How do we hear about upcoming events?

Hi Stephen, Jaclyn,

What’s our current process for hearing about upcoming Columbia-related events in NorCal?

-CAA
-other official sources(?) 

Maureen and I are here working on the email newsletter and we’re trying to understand how the current process works so that we can use it as a starting place. (If there is no official organized process, that’s fine too.)

Events come to us from 3 sources.

- Columbia (CAA) organized events 
- Jaclyn / or other university representative informs us about them and we work on execution together
- Event sent to person in charge of email
- NorCal club comes up with the event
- Organizer sends event to person in charge of email
- Other organization comes up with an event (another school/partner organization (common wealth club, etc))
- Contact for those organizations on NorCal board sends to person in charge of email

Vast majority are events that we as NorCal come up with, so it’s not so much about “hearing” about events. This is where we want to apply a filter, as a lot of people email us and ask us to promote events that are barely/tangentially affiliated with Columbia.

Hi Everyone,

Question for example & clarification, I have an upcoming SIPA Event on July 23, not sure everyone is on the list or has received the news. I checked the CAA Norcal page and it's not on there, and I would like to share this event and have it blasted out for all SIPA Alumni. What do I do, to whom do I email? The event will be in SF, and I understand we have our respective geographic group, but I was hoping to connect on a wider range so that more people can know about it.

How do we proceed?

Hi Kimh

We are not yet tapped into the SIPA schedule of events. We're separate entities but need to bridge the gap. First things - are you the host of the event? Do you want to advertise this to all alumni in the area or just SIPA? 

I'll let Matt and Maureen decide how they want to manage but idea would likely be we have an events email alias and if you have an event they should be sent there and go to the appropriate persons.

Folks can email me one off events and I will compile to send to Maureen and Matt for marketing purposes. Hopefully this will be on a bi-weekly basis but until we have a regular flow, it will probably be on an as needed basis. 

Just send it on through and we can chat target audience, timeline.  Hopefully this makes more sense so as not to overwhelm the marketing team and since I'll know about all other events. Let me know if something works better for you Maureen and Matt.

Hi Stephen & Nadine,

Thanks for your response. To answer Stephen's question, No, I am not the host of the event. It is an event by SIPA Alumni Affairs for SIPA alumni, to welcome incoming students into the SIPA program. The event will be in SF. I believe it's geared towards the program to help answer questions for New incoming students.

I would like to request it be advertise to all alumni in the area, only because, I'm not sure everyone is updated or have received the information and thought that this would be a good channel for those who are not signed up to see the event and participate, while program specific, CAA is still the hub that holds it all.

Any thoughts?

Hi All

If the event is being hosted by SIPA alumni relations, you should reach out to your contact at SIPA first before emailing out to the broader community. SIPA should be inviting SIPA alumni and students through their database. They may not want the event publicized. If a local alum was organizing a school based event, that would be different.  If you need an intro to my colleague at SIPA, let me know.

Hi all, I'm looking forward to taking on the communications role. Who can provide me with access to Nationbuilder so that I can start learning the program?  Also is there someone who can spend some time explaining to me the various lists, how names are added, any background on how the newsletters have been aggregated and written in the past so I have some context, etc., so I can get started? Jaclyn, this would be helpful for me as well if we are trying to track attendance for the east bay programming and want the regional leads to be able to add data points for segmenting in marketing campaigns.
