Dear Club Members,
The clubs annual Outdoor Volleyball Tournament will take place at the Cambridge Rugby Club on the weekend of the 2nd & 3rd of August 2014, with the courts and camping being set up on 1st of August.
The Tournament is a major event for us as a club, the proceeds from the tournament help to subsides all our club fees and is used to replace our nets, balls and other equipment we need to run the club.
In order for the tournament to be a success the Tournament Committee needs your help. We are looking for club members to fulfill certain Manager roles and for as many club members as possible to help out in the various jobs though out the weekend to ensure everything runs smoothly and also the it is not just down to a few club members to do all the work. Remember the proceeds of the tournament benefit all club members.
The are a number of the managers roles that have already been filled by willing volunteers. They are:-
Playing Site Manager: Jean Jacquet
Rubbish/skip hire: Phil Game
First Aid: Karen Veitch
Camping and Car Parking: Massimo Lai (Frances Balaam)
Prizes: Sarah MJ (Frances Balaam)
Tournament Entries: Frances Balaam
Registration and Info: Jon Clarke
Toilets/showers: Karen Veitch
T-Shirts: Sarah MJ
Thank you to those who have already volunteered.
The following jobs 9with job descriptions) need club members to manage then:-
Venue Liaison & Catering- To arrange details for catering, bar, playing field preparation, access for setup and any other requirements with the rugby club
Entertainments- To organize the Disco/entertainment and be present for the Saturday evening set up and clear up.
Pairs Competition- Require to arrange the borrowing and collection of the nets from Rhinos and CUVC. take the entries at the registration desk on Saturday AM. Organise volunteers to set up the pairs nets. produce the order of play for the Saturday and Sunday. Ensure match results are collected.
Court Manager- Fix court numbers according to the layout plan. Have order of play for all divisions. Prepare the score sheets and order of play and boards for all courts. And ensure all the results are collected and collated.
Advertising- To advertise the tournament. Via other tournaments, flyers, posters, Local press ect.
Photos- To take photos of the teams throughout the Saturday, develop and collect the photos by Saturday evening. To sell them to the teams on the Sunday.
Treasurer- To provide separate floats for camping & car parking, T-Shirts, photos, food and pairs competition. Collect money during the day and bank it. Work out the profit & cost of each item and the overall tournament budget.
Food, drink & cakes_ to organize food, drinks and cakes ( or encourage people to bake). Organise tents and signs for sales, arrange volunteer rota to cover the stall for each day. collect the cash and to pack away.
The managers will not be expected to do this by themselves but to have the help of other club volunteers.
We would also like club members to volunteer during the weekend. Even if it is only for a few hours. The more people who help the better it is for the club as a whole.

The next tournament committee meeting will be on Friday the 13th June 2014 at the Red Bull pub in Granchester.
