Process for Handling Leads

Okay, I don't know what's up with Google Groups today.  Sometimes when I view it it's there, and sometimes not. Regardless, Here it is in old-fashioned email format until Google Groups gets its act back together.
 
Process for handling leads

1. INTERNAL - Lead comes in (via howdy@ or a personal recommendation)
 
2. INTERNAL - We talk about the project ourselves and decide who's the most passionate about it (if no one is passionate, then we can turn down the project).
 
3. INTERNAL - We decide who's most suited to do the in person or phone-cased client call (not necessarily the "project manager").
 
4. CLIENT FACING - We follow up  ASAP to let them know we're interested and excited to work with them (or not interested). We set up an appt to discuss project further (in person preferred) in that initial client email.
 
Note: we should have one person in charge of initial client contact to minimize the "i didn't reply because i thought you were going to reply" phenomenon
 
5. CLIENT FACING - do client call to find out more info about the project, build relationship with client
 
6. INTERNAL - prepare a proposal
 
NOTE: We need to get this process down and streamlined as I can forsee this as a bottleneck to bringing on new clients.
 
7. CLIENT FACING - send proposal to client
 
8. wait for acceptance/decline/negotiation from client
 
that's all for now. Obvisouly we'll need a process once we get accepted for a project, but let's cross that bridge when we get there.

This is great David.

What do you guys think of setting up a Conjunctured HighRise account?
We could track our Conjunctured leads through that, and place
actionable items on leads so we don't fumble any. Maybe HighRise isn't
our long term solution... but it could get us started.

I use Basecamp right now but have never used HighRise. Dusty, do you
have an account so we could explore the process?

Of course, after Jason Fried's presentation at SXSW, I think we should
carefully analyze 37signals' products but also their practices.
Adaptive Path also, who hosted a presentation Dusty and I attended.

Cesar, what do yo umean their "practices"?  Are they an unethical company?

No way, I just mean "the way they do stuff." Their culture and their
vision. "Practices" does tend to have a negative connotation
nowadays, huh?

I setup a trial Highrise account for Conjunctured. Check your emails
for the login. We got's 30 days before I gotta' cancel if we don't
like it.
