll make ~£112 off spring league (income is £1500, hall costs are £1388). Please also let me know if you want to query or change this.

3. i'll come to both

also:
- use spring league profit to pay for the hire cost.
- advertise party to spring league (but not the AGM, that will bore most folks, esp non-CVC).  
- make AGM run quickly/efficiently by dealing with stuff that needs discussing at the pre-AGM meeting.  i.e. quick season summaries, any issues for quorum to vote on, elect committee, hand out awards, done.

Yes to The Fountain and party after, buffet probably best for food, and agree with Jean - use Spring League profit to cover some of the costs.

Awesome thanks everyone!

I'll book it and estimate 25 people for food for now, we can always add more but will need to get a sense of numbers soon. 

I'll also announce the party (but not the AGM) to Spring League, but I'll leave telling the club about the AGM to Phil. 

How's this for the schedule: gather at 7 pm, AGM from 7:30-8:30/9 and party starts from 9 PM....?

Totally agree with Jean that we should run through the meeting agenda and deal with as many issues as possible in advance, so on the night we can present, discuss and resolve things concisely.....and then have fun!
