I am aware that the HP V2.3 toolbox will show the ink levels in the
cartridges. Are these levels real or an approximation related to
numbers of sheets used or what? I'd like to know when to refill them
before they get too low and the print heads get ruined.

The toolbox Graphic indication is optimistic so when it says empty there is
a small amout of ink to allow successfull refilling.
Method used is dropcount not guesswork :)
Upgrade the driver to v4.1 which now displays % for level as well as the
graphic.
You can also use the printer buttons nos are taps on the buttons
LH MID RH
4 1 hold on
then release the RH button
The RAW ID's etc are printed out look for "I" and "II" at the foot of
printout
I %XX black
II %XX colour
this is accurate

Along these lines - can I somehow turn this function(ink level
reporting) off so I don't get the annoying warning dialog box? Refilling
cartridges manually so the level indication is never correct.

You can Stephen open the toolbox
click on the top LH corner printer Icon
select about
now a new box appears with a printer in the centre
hold the "cntlr" key down double click on the printer
a new box will appear "configuration"
turn of ink message is in section "product components"

You will need patience so give it a good try.

You can use the tape method if you want to reset the cartridge level :)

You'll get a warning when you print when it starts to get low.
Later, you'll get a blinking light on the printer.
I don't know how exact these are but I've never had pages printed without
enough ink. IMHO, the software warning is too early.
