Setting up Chromebooks for use by multiple pupils

Hi all,

I am attempting to set up a set of Acer Spin 311 Chromebooks for use in our school. The Chromebooks are intended to be shared by pupils across 3 different classrooms  .. i.e., each Chromebook will be used by a number of different users over the course of a school day.

I would be grateful if the following questions could be clarified:

1. Up until this point the students were accessing the Chromebooks using Guest Mode but now we now want each students to be able to log into a Chromebook using their own individual account. Some say there is no such thing as a silly question so......Is this best achieved by setting up a Google Account for each pupil and getting them to log into the Chromebook using that Google account, or should they be logging in using their own school Gmail account? (Is there a difference between these two options or are they basically the same thing?)


2. I came across a video recommending the purchase of Chrome Device Management Licenses for each Chromebook. Is this essential, and if so, what advantage does this provide?


3. Setting up each Device:
As regards initial set up of the Chromebooks, the initial screen presents these 3 options:
1. For Personal Use
2. For a Child - Use your child's Google account or a school account
3. For Work or School - Use your organisation's email address

It looks like option 2 or 3 could be used, but presumably Option 3 is the most relevant.
Choosing Option 3 provides 2 further options:
1. Enrol the device
2. Don't enrol the device

Presumably enrolling the device will help us to track it and control apps, etc.  What information is required to complete enrolment?

What actual account would you recommend we use for initial set up each Chromebook? For instance, a central IT admin Google account (or other) for every device or does it make a difference? What I'm thinking is that the account first used to set up the Chromebook will subsequently appear upon starting up the Chromebook from that point onwards, making it look like that account is the "owner" of that Chromebook. Maybe this is unfounded or doesn't matter?


As you can gauge from the questions in this post, any advice from the group (and/or links to helpful reference videos and material) to get us up and running would be greatly welcomed.

Hi Seán,

Based on your questions, I am assuming that you are not currently enrolled in Google Workspace For Education (https://edu.google.com).  If that is the case, then I would recommend you register your school as the first step.  This will allow you to create and manage accounts for all users within your school domain.  You can setup groups etc and apply relevant policies and permissions on each group level.  Many schools use different settings for teachers, students etc.

If you then purchase the device management license, you will be able to manage these devices, push apps etc via the admin console for Google Workspace.  You will also be able to use option 3 of enrolling devices.  Once the devices are enrolled in your domain, then all users will be able to login using their school email address and you will have greater control of the devices than if you do not enroll them.

Hi Séan,
We are a chromebook school, 4 classes have their own sets and we also share one set between 4 classes. Like Ciarán said the best way to manage this is to set up a Google Workspace for Education account. Each student would then be given a school email. 
Each chromebook then can be numbered and assigned to a specific pupil from a class. That way in your case you would only have 3 user accounts on the chromebook. 
As for the licenses we never purchased them. I manage the extensions and apps through the users in the admin panel and in our case it is fit for purpose. The fundamentals package is perfect for our needs. We are a large primary school in Kilkenny.
