With the end of the spring semester rapidly approaching, it is important that you take time to review the information in this letter related to checking out of your residence hall space at the end of the semester.
1) Checkout dates and times: You may checkout of your space beginning on Friday day, May 11, 2012. The deadline to vacate and checkout is 10:00 pm on Friday, May 18, 2012. Checkout hours are between 8:00 am and 10:00 pm.
Note: You MUST check-out by 10:00pm, Friday, May 18, 2012.
To checkout properly,
Any resident not returning his/her key and signing all documents by that date will be assessed a lock core change fee of $65.75 and an improper checkout fee of $25.00.
Keys should only be returned to staff at the service desk. Do not give keys to any other person to check out for you. Because we have a quick turnaround for our halls (they are used for summer conferences) you will NOT BE ABLE TO RETURN ROOM KEYS BY MAIL, FEDEX, UPS, ETC. All resident ID cards will be de-activated at 10:00pm on Friday, May 18, and residents will not be able to access the building.
2) Request for Late Checkout: Anyone who has extenuating circumstances and needs to have a late checkout (after 10:00 pm on Friday, May 18) must do so by completing a late stay request form. The late stay request form should be picked up and returned to the service desk NO LATER than Friday, May 4, 2012 by 4:00 pm.
Only students with a significant reason to stay will be approved for a late checkout. All residents who have been approved for a late checkout must also check out properly at their Service Desk (Please see section 1above). If approved for a late departure, you will need to pick up a temporary building access card at your building service desk no earlier than Wednesday, May 16, 2012, at 6:00 pm and before 4:00 pm Friday, May 18, 2012.
3) Checkout Process:
Prior to Checkout - Please negotiate with your roommate(s) the cleaning duties/ trash removal prior to closing.
To assist with your cleaning efforts, cleaning supplies will be available at each service desk throughout finals. However, in order to pass the final room inspection, the room must be:
· free of all belongings and all debris (please refer to pg 2 Section 4 for more details)
· the floor must be swept and mopped and all trash taken outside to the dumpster
· the desk, chair, and dresser should be present, emptied, and cleaned; and the closet doors correctly installed
· the walls, ceilings, windows, and door surfaces should have all tape, pins, tacks, and gummed adhesives removed
· the room must be returned to the condition in which you received it as you checked into the room
· students choosing an express checkout are still responsible for doing all of the above
When ready for Checkout – Go to the service desk when you have completed all of the steps above, where you will complete an Express Checkout. – Residents simply turn in their room keys, sign their key card, and sign the Express Checkout Agreement. By signing the Agreement, you are agreeing that you have left your room in move-in condition (completed all the steps indicated above), and you waive your right to dispute/appeal any damage charges. Your room will be inspected and a Room Condition Report (RCR) completed by an RA after you leave.
DAMAGES: Each room will be inspected for damage that may have occurred throughout the school year. You will be billed for any items that are missing, unusable, or represent a significant future replacement and/or repair cost beyond normal wear and tear. Unless otherwise agreed upon in advance, all residents of the room will equally split the cost of any damage assessment. If you would like to accept responsibility for any damage that has already occurred (and thus avoid having your roommate(s) billed for a portion of that damage) in your room, see your RA.
BEDS: Residents who disassemble and "flip" their beds; in other words, students who actually use tools to disassemble their beds and turn them upside down to make their bed taller, MUST put the beds back in the original arrangement. Failure to do so will result in a financial charge
BEDLOFT: A representative from Collegiate Marketing will pick up your product after the residence halls close. If you have made any room changes in the year, Collegiate Marketing will need to have this information (building, room) updated and current. It is the responsibility of the student to contact Collegiate Marketing online at www.bedloft.com. Please email this information to Bedloft at the address on their website in the "Contact Us" area. The toll free number is 866-657-5638.
PLEASE NOTE: If for any reason you removed any furniture from your room and stored it in any location, it is YOUR
responsibility to ensure that all furniture is back in your room BEFORE your checkout. Residential Facilities is NOT responsible to return items to your room. It is important to note that if a resident does not checkout properly, the resident will be assessed an improper check out fee..
4) Trash Removal: You have probably collected a large amount of items in your room throughout the semester and academic year. Any items that you do not intend to take with you at the end of the year should be disposed of properly. Please note: if trash is left behind, each collectable item can result in a $25 charge.
BULK ITEMS Any large items that you wish to discard should be taken out of the building to the large dumpsters placed near your building. Bulk items would include PERSONAL FURNITURE & CARPETS, CINDER BLOCKS, LUMBER, FRIDGES, ETC. Please place cinder blocks beside the dumpster, as a non-profit company in Baltimore will pick them up to recycle.
DAILY TRASH Please recycle appropriate materials, such as paper, glass, and plastic. Before finals begin, we will have trash bags available at the service desk of the buildings. You should use these bags for food items, and non-recyclables. Place your trash in one of the bags, and take it to dumpsters provided outside your building.
GROUP BILLING Residents may be held collectively responsible for damage, theft, loss, or special service costs required for the common areas or to university property within the residence halls when individual responsibility cannot be determined, and when deemed necessary by Resident Life staff members.
5) Change of Address Cards: U.S. Postal Service Change of Address cards will be available at your service desk in early May. Stop by to fill one out to make sure that your mail is forwarded to you appropriately. Please note that only first class mail will be forwarded.
6) Quiet Hours: 24-HOUR QUIET HOURS will begin at 10:00pm on Thursday, May 10, 2012.
7) Closing Website: You can access other information and suggestions about May 2012 move out on the Department of Resident Life’s website at www.resnet.umd.edu under the Hot Topics section. Once in Hot Topics, click May 2012 Moveout .
8) Moving Day: As you prepare to pack and leave, make sure you do not park and/or leave cars unattended in any of the fire lanes, as they may be ticketed and or towed. Please use the designated parking areas during the moving process.
