ChinaGSD 2016 Board ELECTION !!
ChinaGSD Harvard
Dear members and friends of ChinaGSD, As the end of 16-17 academic year is coming, ChinaGSD is now about to hold the election for the new executive board,including president and executive VPs. Given the past experience, we are hoping to maintain the basic structure of our organization from previous years, meaning that there is going to be one (1or 2) position for president and 3 positions for VPs.
President and Vice President Candidates are required to have experience of organizing ChinaGSD events or have relative experience.
Current ChinaGSD President and President from the past are not eligible to run for candidates.
Below are more detailed explanations to the steps of the election process:
1. By 11:59 pm this coming Saturday (April 9), all candidates for president and VP should submit their 1page proposal for ChinaGSD in the coming academic year, with their official names, programs, and intended graduation year, submitted to (chin...@gsd.harvard.edu). Each co-president team should only submit one (1) proposal with both candidates’ names in it. Candidates for president/co-presidents should also at the end of the proposal clearly claim if they intend to be considered for the VP positions if not elected as President.
2. On Monday April 11, from about 6:00 pm to 7:30 pm, all candidates running for president (candidates for VP NOT included) should prepare a no-more-than-10-minute presentation to the current board members and a larger audience about their proposals. Formats and media of the presentation are up to the candidates. This is open to all GSD students and student groups. The current ChinaGSD board are required to attend the meeting.
3. Anonymous online vote system for President (VPs are not elected at this stage) will be open starting from 0:00 am until 11:59 pm on Tuesday, April 12. Link to voting page will be sent out to all ChinaGSD members together with the written proposals of all candidates. All ChinaGSD members are eligible to vote. One person shall vote for only one individual candidate or one team of two candidates. Any extra vote(s) from the same person will cause his or her original vote be invalid as well.
4. Statistics and result of the voting will be released to all ChinaGSD members at 1:00 am on Wednesday, April 13. Shall there be a tie on the number of votes for the top 2 or more candidates, these current ChinaGSD board members will be asked to vote to select the new president of ChinaGSD. (limited from within the list of the tied candidates only) The final result will then be released at the same time the next day.
5. Anonymous online voting for VPs will be sent out and open starting from 0:00 Wednesday April 13, or 0:00 Thursday April 14, if extra round voting for President is required, till 11:59 pm Thursday April 14. All results will be released at 1:00am on Friday, April 15.
6. Rules and processes of voting:
1) There will be NO public presentations for the VP positions
2) Stepping-down President and VPs together with the newly elected President/Co-Presidents shall not vote via the online voting system, but will have a five- or six-people internal discussion and vote based on the quality shown through the proposals and past experience of the candidates. Results of these two parts of the voting will be weighed in a 75% (all-member voting)-25% (board member voting) pattern to reach the final result, as a percentage no more than 1. (Say a candidate gains 50% of the all-member votes and 2 out of 5 of the President board-member votes, his or her final count would be 50%x75% + 40%x25% = 46.5%)
3) Candidates running for the president should have participate in or organized ChinaGSD's major events before or have the relative experiences.
7. The final list of elected candidates will be open for inquiry from April 16 to 18.
8. we sincerely invite volunteers who are not Board members to join us in monitoring the voting results. We will share the data with three volunteers. They shall examine the result independently and come up with a individual report of the result. If any of their reports shows a different result than the official one, we will look into the matter to make sure the final result is accurate.
9. We will select the first and the last who reply to this message by 6pm Friday April 8, and both of them will select the third volunteers together from the list. Screenshot of the email chain will be open to all members.
