Google Admin Account... help!

I'm looking to transition to Chromeboxes for my library's public computers, but having a lot of difficulty navigating the process. I've purchased a one-time academic license for our first Chromebox, but don't have a GSuites or Google Apps account set up for the library.

It seemed like I would get an Admin account login to manage them in my "welcome letter" per the google help site, which I thought would come with the license. Do I need to get a GSuites account? If so, do you know what type I need?

Any guidance is greatly appreciated!

You will need a GSuites domain. Our library system is set up as a GSuites non-profit.

Once the domain is set up by Google, Chrome devices can be added and managed through the GSuites admin dashboard.

You don't need to use the domain for anything else except managing Chrome devices if you don't want to, but it will have full Gsuite apps and mail capability.

Marshall, how did you get Google to recognize your library as a nonprofit? Or is that no longer an issue of contention?

Duncan,
You will need to purchase a chrome management license for each individual box you want to deploy into your system and manage.
Once you get your proper domain credentials the people from Google are very helpful with getting things running.

We applied for our Google Apps (now GSuite) domain about five years ago now.

At the time we applied using their online form, waited about a month and then contacted Google to see what the hold up was.

They said they were unsure of our non-profit status.

After explaining our organization structure and mission we supplied them with our 501c3 credentials and were approved within a week or so I believe.

We actually have two separate domains, one of which we set up to use for testing during migration and still is handy now and then.

Three of our member libraries also have their own GSuite domains. I believe their experience signing up was similar: Sign up online and wait and few weeks, contact Google and supply your non-profit credentials.

Thank you everyone for all of the information.  Update is that I got the login credentials, but it's a 30-day free trial for G Suites for Education (I guess because of the academic license).  Now I'm in a kind of limbo waiting to see if the G Suites for Education gets "approved" for us (I've read here that public libraries are ineligible, but since it's already underway, I'm just waiting to hear back from them).  Has anybody had any experience with Academic licenses being managed through G Suites Basic?  Despite being a public library, we are not a 501c3 sadly.

Hi Duncan,
My understanding is that in the past Google had a Non-Profit category of free license, but at some point in the more recent past they phased out the name of the Non-Profit category and grandfathered their old "Google for Non-Profits" users.  They have also conveniently changed the name of the program from "Google Apps" to "GSuite".

So you can work with the GSuite for Education license, but you still will still need a domain and you will still need individual Chrome Management Licenses for each of the devices you "enroll" onto the domain.

We did it both ways, as Google for Business (GFB) and Google for Non-Profits (GFNP).

Two years ago we could not qualify for GFNP as a library, so I purchased a new domain from GoDaddy and paid the $5 per month fee to have 1 GFB account and managed 25+ ChromeOS computers through this account, and still do. Once a license is purchased for a domain, it cannot be transferred. So we still manage our hardware through this account and pay the fees, but you only need one "user" so for about $75.00 per year we are managing our public computers.

This year (and finally migrated this week) we applied for a GFNP account through our library foundation which is 501c3. Many libraries in Missouri were doing this and I had assurances that it was perfectly fine with Google for a library to do this. We did have to establish a TechSoup account for the foundation to get a "code" use in the application process. We migrated all staff email accounts and plan to use the full G Suite package. One word of caution, GFNP is the "Basic" level and it does not come with Google Vault for email archiving, which I thought it did. And we are setting up our Chromebits for digital displays with this domain account, not our GFB domain.

I agree, it would be nice if there was a step-by-step process somewhere or at least a decision tree that shows you where your decision points are.

I'm a little unclear, are you saying that you're still using your GFB account, but have supplemented it with a GFNP account?  Does that mean that we couldn't switch our current domain and G Suites account over to non-profit if we decided to turn it over to our Friends of the Library organization?

Yes, we are still using both accounts.  When you buy a hardware management license, you have to register it to a domain, and these licenses are not transferrable.  So, if we wanted to “move” our hardware management over, we would have to buy new licenses.  I am registering new licenses with our new domain, to manage our Chromebits for digital sign displays, so our hardware will be kind of split.

 

I am still thinking about buying new licenses (we get ours through CDWG) and moving the hardware over but then we’d have to change our Google Cloud Print setup and I just feel like if it isn’t broke, don’t fix it.  management of public computers and OPACs is running smooth with LibData, so I am not going to change that unless we have problems or issues.

p.s. you don’t really need to “turn it over” to your Friends, just get their permission to use their 501c3 to register with Google for services.
