  Hello!  My name is Gibbitt, and I am the programming director for C-Cubed 21!

This year the central theme of the convention will be how to deal with the emerging realities of modern convention running mainly how to set up policies, procedures, and structure to protect and grow your organization. 


I am looking for resources and ideas.


What would YOU like to see on a panel involving professionalism (without losing the fun)?  What concerns are there for your convention?


We are hoping for many different ideas, and to bring in many different points of view.

Gibbitt -- I would like know more about conception to death of a con.   Reading for the Future was born at LA Con III.  At that time RFF was just a grassroots group.  Organization was very not there.  Bobbie and I filed as a Utah nonprofit.  We still need bylaws-articles of incorporation agreement.  I noticed that the SWOC bylaws still have some hiccups.  Are they still undergoing update?   Since RFF has members outside the USA we do not have a time where all Board of Directors are on the same continent for our annual business meeting.  I was planning on borrowing from SWOC how this was resolved.    Does C3 have or need bylaws?

 

A friend asked in October why Utah had never had a World Horror Convention.  We set up a concom.  Two members had attended a WHC.  We put a bid together and had a WHC by May.  We needed to have 501(c)(3) status.  Each step was a learning experience.  The WHC concom did not die but is now bidding for WHC III.   How does this affect the total con running resources?  Utah has two annual cons over that are over 25 years old.  In 2014 Utah has at least 5 local cons:  Life, the Universe and Everything in February (2013 membership was over 1000), Westercon 67 (July) is using many Conduits (traditionally May) people so CONduit as such skips 2014.  The Utah Anime con is in the fall (membership over 3000).  SaltCon is now in year 2 (2012 startup was expected to be around 400 but was 800 members.)  Mountaincon (media) is still recovering from financial problems (went over budget in 2011).  Gaming con is possible.

 I have set up three groups that fell under 501(c)(3).  One ended after five years; one is still operational.  RFF is the third.   Is 501(c)(3) proper for a sf con i.e. Norwestcon?

To answer a couple of David's question

1) The changes to SWOC bylaws for "electronic" meetings were based on WASHINGTON STATE law, I would make your changes (if needed) based on the state law you incorporated under.  

2) The first vote on the changes to SWOC's bylaws happened yesterday.  They will require one more vote of the membership to go into effect.  This is scheduled for the end of September.

3) As C^3 is under SWOC, they must follow SWOC's bylaws.  One of the changes to SWOC's bylaws is to clarify that the conventions/events under SWOC have standing rules, not bylaws.

4) Norwescon just recently became a 501c3, after 30+ years of not being one.  If you think your convention/event should be a 501c3, I HIGHLY recommend you start that way. Norwescon had many extra hoops it had to jump through to make the transition from a not-for-profit to a 501c3.

Great response, Shawn. Also, even though it is old news, I'm still giddy about Norwescon becoming a 501 (c) (3).
