Adriana,

 

1)      All the ballots mailed and received by April 25th will be accepted plus those hand delivered

at  the HOA meeting, please confirm

2)      How to know if all the ballots mailed by the owners have been delivered?

If there has been any problem in delivering the ballots by April 25th there will be

still enough time to get another ballot and hand deliver at the HOA meeting.

Will you let us know whose ballots will be delivered by April 25th?

3)      Location, date and time of the meeting?

4)      About ballots for security cameras and Board Members: I expect that

the envelopes containing the envelopes with the ballots will be opened, please confirm

Actually there is discrepancy on the Security Ballot that states it must be received by April 26th.  This was the date the board had originally set for the board meeting however the library was not available so we had to schedule the meeting for May 5th.  Because of the discrepancy on the security camera ballot as the inspector of elections I am extending the due date for both ballots to 6 p.m. on May 5th.  All ballots received at the MB office by mail and any ballots hand delivered to MB at the library by 6 p.m. will be counted. 

 

Who has and has not vote is not public information.  Voting is a privilege not a requirement and it would be against privacy act to publish whether someone has submitted their ballot or not.  If a homeowner would like to confirm that their ballot was received they can contact MB to confirm that information.  If it is confirmed that a ballot has not been received and a homeowner would like to submit their ballot MB can and will provide a new one.  Please note that if for any reason two ballots are received for any given unit the ballot with the earlier post mark will be counted and the second will become invalid.

 

All the ballots remain in their sealed double envelope and they will only be opened at the meeting in Open Forum.  As the inspector of elections MB will appoint 1-2 homeowners who to assist and certify the results of both ballots.  Please note that those two homeowners for all fairness will not be anyone currently on the board, running for the board or related or residing with a current or running board member.  Once counted and announced the results become final and the ballots are available for homeowner review and/or inspection for 1 year. 

 

Just to confirm both ballots will be opened and counted at the board meeting to be held at the Tully Library on May 5th at 6 p.m.  Any ballot that is not received by 6 p.m. will NOT be counted so please mail or have your ballot turned into MB by 6 p.m.  To accommodate homeowners who prefer not to mail their ballots MB will arrive at the library 15-20 minutes early to receive any hand delivered ballots.

did you or board members ever check for the availability of conference rooms at
Corde Terra Village (apartment building if front of our homes)?

The location would be easier to reach which could even determine more owners to attend the meetings.

Originally the meetings were held at Community Room.  However because ROEM manages the Affordable Housing scheduling the Community Room became difficult because there manager leaves at 5 p.m. and they would not provide us a key or access after that time.  For this meeting we will need to proceed with having it at Tully Library because notice has already been sent to the membership.  However at the May 5th meeting we can discuss changing the location and MB can check with the apartment manager Huyen to see if they would consider changing that policy to allow us to use the room.  Previously Huyen was willing to work with us on this matter but the powers that be above her did not approve.
