how to change email address in the company master data?

Hii all

In the latest update, the Ministry of Corporate Affairs (MCA) has introduced the Change Request Form under the Company e-filing’s Approval Services (Registrar of Companies) Tab on the MCA portal.

Now, stakeholders can update information relating to master data or any other information using that form. The form is in NON-STP Mode and will be processed by the appropriate Approving Authority.

So i would request you to open your V3 portal, under MCA services select approval services and there you can get this mentioned form for your Reference.

After filing a CRF for change of Email ID i got the following query and client said to change E-mail ID at the time of filing of AOC 4.

I. Please submit the following documents: 1. Affidavit containing basic details of company alongwith list of directors & other contents as below: a) No order is in operation which bars the said changes in master data of the Company/LLP passed by any court or any tribunal or any other competent Authority. b) Company/LLP & its officers/KMPs/Directors/Designated Partner/Partners as the case may be shall be personally liable for the changes being incorporated as per the request of the applicant. c) The Company/LLP does not have any management disputes or there is no litigation pending with regard to management or shareholding of the company/LLP. d) That as on date, no prosecution, Inquiry/Inspection/Investigation, Complaints, Compounding & Adjudication is ordered/pending for any offence under the Companies Act, 1956/2013 or LLP act or any of the other acts as applicable, against the Company or against the directors of the Company/DPs or Partners of LLP. 2. To undertake and indemnify in writing: a) to pay and settle all the lawful claims arising in future on changes in the master data of aforesaid company and b) to indemnify any person for any losses that may arise pursuant to changes in the master data of the aforesaid company. c) to indemnify ROC office & all its officers/officials with reference to processing of CRF e-form. 3. That the Directors shall be personally liable for any future liability or obligation that arises, if any owing to the changes in the master data. 4. No material information has been hidden/omitted in filing this e-form. II. List of documents: 1. Basic company details. 2. List of all directors/KMPs/DPs/Partners. 3. NOC/Consent from all the Directors of the company/Designated Partners of LLP. 4. Relevant proof from the Telecom Service Provider about ownership of the number (in cases concerning change in mobile no/contact details). 5. Relevant proof of e-mail ID and consent from all the directors/DPs/Partners required (in cases concerning change in email details).

Hii..

In order to make any changes in the current Information of the company, please make sure you have valid proofs for the same.

Please draft a clarification letter stating the required change alongwith the proofs, ie. "Include evidence in your clarification letter, you can consider attaching documents like previous email correspondence, official company records, or any other relevant proof that supports your request. This can help strengthen your case and provide credibility to your claim." 

I will suggest Include a screenshot of the email can be a great way to provide visual evidence and support your request. It helps to show the specific communication and can provide clarity to the authorities reviewing your case. Just make sure the screenshot is clear and includes all relevant information.

Do attest full details ie. Details of directors, shareholders etc and get the documents signed by the directors effectively.
