I've been meaning to reach out to you to discuss an issue. Back in October, you showed up at the 535 building without your ID one hour prior to the scheduled rental time. While our Athletic Director was gracious enough to put you on the phone with me
to resolve the issue, that is not his job. If you have building-entry issues, please contact me so I can make arrangements. Our staff is never going to allow just anyone to just
stroll into our buildings and accept what they are being told at
face-value. They will need to confirm with me. If you call/email me ahead of time, I can help facilitate things. Also, I let you come in and set-up that evening one hour before your rental began. As a reminder, this should not be the regular
practice. Your rental time begins at 7pm, and that is when you can set-up/enter the building. If you need the building for an early time to allow for set-up, please advise and we'll adjust your group's rental time.
This past Saturday, a representative of your group showed up at the 500 building to unload materials for the evening's rental in the mid-afternoon. He communicated to our staff that he was expecting to set-up, and made requests that basketball nets be
adjusted and the curtain be
lowered. Again, our Athletic Director had to call me to sort out why a rental group was showing up 4 hours before the scheduled time. When I spoke with your group's rep, I was very clear that he needed to leave as the rental
times had not yet started, and that the divider was not coming down and the hoops weren't going up. While we would have been happy to move the curtain and hoops for you, we cannot accommodate day-of, last-minute, room set-up requests. As we've done in
the past, this should be taken care of in advance through me.
Please remind your group that they are not to arrive early for rentals, and if you have set-up requests, please get them to me well in advance of the event.
