Hi Everyone,
I have included the whole group, who have been left out of the discussion after I announced that UHart profs did not seem to have enough interest and that I voted for the SE talk to be at USJ and MCC. This plan seems to be developing well, but some questions have come up that others might like to know about. In particular, here is what I think we have resolved ... thanks to the work that Mary Lee, Shyamala, and Diane have done.
1) The talks will be at USJ and MCC, given the lack of interest at UHart.
2) Diane has reserved a room at 12:30 on Tuesday Oct. 9 at MCC and has accepted the talk title proposed by Shyamala: Social Entrepreneurship: Examples from the Field . I also like it.
3) Shyamala's proposed FYYA class meets on T&T at 2pm, so it looks like another day is needed because the MCC talk will run to almost 2pm.
This gives the the USJ talk at 2:00PM on Thursday, Oct. 11-- assuming Michelle will agree to the payment we have and both are still available.   
4) We have $455 left in the grant and we will be offering that to Michelle and donating the $200 from MCC to Billings Forge. We are not sure yet that Michelle will accept this, especially if it involves talks on 2 days instead of just one.  This would leave us no money for lunches or transportation, but I am willing to pay from my pocket the lunches for the two speakers on one day, even if I cannot be there.
5) Transportation costs were covered by the grant at .50/mile, but I propose that we ignore that aspect and either let the speakers transport themselves or do it for them. ML said she could do Tuesday. I could do Thursday, so let's let the speakers decide on that aspect, assuming they live/work in the Hartford area!
6) So the big questions that need answers ASAP is whether Michelle will accept the $455 for the two talks on two different days at the above locations and times and whether Carey can join her for a $200 donation to Billings Forge?? I will leave this is in MLM's hands, but since she has already done so much, I would take over if she wishes. Just let me know.
7) If the answers are positive, then we would like to have brief bios and pictures. (I can transform to the best format for publicity.) IF NOT POSITIVE, then ....??? we will have to talk some more. See if one day is possible at that rate.
 
I hope this summarizes the situation up to now and notes the next steps. I hope some of you who have been left out of the loop can step in to help out and to participate. If folks still feel a meeting is needed soon, I could try to organize it. Just let me know.

I am sorry if I asked too many questions. Having worked on getting Paul Baran, the first speaker (45 e-mail messages),  and then hosting Steve Chase, I am asking the routine questions that would be asked in preparation for   any event. I shall try to Google the speakers for photographs for the poster/flyer that I will be making to feature this event on our campus.

Here is a suggestion for a title: Social Entrepreneurship: Examples from the Field. I shall make up a general title for the USJ presentation. As far as the others being present, both CCSU and UHA decided not to feature these speakers because of difficulty in finding faculty who will host them. Therefore, members of our Peace group may not be interested in what we do at USJ or Diana does at MCC.

Regarding the money left, if transport and food are brought into the picture, then that would cost additional in case $455 is paid as honorarium.

 

All I need to know is if indeed USJ is one of two sites, I have to let my faculty colleagues know about the date.  

 

Regarding my availability, I am not easily available until the beginning of October because of various commitments and meetings. At USJ, meetings crop up every second day.

I wish we could have a meeting but email seems to be the next best thing. I am uncomfortable making the kinds of decisions that are requested by Shyamala below without input from others. My initial role,as I understood it,  was to engage the speakers. I did not anticipate taking on a major coordinating role for this event. Yet who will address the issues below?

 

The first thing I need is clarification on the money-Jay replied that we have $455 left in the grant. Does this mean we spend it all on this event or are there other anticipated expenses? I was not party to the original application so am unclear as to the monetary side of things. I need to get in touch with Michelle very soon to see if she will accept the reduced amount. Does the amount of 450 seem reasonable to others, as well as an additional 200 for Billings Forge? If she won’t accept this, then we need to go back to square one and perhaps engage Cary alone. Please let me know your thoughts on this money ASAP. It is not in my place, I don’t think, to make the final decision as to money.

 

I think any idea you all have for a title would be fine. Suggest this be up to Diana and Shyamala, particularly if you need the publicity really soon since you know your audiences. Otherwise I suggest a meeting of the entire committee as soon as possible. Jay, I know you are busy but could you pull this together? When are you available, Shyamala? I think both you and Diana would be key to be there.  At any rate, I think a meeting of the group should occur soon to fill in on what is going on even if some of the decisions are made before it can occur.

 

What I sense is that we have decided on MCC and USJ, one on Tuesday one on Thursday. I can ask for pictures from the speakers once they are confirmed. What form should they be in? JPEG?

 

Jay, who holds the checkbook to pay the speakers?

We would need at least three weeks and a few days for publicity.

I have the sense that we can offer $450 to Michelle and the remainder 200 as a donation for Cary, even over the 2 days. The total real time really won’t be that different whether one day or 2. I think we should go with the line up we have: MCC and USJ. How about lunch at MCC on Tuesday either before or after the event-maybe before is best. Then a 1:30 pick up on Thursday and transport to USJ for the Thursday talk. If Michelle agrees on the fee, I think this is doable. Let me know what you think and I will get in touch with Michelle and Cary. As I mentioned, I am free to help transport on Tuesday but am tied up until 1:30 on Thursday so the only way I could transport for  a 2 PM event would be to leave my other event early.

I realize that there is a clash of times between MCC and USJ. MCC seems to be able to get a bigger audience and also chip in $200.  Our other speakers have done this whole thing in one day. Hi – I have $200 to contribute. As for numbers, if we advertise to the local community as well as students, we might get a small crowd. The best time for speakers here at the college would be at 12:30 – the start of a class. Starting at noon would be in the middle of two classes – not a good idea. It’s going to be problematic getting from here to a 2:00 class elsewhere because the 12:30 class ends at 1:50. We might need two days, but the fees will probably go up, no doubt. 

 

Please know that if a better schedule with lunch fits at one of the other schools, I can opt out and do something else at another time. I’m flexible.

Michelle actually got $1000 for her stint at Wesleyan according to what she told me. Thank you for your questions, Mary Lee.

Regarding the funds, I am personally going by the criteria of the grant. Jay can answer the question better. I can only tell you what I conveyed to Paul Baran and why I refrained from making attempts to get Michael Klare because he wanted $750 which we thought was way above what the grant would allow us. Perhaps, Jay can send you a copy of the grant proposal. I defer to Jay because he was the lead on the grant proposal.

Regarding the numbers at USJ, for the class alone we expect about 15 students. I can try to get a few members of the public to attend. If you recall, for Steven Chase, we combined two classes and invited the public.  The reason that I mentioned the numbers is because Diana was speaking about a much larger sized audience.

 

I am once again sending you the correspondence I had with the faculty teaching the First Year seminar on Homelessness. The class begins at 2:00 p.m. on Tuesdays and Thursdays.

 

Please do not hesitate to contact me.  I would like to have the date as soon as convenient since I have to get started with the publicity here on the campus.

OK if we can’t meet Friday, we may have to do our business by email. And then try and set a future meeting.

 

Diana-what time is it again that you have available at MCC for the speakers? Is there time after that to have lunch and get the speakers to USJ in order to do both on the same day?  If not, could we do a Tuesday at around noon at MCC and include lunch and then a Thursday at USJ for the 2 PM class? ( I thought I remembered that the class at MCC met around noon).

 

Is the sense that we should not offer more than a total of $450 for both speakers? If so I need to run this by Michelle. Cary does not take a fee. If we offer this, would we still have money in the grant left over? And if so, what to do with this? I would put in the suggestion that we might pay Michelle $450 and then if there is still funds, to give an additional donation to Billings Forge Community Works.

 

Shyamala-I am not clear how many people you are talking about? To me, numbers do not seem a problem.

 

It seems that what we are offering is a class at MCC and one at USJ-and also offer these open to additional faculty and the public. Is this correct as the rest of you see it?

Dear All,

I regret that I am unable to do any morning or evening for the next two weeks. I teach at 9 on MWF and on TT this week as well as next week, I am completely booked for meetings. The  evenings are bad for both this coming week as well as the following week because I teach on Monday nights and all of the other evenings are booked except Friday the 7th.   I guess Jay can also make it on that Friday though Diana prefers Thursday.

I recall when I was arranging the speaker from  Harvard, Dr. Beran, I told him clearly about the limits on our budget. Similarly, when I was trying to get Michael Klare for the Sustainability piece, I was told that we could not afford his fee since it was much higher than the budget that the lead signatories of the grant, UHA, had planned.  The fees for these two speakers seem to be above the $450 plus travel that we have done for the others.

I need to confirm the availability of the speakers to the faculty who teach the first-year seminar. If you feel that the audience size at USJ or doing two talks on the same day is difficult for the Social Entrepreneurship, please let me know at the earliest.

Again, I am available on the evening of Friday, the 7th. If you would like, we could also meet here at USJ.

I am wondering if it makes sense for the 4 of us to meet who seem to be the key players for October 9 and 11th? Then soon after that we could arrange a more general meeting with everyone. Wednesday, Thursday or Friday at 4:15 will work. Alternatively we could meet early in the morning before the parking fills up-Thursday of this week or Tuesday of next (the 11th) at 8.

Hi Everyone,
Some of you have started the semester. UHart starts next week. A couple of weeks ago I had sent an inquiry to all the teachers of UHart courses that might be interested in the SE lecture. (I also included all of you.)

 

I have seen little support for getting the lecture at UHart, so I propose we go with lectures at St. Joseph and MCC. I will leave it to Dianne and Shymala to pick the dates and times and will publicize these lectures at UHart. They might be able to do it all on one day.

 

It looks like I will be pretty busy this semester, so does anyone want to volunteer to organize our next meeting?

Thanks to you all for the helpful correspondence and for helping with the relief I feel for not making all decisions without input from the group. Thanks to Jay for pulling the issues together.
 
First, I propose we offer Michelle $430 and use the other $25 for lunch on Tuesday at MCC for the speakers. If people are OK with this, I will go ahead and get in touch with Michelle today or tomorrow about the fee. Do remember that the original plan as outlined to the speakers was for 2 days. So they are expecting this. I am happy to cover the minor costs of gas as it sounds like Jay is as well. I think it important that one of us transports them rather than making them do this.
 
Second-the title is great. Thanks. I am in favor of going with it.
 
Third-transport seems to be handled between Jay and me.
 
Fourth-once positive speakers confirmed (hopefully this week) I can ask them for pictures. If this proves difficult, then perhaps searching online as Shyamala suggests is helpful. Will you do this, Shyamala, once I let you know the status? And send to Diana as well?
 
Fifth-Diana suggests a meeting-why don’t we meet at my house (any of you who can come) Tuesday at 4:15 (September 11). I know Shyamala is not available but anyone else is welcome. I would feel better meeting in person at least to go over details. 6 Columbia Street in Hartford. Phone is 860-930-3182.
 
It is pulling together. I will be in touch as soon as I touch base with Michelle. We should be ready to go with publicity by at least the middle of next week.
 
At this point I still have a question about the mechanisms of actually paying the speakers.  How do we find out what information is needed from them as per the grant? Who holds the money to pay them? Who will do this? Jay?

Assuming the speakers agree on the payments and days, it looks like Diane can simply ask for a check to be made to Billings Forge (Carey can give the actual name that should be on check). The Michelle payment would be from the grant. For that I would need her to fill out a W-9 Form (as I recall), which I will send to her as soon as we have dates and times firmed up. Payments for lunch-- If by grant or by me, someone will have to put the speakers' lunches on a separate credit card and give the bill to me. I will arrange a reimbursement from me or from the grant.
 
I can make the meeting next week, but will be 10-15 minutes late because I teach until 4:10.
