Hello everyone.
A few notes to prepare for next week’s AGM. It will start promptly at 7.40pm, 26 April 2023, so would Main band members please make sure they are on time for the earlier start. The aim is to complete within an hour!
Agenda
- Agree minutes for April 2022 AGM (attached)
- To receive and comment on the annual reports of the officers: Chair; Secretary (and asst Secretary; Treasurer; Librarian; Property Master; Safeguarding Officer and MDs of both bands
- Chair to provide brief update regarding achieving charity status
- To elect the officers and members of the Executive Committee who will become Trustees when the move to charity status is completed
- To set the membership subscription level for 2023/4
- AOB and Items you may wish to add to this Agenda (in advance please)
Note 1
I’ve attached a copy of the 21/22 accounts to which Mike will speak. Other reports will be available on the website and will be briefly talked to during this meeting.
Note 2
The election to the Executive Committee will again be on the basis of the current constitution. With the still not completed move to Charity Status we are in a transitionary phase and the intention is that the elected Executive Committee will become the inaugural Board of Trustees for the Charity once registered.
On the basis of the current constitution and precedent, the positions to be filled are as follows. - Please note this does not preclude other members standing for these posts- at which point an election will take place. Anyone wishing to offer themselves to be part of the exec in general or for a specific role to please make themselves known to me, ideally prior to the AGM date.

The MDs are ex officio members.
Note 3
The day to day running of the bands (gigs, rehearsals, concerts, contests, music etc) is in the hands of their organsising sub committees. The main and progress bands need to (re-)appoint their respective sub committees following the AGM, with the elected chairs being co-opted onto the Executive Committee and then the Board of Trustees.
