Hi, all--

I have just had confirmation from Jean Redpath's agent that Jean agrees to do a concert for us on Saturday, April 30 for a guarantee of $1000 plus 75% of any NET (after the guarantee and all of our expenses). She is also willing to host a master class on Sunday, May 1, without guarantee (i.e., for whatever attendees pay).

If this is agreeable to the board, the agent will send me the contract. We have not talked about accommodation requirements yet, but this might be a case in which we could persuade a local hotel/B&B to donate the room in return for publicity.

If we can get quick consensus by e-mail, I'll get back to the agent today. Otherwise, we can make a decision at tomorrow's meeting.

If you-all agree it's a good idea, I'll mention to Jean's agent that Rebecca Lomnicky (the champion Scottish fiddler and Cornell freshman who played at our VOCO concert) might be able to open for Jean or to accompany her on a few songs. Jean can get an idea of her style from CD cuts and videos on Rebecca's website (www.rebeccalomnicky.com). I haven't contacted Rebecca yet; thought it would be better to get Jean's reaction first.

I still have fingers crossed for Reed and Megafaun, but if that doesn't work for Feb. or March, Bruce Molsky's posted calendar is still open for Feb. 12....

1) Megafaun
I agree with Bill, we need some word back on Megafaun. It seemed that the plan was to discuss it at the meeting this week, since I didn't get any concrete feedback from the board about how to move forward with booking (except to contact Farewell Drifters). I think though, that since time is an issue, we can figure a few things out via the list serve.

With the spring schedule as it is the possibilities for our fourth saturday concert are as follows: 
Feb 5- Open (Too early for Megafaun)
Feb 12- Open (Too early for Megafaun)
Feb 19- Closed-the week before Magpie
Feb- 26 Magpie
March 5- Closed- The week after Magpie (But Maybe?)
March 12 - Open
March 19 - Closed- Spring Break
March 26- Closed- Spring Break
April 2 - Gordon Bok
April 9 - Closed- The week after Gordon Bok
April 16 - Open
April 23- Closed- The week before Jean Redpath
April 30 Jean Red Path
May 7- Last day of classes

Megafaun wanted a Thursday. This seems to be a less desirable day, but I think we could pull it off in March or April with the right promotion; the dates would be March 10 or April 14.

I need two opinions from the board. 
A) If we do a Saturday show (March 12 or April 16), we will offer Megafaun 1,000 plus a percentage. What will that percentage be? 
B) If we do a Thursday show (March 10 or April 14) we will offer Megafaun 1,000 plus a percentage. What will that percentage be

When I contact Megafaun, I'll be careful to express that any offer they accept will still need to be approved by the board. 

2) Deadlines
I'm not aware of any of the promotional deadlines we're working with. Since I'm new, and now working on booking, I need to know what our schedule is so that things don't fall behind.  In the mean time, will whoever does this just email me (no need to spam the list) with our deadlines. I'll turn all of this into a word doc, so we have the info standardized and accessible.  

I'm putting up a calendar on our Google Site and working out accessibility issues as we speak.

I agree with Steve that we should avoid 2/5 and 4/16. PR deadlines are to get the postcard mailed before the semester starts. Most websites want calendar info 3 weeks before the event. Most newspapers now want info. at least two weeks before the event.

Thanks for continuing to concert-manage, Jim!

The sched. is correct, with addition of Megafaun, Bruce Molsky, or other as the fourth concert, TBD.
Venues should be part of the discussion today. Snow may make the meeting tricky for those of us coming from the hinterlands. May have to do an e-mail meeting again.

Gordon Bok and Jean Redpath should need a larger venue than McGraw. Let's reerve Hollis Cornell. As of yesterday, Barnes Auditorium was booked for a 3 pm student recital on April 30, but the evening was unbooked. If we could involve the Music Dept. as co-sponsor of Jean Redpath, perhaps we could get the space free or reduced rate?

Jean Redpath's agent has forwarded Rebecca's web site to Jean Redpath, but asks us not to contact Rebecca about the possibility of joining on a few songs until Jean has made a decision. Better not to disappoint Rebecca if Jean prefers to go it alone.

I have an invoice from Jim Houghton for all eight posters in 2010: $240. I'll bring it to the meeting (if we have one tonight) or will forward it to Diane for payment.

Thanks Margaret, Reed, and Jim for recent communications. Maybe Bill could weigh in now. Reed needs some guidance on how to proceed with booking Magafaun. He has offered them $1000 plus a percentage of profits (should be net, after expenses) for either a Thursday (Mar. 10, or April 14) or a Saturday (which we would prefer and which would have to be March 12). I would say he could offer them a really high percentage of net over the $1000 guarantee since $1000 is way below what they initially asked for and since we are not in this for the money. It would be more for Saturday, I would assume. Bill, would you advise Reed on the percentage to ask and on how to go forth with the negotiation? Why don't you both get in touch with each other about this, make an offer, and if you know anything more by tonight's meeting, we can just okay it.

And we do need to pin down the venues before we can do the season postcard mailing. Margaret is working on the venue for Jean Redpath, I would suggest that having the Music Department cosponsor would be fine and that we say to Margaret--proceed and try for both the cosponsorship and Barnes.

Another issue for Bill. How big a venue will we need for Gordon Bok? Will Hollis E. be big enough or does he still have a much larger following? (Is it 200 seats or 250? It's a nicer space than Anabel. Maybe if we know that we can't get Anabel anyway or they won't let us know, we should go with Hollis E. If we fill it, we take in about $3000. We also talked about Barnes for Gordon. Would you find out if it is available and if we could get it. As I remember, Barnes seats about 250, with more on the stage.

We can pull this off one way or another. The snow has stopped and roads should be clear by this evening. I will plan to be at my office for the meeting at 6:30. But do keep working on the arrangements and keeping the list updated.

Barnes seems to be available both April 2 and April 30 (after about 5:30 pm). But I'm not sure the Music Dept. would give us a break on two concerts. Jean Redpath seems like a surer thing to me for co-sponsorship.

Bill, what are the terms of our contract with Gordon Bok? $1200 guarantee. What percentage, and is it gross or net? Can we afford the roughly $250 (or it may have gone up since our Jay and Molly concert) for Barnes?

Is the will of the group that I should reserve both dates at Barnes for now?

Usual time and ticket prices. Magpie will probably be McGraw. Gordon Bok definitely someplace larger. Jean Redpath maybe someplace larger.

If it snows a lot today I am not excited about having a meeting. I'd like to gert home and start shoveling my driveway so I can get into it before dark.

In the past we have had Gordon in Statler, Anabel and James Law. I don't think Hollis is big enough, at least being optimistic. Barnes would be great if we can get it, so Margaret should ask them about both dates. I'm in the process of finding out about James Law.

For Megafaun, we usually figure a buffer of around $600 for expenses (usually about $300 for advertising, plus hall rental, posters, and for a group like that we might have to rent sound equipment). So, say $1000 guarantee plus 70% of gross over $1600. If we get 200 people that pays them around $2000,and maybe another $1000 for each additional 100 people -- again, we need a bigger room. Could go to 75 or 80% but it's not going to get them $5000 even if Qatar freezes over. It will boil down to whether or not they have alternatives for that Saturday.

The contract is at home, but I think it's 70% of gross, no buffer.

It's worth it just for the atmosphere. I don't know why they'd be interested in co-sponsoring, but we should see if someone in the English department would be interested in a seminar or some such.

What I said before, plus:

Assuming the same guarantee and percentage, I guess we could do a Thursday if we have to, The theory is that Megafaun would draw more from the student crowd and less from townies who need to get a babysitter and have to get up and go to work Friday. But there are a lot of old-timey fans in Ithaca who are not students. What Megafaun's agent has to know is that they will get less money on a Thursday. Agents tend to think they should book clubs and concerts on weekends and colleges in between, because a lot of colleges just pull the money out of their student activities fund and it doesn't matter how many people come. Make it clear to them that we're more like a private concert promoter than a college activity. If they've got somebody out there ready to pay them $5000 for that Saturday, so be it. Might also drop the suggestion that it will be good for them to start building a following in Ithaca.

They never co-sponsored in the past. We just rent the hall from them, like everywhere else.

I've just heard from Loralyn Light. Barnes Auditorium is NOT available for Jean Redpath or Gordon Bok. Already booked by Music Dept. but not yet posted on the calendar. It's only $150 for student organizations, but we need to reserve as soon as possible after June 1 for the following fall and spring. So looks like Hollis Cornell or James Law may be our options for Bok and Redpath.

I've just established that James Law is not available. We can probably do Jean Redpath in Hollis, but for Gordon I think we should go to Anabel.
