Role Summary/Purpose

The Section Administrative Associate will provide overall administrative assistance and support for the Section Manager, sub-section managers and associates of Product Definition Engineering.

Essential Responsibilities

In this role, you will create presentations using MS Office applications, take phone calls, calendar management, maintain a filing system, distribute mail, fax and photocopy, coordinate domestic and international travel arrangements, plan business meetings and company events, performing tasks for special projects, etc. In this role, you will:

• Provide communication and event planning support to the site

• Submit orders for general office supply and other business-related items via the Oracle Self Service Purchasing System (SSPS)

• Coordinate the purchasing of non-standard and special request items through external retailers / vendors

• Perform monthly reconciliation of purchasing card expenditures; process vendor invoices

• Provide task management support for section manager and sub-section managers

• Maintain list of key deadlines and provide follow-up to ensure on time delivery

• Assist new and transferring employees with setting up travel profiles, requesting Dial Comm / Travel & corporate cards and/or Easylink eFax accounts

• Update and publish dashboards

• Coordinate onsite and offsite business meetings (may include, hotel / conf room reservations, lodging and transportation, sending out meeting requests, creating agendas, ordering food for meals and breaks, etc.)

• Administrate the Rewards & Recognition program for Product Definition Engineering (enter awards, print award certificates, distribute annual catalogs, keep employees informed regarding program updates)

• Coordinate recognition celebrations

• Update employee, team, budget and awards-related data and generate reports for Product Definition Engineering management

• Coordinate cube / office assignments

• Coordinate Product Definition Engineering monthly roundtable and town hall meetings

• Provide Kronos support

• Perform other duties

Qualifications/Requirements

• High School Diploma / GED

• Minimum of 3 years of experience as an administrative assistant

• Ability to handle confidential information appropriately

• Excellent written and verbal business communication skills, including superior phone etiquette

• Demonstrated commitment to quality and customer service

• Prior experience working in a team-based environment

• Excellent interpersonal skills and ability to deal with all levels of employees effectively

• Bachelor’s Degree in related course of study

• Experience using Oracle Purchasing / Financial software

• Experience using Kronos

• Familiarity with the Blackberry handheld PDA
