Howdy!
Please see below (and attached) for a copy of the event details for your reservations in the University Center Complex. These rooms will not be confirmed until we receive a signed copy back in our office.
Review your event details carefully as the room assignment may have changed from what was originally requested. Due to the large number of requests we receive, we assign events to rooms that will best meet the event’s needs, as gathered by the information you provided. When possible, we try to reserve the same room for your organization, but unfortunately, that is not always possible and your meeting may have to switch locations.
If you notice any problems, please notify us immediately. Otherwise, if everything is correct, please sign and return the confirmation to our office as soon as possible. You can email a scanned copy back to the Hospitality & Event Services (HES) office, fax it to
(979) 845-2519, or drop it off in our office on the 2nd floor of Rudder Tower.

· If any of the events listed on this confirmation are open to people outside of your single organization, you will need to submit the appropriate planning form (
http://studentactivities.tamu.edu/online/forms/preeventplanning/index for recognized student organizations or MSC Program Proposal for MSC programming committees) at least 2 weeks prior to the event, as well as meet with a full-time HES coordinator.
· If you are having food at your event, please notify our office as there may be additional paperwork required. Our food guidelines are available at
http://uc.tamu.edu/rulesandprocedures. Please note: all food waivers must be submitted to the HES office for approval at least 10 days prior to the event.

Cancellations:
· Notice of cancellation of reservations must reach the Hospitality & Event Services Office no later than 72 hours prior to the date of the event. If facilities are tentatively reserved on more than one date for planning an event, it is imperative that our office be informed immediately of the date selected for the event so the other date(s) may be released as soon as possible. Failure to comply with this procedure prevents use of facilities by other organizations.
Responsibility of Sponsoring Organization:
· Failure of a group to exercise proper care of facilities will result in cancellation of remaining reservations. Cost of repairs, replacement of damaged facilities, or excessive housekeeping costs will be billed to the organization. It is the responsibility of the person who reserved the space to inform all members of the organization or attendees of the event of the University Center Complex guidelines. All items provided by the client must be removed from the reserved space at the end of the reservation. Any items left in the room will be removed and disposed of or taken to the Lost and Found inside the MSC. The University Center Complex is not responsible for items left in our meeting rooms after an event.
Meeting Room Etiquette:
· When utilizing the facilities in the University Center Complex, please remember that other organizations are also meeting.
· Be respectful of your fellow students and remember to keep the noise level to a minimum until you are outside the building. Singing should be quiet so it does not disturb those having meetings in the rooms around you.
· Please remember that the Building Managers who monitor the facilities at night are members of the departmental staff. Failure to follow their instructions and work with them in a professional manner may result in loss of future room reservations.
General Room Guidelines:
· Lights are required to be on in all areas; light levels may be adjusted after consultation with the Hospitality & Events Services staff.
· Sound levels must be monitored in order to not disrupt meetings when used within the University Center Complex. Arrangements for amplified sound must be made through the Hospitality & Event Services Office.
· Painting is not allowed anywhere within the University Center Complex.
· Candles and incense are not permitted in the University Center Complex.
· Animals are not permitted in the University Center Complex with the exception of certified service animals and Reveille, the TAMU mascot.
· All decorations must be approved by the Hospitality & Event Services office at least 5 business days prior to the event.
· Taping of posters and signage is not allowed; however, you may reserve sign stanchions through the Hospitality & Event Services Office.
· Nothing can be attached to the ceiling without prior approval from the Hospitality and Event Services Office.
· Fog machines or dry ice are not permitted in the University Center Complex.
· Events held in UCEN facilities using round tables and/or rectangle tables for guests to sit for catered events are required to have linens provided on the tables or be subject to a per table fee.
· Failure to maintain the room as it was originally set up or leaving it unusable for the next meeting may result in $25-$50 reset fee or loss of future meeting room accessibility.
Emergency Evacuation Procedures:
· In the event of a fire or other emergency in which one must exit the building, please locate the nearest exit and leave the building in an orderly fashion.
· If you are the first to notice a problem, contact the Hospitality & Event Services office by calling
979-845-8904 from your cell phone. Our staff will then notify the proper authorities, and instruct you to exit the building.

Date Confirmation Received by University Center Complex
Receipt of the signed confirmation is required three business day prior to the start of the event. The event will remain as a tentative reservation until the signed form is received in the office of Hospitality & Event Services. All events that do not have a signed confirmation in the Hospitality & Event Services office 48 hours prior to the start of the event will be subject to cancellation.
