Many companies have written Fax on Demand software that seemessly
attach themselves to Local Area Networks . In this environment a
company can often have the best of all worlds.

The fax on demand system is simply another "Client" on the network
that is attached to the LAN where a Network Fax Server exists.

The Call is processed by the Client Fax on Demand system and then
the transaction is actually sent through the fax server located on the
network.

This approach offers several advantages.

1. There is one central pool of fax devices on the network that can be
use by all applications on the network including the fax on demand
system. There is no need to buy separate fax devices for the fax on
demand system.

2. The documents on the fax on demand system are then available for
sending by everyone on the network. If there is sales literature on
the FOD a in house sales person would have access to those documents
as well. Creating a central repository of commonly faxed documents
saves time and effort for everyone concerned.

3. In a network environment administration of a Fax on Demand
system is easier to maintain and control.


WHAT ARE NETWORK-BASED FAX SERVERS?

A network-based fax server is a communications device (typically a
PC) that houses multiple fax cards or multi-port fax cards and
associated fax communication software. Its purpose is to send,
receive, and route facsimile communications on behalf of a given
enterprise.

With a fax server installed, each workstation on the network has the
ability to create and send documents via the fax server's resources.
Fax servers behave much like a shared printer on the network; In fact,
most workstation-based fax server software makes faxing a document as
easy as printing it. Most network-based fax servers have the ability
to process multiple fax transactions simultaneously, up to the number
of installed fax ports.

In addition to acting as a shared resource on the LAN for sending
faxes, a fax server also has the ability to receive faxes sent to the
company. Fax servers can be configured to route incoming faxes to the
print queue so they are automatically printed, or electronically route
them to administrative workstations, so they can be viewed and then
forwarded to the intended recipient.

Another way of routing incoming faxes is the use of DID (direct
inward dial) telephone numbers. In this case, the last four digits of
the telephone number on which the fax was received are repeated into
the fax card by the telephone network. These digits are then used to
determine the intended party's extensionnumber.

Fax Server Productivity Enhancement

It's a simple matter of tracing the steps we go through when we wish
to send a fax to someone or fulfill a literature request. For most
companies, a labor-intensive series of tasks are what's ahead to
carry-out a simple communication. Consider a breakdown of the time and
steps it takes to send a two-page fax to a customer without a fax
server:

Print the document. Most of the time, this will involve a shared
printer located outside the sender's workspace. By the time the
employee walks to the printer, waits for another job to print, and
then gathers up the document, at least two minutes have gone by. (This
does not include distractions along the way to the printer.)

Create a Cover Sheet. Unless there is an automated means for
creating a f ax cover sheet, the employee must then fill one out with
names and other identifying marks. For most people,this takes about a
minute.

Fax the Document. If a fax machine is available and ready to use,
feeding the documents, dialing the number and waiting to ensure the
job goes through can take over a minute per page three minutes, in
this example. If another job is in the machine, or a line of
co-workers is waiting for their turns to fax, more minutes are added.
(Even if one individual is assigned to collect faxes and send them on
behalf of everyone else, this is highly unproductiveuse of that
person's time.)

At best, then, it takes about five minutes to send a two-page fax. A
twentieth of an hour may not sound like a lot of time, but multiply
that by the number of faxes that are sent by everyone in the company
each day, and you'll quickly see how much manpower can be saved by
automating these tasks. (Much the same series of events happens with a
standard literature fulfillment request; The only difference is that
instead of faxing the literature, an employee will have to print out a
mailing label or envelope, and then affix postage and so forth).

Now let's retrace these same steps in a fax server or fax-on-demand
environment Assume an employee has just completed the same
two-page letter as above. With a fax server, all that need be done is
"print" the document to the fax server. A cover page is automatically
appended to the communication based on pre-configured data (e.g.,
sender name and extension). Recipient information is entered once and
then stored in a 'phonebook' for future use. Total time: perhaps two
minutes, probably less.

WHAT ARE THE ADVANTAGES OF A NETWORK FAX
SERVER?

The fax server captures the document electronically and queues the
transmission along with other fax jobs. All handling from that point
on is automatic: If the number is busy or does not answer, it will try
again. If the line is answered by a person or modem not capable of
receiving a fax, the call will be terminated and the fax job
suspended. In either case, the sender can be alerted to problem jobs'
status.

Look at the steps and time saved:

1. No printer queue, printing, or print job pickup time required;
2. Manual cover sheet creation eliminated;
3. Feeding and dialing the fax machine is eliminated;
4. Waiting at the fax machine is eliminated;
5. Distractions and side-trips are eliminated.
