Hello everyone.
Looks like the last week lead to a lot of complications, which led to
a lot of questions, discussions and confusion. Anyhow the common
understanding now is that CFTT journal is a project coordinated by
Denise, Dayo and myself.
The first issue will be aimed at being published around December.
(this is the general consensus).
While the articles have been finalised, the summer conferances will be
held during September and October. November is for further internal
discussion, final reviews and editing processes. And then the articles
will be released in December!
In the meantime, we can continue with our discussions on logistics,
the future etc. This will anyways be reviewed after the publication of
the first issue. We can have a conferance on that sometime in
January.

So now, Coming to some other logistical matters, Denise, Dayo and me
have outlines our individual roles and responsibilties.
Will state them below. Please do give your feedback!

Krittika: Articles coordinator
Job function will include(but not limited to):

Working with members to come up with areas which articles will address
(Energy Efficiency can be a starting point for the first edition)
Liasing with contributors of articles
3.Coordinating the summer conferences across the world
4.Working with articles contributors in getting the articles in on
time.
5.Defining the format in which we are expecting articles and
publishing the same for CFTT members

Denise: Articles Editors:

1.Editing and proof reading articles
2.Responsible for final compilation
3.Handling correspondence with other interest groups

Dayo: Layout Coordinator(but not limited to):

1.should be responsible for formating the articles sent in to make it
fit for publishing
2.Should come up with columns (and other regular features in the
journal i.e. Opportunities, Meet my town section, etc) and handle the
organization
3.handling the organization till the editing happens

These have been outlined keeping in mind everyone's time commitments
and networking capacity. The intricate outlining of the roles needs to
be done and I will set it up on the wiki.
As for now, it looks like the immediate action needs to be taken up by
me (as the articles coordinator).
And as I had mentioned below, I am having some internet problems as
well. but let us see how we can work with this. I will come up with an
action plan and post it up on the wiki and the groups by tomorrow.

Igi,

Thanks for the summary! Superb! Just a few points;

1. I won't be a part of any summer conferences as I'm operating alone
from the UAE but representing Sri Lanka. I hope this is ok?
2. Could you kindly contact and follow up with Grace to find out what
her article would be? She was interested in contributing when I spoke
to her. She is also a part of this google group.
3. I will speak to 2 others from the south who might be interested in
contributing and introduce them to you so you could coordinate /
follow up with them.

Would there be anyone else from AYICC or the Intervarsity Network who
would be interested in contributing to this journal? Things are taking
shape fast. Probably you could arrange a summer conference in Nairobi
to coordinate any combined articles from Kenya?

Denise,

Let me know if you need a hand with the proof reading and reviewing. I
do it for a living, so I must be good at it ;) Hehe!

Hi! One question for you. Will each article carry the contact details
of the author(s)? Is this how we would expect others to get in touch
for post publishing discussions?

Hi. Do not know if I will be able to upload this on wiki yet as I seem to be running out of time. Will try. as of now, here goes.

As Articles Coordinator (AC), I am outlining some timelines. They are negotiable :)

August 31st, 2009: People who are writing articles, give outline plan to AC. This outline plan would include: Who are you collaborating with to write the article, what are you writing about and how do you plan to go about it (details of summer conferances etc). Contact details of all the members of your group should be included in this outline plan.

The theme for the first journal is Energy Efficiency. Someone PLEASE correct me if I am wrong.

I would also like a bi weekly report from each of the groups on the progress they have made with collaboration, writing and other logistical information. This is not to sound dictatorial but just to make sure that nobody is having problems with their groups. Just to keep everyone on the same page

All this stuff will be put up on the wiki/group by me.

If articles are being written by a group of people, a group leader/coordinator should be chosen and her/his name included in the outline plan by August 31st, 2009.

September and half of October would be reserved for summer conferences. In the 17th, 18th week end of October, we can hold a stock-taking conferance, where all groups will come together (video conferance) and make short presentations about their work. The points from the debate that follows can be included in the final article. This is the pre-publication conferance.

9th november, 2009: Final date for article submission.
5th/6th December, 2009:  Official publication of first issue of journal (both as blog and paper copy)

1st or second week of Jan, 2010: Post-publication conferance and future directions discussed.

I hope this will be Ok with everyone. Do let me know your comments. I would be grateful if someone put this up on the wiki. But if not done, I will try and do it by Wednesday end of day.

let this be clear though: you do not need to be in a group to write an article! even if you do not have the fun of a summer conferance, you would still be part of the pre-publication conferance, where your articles will be discussed and debated.

This is all I can think of now. I will send out another mail if I have missed some thing!

 @Harshini: Thanks for the question,glad you asked. I am of the opinion since of the aims of the journal is to stimulate a north-south discussion,all the articles should be sent in with contact details. Though the inclusion of the details in the journal depends on what the author prefers.

To every group members, we welcome suggestions to come out with the best possible work.

Dirk, Can you help me coordinate with the Dakar delegation by sending
them a copy of the timelines in french?
