We're also looking at this- we originally decided to get a photocopier and link it to the access control/membership cards for billing, but the quotes are coming back at over £5,000 for the unit, which is way over what we can afford.  The photocopier guys do a great job of showing you the relative cost per print for cheaper printers, and they do have a point,  but we'd never do the volume they estimate, and we're happy to charge our members a premium as we'd like to keep printing to a minimum anyway, most members won't want it day to day, but it'll be there for the odd time it's needed.

Be good to know what other people do for frictionless printer access (ie without driver issues) and billing/charging (I'll also ask Alex at Cobot about it)

Hello all and thanks for the many vibrant threads to learn from!

I am the IT nerd for our space and am looking to find the most reasonable to deploy solution for managing printing services.  We do not current charge for access to the printers (one B&W Multifunction laser and one Color laser), but we do at least want to get an idea of who is using how much.  And we'd want to make it reasonably easy for people to actually use the printers...  (driverless printing perhaps?)

The printers are already network connected (wired)
- Okidata MB491lp
- Okidata C330dn

There are great solutions for hospitality out there, but you could easily spend $1-2,000 to get started and then a monthly fee.

If Cobot had cloud printing support we would be all over it.

I looked at Google Cloud Printing and it's not off the table, but it's not really a clean solution.

Thanks in advance!

Fabrizio,

I'm one of the people who runs Workantile in Ann Arbor. It's always great to see another coworking community opening in Michigan. Good luck!

As for printing, we have a Brother DCP-8085DN connected to the network that people use. We supply the paper, but ask that people who print a lot bring in a package of paper to replace what they use.

The most used feature of the printer, however, is the scan-to-pdf feature it has.

In this day and age who would have thought printing still makes me lose sleep at night! I have not been very active in this forum, but will start since we are projecting to open our new space Frontal Lobe on April 1 in Howell, MI. I will post separate about that to introduce myself to the masses.

As for printing, I keep going back and forth on what I should implement to get started. I don't want to invest in a high tech system when really my true vision is for the printing to be used minimally. I would prefer if a user did have a high demand for printing they would purchase there own solution. This would require them to have an office space or dedicated desk, or I am sure we can find some way to accommodate  At my day job I support our infrastructure and printers fall into that category, I joke about going paperless all the time and only wish we could make it a reality! I will keep an eye on this post to see what comes of it, it is a topic at the forefront of my mind right now.

Tom,

The Scan to PDF is an important function. Where do you have the PDF
files being sent? Does it just email them to the user or do you have
an open file share it drops them on? I bought the Okidata MB491LP and
love it so far, but am still tweaking the functions.

I am going to trial "Paper Cut".
http://www.papercut.com/

I have emailed their sales department about trying to get something in
between their Education and SME (small-medium enterprise) pricing. I
mentioned the Coworking model and that we have 4,600 of us here all
sharing ideas and we would all love to have a simple and affordable
solution. No word yet, so please feel free to review their website
and email them the same encouragement for Coworking Model prices.

Tech Stuff: I am going to fire up a small (micro-ATX form factor) PC
to run it on. I am not sure which of their supported operating
systems I will run, likely a Linux variation since that is free. I
will put the PaperCut into it's invisible pass-thru mode to start so I
can see who is printing the most. As I learn more I will report back
trying to focus on "actionable" information.

I really hope we get some more posts with the DETAILS of their
solution that we could all learn from and put into practice. I have a
hard time thinking that someone out there doesn't already have a very
solid way of doing this today that doesn't cost $5,000+. We do not
anticipate charging per-page to print unless someone was really
abusing the printer privilege and costing a lot of money.

Thank you all for sharing!

Michael

Michael,

The printer/scanner has a USB port on it where flash drives can be inserted. The scanner saves the pdf to the flash drive.
