How to Add Your Company Logo as a Letterhead Choice the Notes R4 Mail
File

Problem:

In Notes R4, how can you add your company logo or any customized
"picture" as a letterhead option (available via Action, Mail Tools,
Choose Letterhead)?

Solution:

The exact steps to create a letterhead with a custom logo are as
follows:

1. In Notes, make a copy of an existing Subform (such as Bouncy
Earth).
2. Edit this copy and give the Subform a new name (such as Company
Logo).
3. In the layout region on the Subform, select the existing graphic
image and delete it. The following fields should remain on the
Subform: tmpName and tmpDate.
4. Save the modified Subform.

5. In a graphics program (such as Paint in Windows 95 or Paintbrush in
Windows 3.1), open the graphic file for your company logo.
6. Copy the image to the clipboard.

7. In Notes, return to the design of the Subform and select the layout
region.
8. Select Create, Layout Region, Graphic. These steps will paste your
graphic (company logo) into the layout region.
9. Drag the graphic image and the fields tmpName and tmpDate the
desired positions.
10. Save and close the Subform.

11. Still in Notes, edit the design of the hidden form called
"(LetterHeadChooser)".
12. Double-click the LetterHeadChoices listbox (to display the
Properties box).
13. On the Basics tab, the keyword choices for this field display.
14. Add the name of your Subform to this list. (The name must be
spelled exactly the way you spelled it in the design of the Subform in
step 2 above. In this example, the name is Company Logo.)
15. Save and close the form.

16. In your mail file, select the following from the menu: Actions,
Mail Tools, Choose Letterhead.
17. Scroll through the listbox until you see the name of your Subform.
Select it and then click Done in the Action bar.

When you create a new memo, the your customized subform with your
Company Logo will display.

Additional Considerations:

If the intent is to make this customized subform available to many
mail users, it is recommended that the Designer make the above changes
in the Mail template (MAIL4.NTF) and then have users update the Design
of their mail files.

If this customized subform for your use only, but you would like
others to see the subform when they open memos from you, you must edit
the design of your memo form and select "Store Form in Document" on
the Defaults tab of the Form properties box.

The letterhead option you have selected is stored in the NOTES.INI
file, in a variable called $DefaultLogo.

Well, if this is a letterhead for the company, ie company logo, that
everyone should have then change the Mail Template to include the new
letterhead.

If on the other hand you as a user want your own look the answer is sorry
No. Even if you modify the design of your Mail database the other folks
won't have your new subform.

You can, however, fake it. If you create a piece of Stationary and use the
Personal Stationary option, you will get a Rich Text Field at the top and
bottom of the form. Have a ball adding Graphics and text. Keep in mind
that I am usually hunting down folks that do this too often because it can
cause decrease in bandwidth as well as diskspace depending on the size of
the graphic and how many times you send it.
