11/20 Codefest Meeting Recap and Next Steps

Good Afternoon,

We are continuing to move forward with planning for the nonprofit tech needs discussions. We made a lot of progress today with planning so please take a minute to read through everything below. Next meeting will be 
Dec 8th at 9:00 a.m. at Google.  The subsequent meetings will be December 21, at 9 a.m.  and January 4th 9:00 a.m., both at Google.  I will send calendar invites. 

Meeting recap highlights:


1. We are going to run 6 - 7 sessions between January 15 - 26.  Currently, we expect to hold sessions, Downtown, at Google, in Braddock, and in Millvale.  The people assigned to coordinate each location are:

Downtown - Eleanor
Google - Ben
Braddock - Josh
Millvale - Ellen

2. We brainstormed messaging for the promotional materials.  Potential language could include"Nonprofit Tech Lab - brought to you by Steel City Codefest - Get your questions answered,"  "Ask the Experts Tech Chat - brought to you by Steel City Codefest - Get your nonprofit tech questions answered."  The URA will draft materials for input and review at the next meeting. 

3. When nonprofits register for a session they will be asked to fill out a questionnaire. We will start with the one that Sara used last year as everyone agreed those questions were good. 

4. Casebeer is leveraging some Uber colleagues to turn our old Codefest website into a wordpress site that can be updated.  We will be refreshing the homepage to advertise the nonprofit tech needs events and to display language which explains the delayed timing for the next Codefest.  The URA will provide some draft language that explains we are holding tech events to inform the format, topic areas, and timing of the next Codefest. 


5. The format for each event will be the same.  There will be a 10-15 minute overview of key nonprofit tech topics at the beginning followed by the usual tech panel/ nonprofit iteration. Topics for the overview section potentially include the following (we will likely need to narrow it down):   We will use part of the next committee meeting to determine what information should be provided under each topic area. 

  • mapping apps
  • security & privacy
  • responsive website
  • calendar solutions
  • records & data
  • intakes
  • understand costs of building and maintenance of tech
  • questions to ask when looking for a tech solutiosn
  • other resources for nonprofit tech info and assistance

Expect to have 4 panelists and 2 "floaters" to talk to organizations as they wait their turn.  We brainstormed potentially having the "floaters" collect information from waiting organizations to help prep them for their turn with the panel, but also finding out what solutions have worked well for them so that information could be shared with other orgs.

  • URA - Draft language for new website
  • Ellen, Josh, Ben, Eleanor - Confirm days/time/locations for the events in each neighborhood
  • Casebeer - Draft new website

I've reserved our training room 9am-11am and 5pm-7pm, January 15-19 just in case, so we're all set to host whatever dates end up working best.

The Downtown Library has three possible dates available (each date has morning + afternoon available, though the Library closes earlier than the proposed 6:30 end time.) I have placed a hold on all three, but I’d like to confirm a single date ASAP:

 

Jan 19th (closes at 5pm)

Jan 22nd (closes at 6pm)

Jan 26th (closes at 5pm)

 

Please let me know which one works best with the rest of the schedule!

Millvale - 17th (evening or morning - scheduler's choice)

Google - 16 (evening) and 19 (morning)

Library - 22 (evening) and 26th (morning)


Monday Tuesday Wednesday Thursday Friday
15th 16th (Google Evening) 17th - (Millvale) 18th 19th (Google Morning)
22nd (Library Evening) 23rd 24th 25th 26 (Library Morning)


Ellen is working on the Braddock location and will fill it in shortly.

Just a reminder that we will be meeting tomorrow at 9:00 a.m. at Google. We will be reviewing draft flyers for the Tech Chats but here is a preview of the schedule.
