we have flash vendors that upload files to an ftp server... then i go
ahead and pull what we need together and upload the assets to another
ftp server into the right directory (our vendors always clutter the
directory structure and it's very unorganized - that's why i'm doing
this).
now i go to our internal web-developers and say: "hi, you can download
the assets from this directory and put them onto the website". then
QA comes back and says "this and that asset is broken". so i go back
to the flash vendors and the whole cycle starts again. this workflow
is less then perfect of course since it's easy to loose control over
versions - we also have no real way of previewing an asset before we
upload it to the website.
does anyone here know of a tool where the vendors can just ftp the
entire asset (including shared files) into a directory and then select
on a website the main file - so that we can preview the asset... make
a comment... and the vendor can re-upload a new version. it would
also be nice to add some meta-data to the asset that can we search by.
sort of a asset database?!
if anyone knows any help for this please let me know - we not only use
flash assets but also JAVA or Shockwave type assets. CVS might be a
solution but it doesn't allow (to the best of my knowledge) to preview
things.
thanks for any help,

It's classed as document management software, but will do exactly as you are
asking, is web-based and very affordable.
The features you can benefit from include:
- version control
- check-in/check-out
- discussions based on individual documents (files)
- subscription to folders or documents so when something is changed,
subscribers will receive an e-mail notification
- Guest/client access. Restricts the user to one folder in the
library
- and more

I am amazed at how many people in these 'records management' forums have
never heard of CVS, it is as important as WINDOWS in the software
development community. It is open source, it is freeware and it has web
interfaces, windows clients, linux clients, etc. all of which operate with
each other.
It is incredible for working with documents, but in this case - it is
essential. Any software development project, including a web site should
make use of CVS.
