Hey team,

We have over 50 people RSVPed on Facebook!  So it looks like we should have decent turnout for Sunday... even if it's just several dozen.  Nice work on turnout... but don't stop, especially if there are key people we want there to bring on board.  This is an good a time as any!

So below is the revised schedule as a see it... I think there might be 5 minutes off here or there from what Lara and others suggested.  I'm unsure if we should use extra time for intros so people at least know who is in the room beyond core folks that will be worked into the program.

Take a look and let me know what people think!

REVISED Agenda:
  • 1:00pm - PEOPLE ARRIVE, CHILL, EAT
  • 1:40pm - INTRO / WHY THIS PROJECT MATTERS (Jan) - 5 minute intro from Jan and 5 minutes popcorn style people answering: "why are you excited about this project"  why NYC needs a movement space like this" 
  • 1:50pm - PRESENTATION OF WHAT WE’VE BEEN UP TO (Sharon)
  • 1:55 - PRESENTATION OF THE SURVEY (Lucas)
  • 2:00 - VIDEOS – La Pena and Ateneu Candela (Lucas)
  • 2:10 - DREAM TOGETHER IN LARGE GROUP (Michael Premo)
  • 2:25 - SMALL GROUP BREAKOUTS  (outreach: Jan + Lara / business plan: Sharon + Lucas / space: Michael + Denisse).  There will be a description of working groups on butcher paper or in a handout.  Each small groups will then takes notes on ideas, questions and next steps... each will someone to report back to the full group (should those be volunteers or one of us?)
  • 2:50 – REPORT BACKS FROM SMALL GROUPS (Denisse) A few minutes to report back and a few more for questions/clarification/ideas.
  • 3:05 -  NEXT STEPS – (Lara) Pass around sign-in at beginning
  • 3:10 – FEEDBACK in PLUSES & DELTAS (Lara)
  • 3:20 -  Hang-time!

THINGS WE ALL CAN DO TO ENSURE SUCCESS:
FOOD: everyone is bringing a dish or something to share
PROGRAM: each person will prep for their section in the program (perhaps submit outline to me or full list in advance)
TURNOUT: everyone is working to turn out best people in their circles (and/or from survey respondents) to attend
ARRIVAL: everyone should ideally arrive at The Commons between noon and 12:30 so we have some time to set-up space and check in with each other (we have the space from noon to 5pm)

Can someone check in with Melissa about space set up?  We'll need tables for food.  Chairs.  The projector/sound set up.  Check to see if they have pitchers and/or a coffee maker we can use.  Anything else?

Later today or tomorrow I'll be working on drafting a more detailed description of the working groups, the core and the advisory board that we can have ready for Sunday.  I'll also be prepping presentation of survey and video clips.  If you have any questions, needs or suggestions for Sunday... feel free to hit me up or share with the full group!

What about serving utensils? I actually don't have any other than family heirlooms, so if someone could bring something with which to cut & serve lasagne, that would be swell. Also, platters or plates or bowls for bread & cheese & fruit?
