Conference Room Use

Does everyone include conference room in their plans? Or are there
certain restrictions like , a cap on the amount of hours you may use the
meeting room depending on the plan? The latter is what we do, and its
great because it gives community members who are here full time more of
a reward , to have more hours of access than members who only come 4
times a month.

I'm just wondering if any spaces do anything similar and if so, how do
you keep track of those who use extra hours? We just go through the
Google calendar and through their membership plan, but I was wondering
if anyone has a more efficient system.

We technically only give conference room time to full time members and teams. Part-timers can buy a block of 8 hours for $50, although I've had them ask for an hour here or there and we accommodate. It's more important to us to be flexible and easy. I've only asked one member about going over his limit and we worked something out. 
As far as tracking it, we've got calendars on the doors to schedule, so I keep an eye out for anyone using it too much, but I don't lose any sleep over it. Other than that, the 2 conference rooms are empty as often as they're full with 46 members so unless it becomes an issue, we're leaving it alone.

We're just getting started but our current plan is for just an hour or two, any member of any level can use either conference room.

For 4 or 8 hour blocks our full time members have complete access, others have a fee for booking either size block. We're so new it's not come up yet, and mostly our members will be using the conference room for quick calls or podcasting/skyping. So we'll see, the plans may change :D

Were pretty flexible, thats the problem though, as some members have been slightly inconsiderate of other members conference room needs. We decided to take one large private office and turn it into a smaller meeting room, helped  a little. Just wondering if there was an easier way of tracking and scheduling since our rooms are always booked.

We use a reservation system (MindBodyOnline).  Each member or walk-in has an assigned # of hrs they can use.

Gotcha. I don't think it would be unreasonable to say "Now that we're filling up, please be mindful of your allowed conference room time." We offer 8 hours for $50, which is inexpensive but possibly enough of a deterrent to keep them from using too much time?

As usual, we're barely doing anything in terms of regulation at
Cohere! We have a shared google calendar so members make their own
reservations. We have a vague guideline of 4 hrs/month for the lowest
level of membership and unlimited for everyone else. Most often,
members will just ask me if they need a lot of time in there or want
to host a series of classes etc and we'll work together to come up
with something that seems fair. We haven't had any problems with
overuse to date. Even with 45 members, our conference room is
typically in use for only 2 hours/day.

We have two small conference rooms for member (full-time only, at $150 or $175 per month) use. Anytime they want, free, just schedule it via our high tech paper sheet on the wall.  

Members can also use the entire space (1700 sq feet) for free after hours for classes, presentations, meetings, etc.  If they wanted to, they can use it 30 days a month.  Again high tech scheduling via whiteboard. 

We have had the occasional Chamber mixers here during the day, but, the member in charge has to get permission from the other members. But, it is good for small businesses (our members) to have the entire Chamber here (100+ people)...great networking....(and we get free food!).

PS:  I spent the last 4 years of my working life developing a web-based scheduling system for video conferencing.  Thus the paper and white board method in use today!  :-)

We have two conference rooms, one for 12 pax, the other for 25 pax. Both of them are included in the yearly and monthly member package to use free of charge 2 hours/day. For hourly members, coffee members and non-members, the conference rooms cost 2.5USD/person/hour with wifi, projector and tea included. 

Our conference rooms can be booked online, but final approval is done by administrator(our space manager). http://xindanwei.com/service/
We give priority to the monthly and yearly members if there are any conflicts, and for hourly members, coffee members and non-members, we have a card-punching clock to record the usage time, it is a electronic clock where you can stick a stiff card in to record your time to get in and the time to get out, a bit like the system in the old factory for workers to do their day/night shift, we thought it was funny, cheap and useful, up to now, it works just perfectly, costs only 50 USD.
