Hello all at CESI,

Please could anybody tell me if they have deployed g-mail for their schools....

If so...

How many users?
What is the maximum number of users?
Do the students keep their e-mail addresses for life?
Do they have storage on Google Drive?
Can they use Google Sites?
Are there any restrictions?

And any helpful hints would be great.

Also,
Can existing e-mails from outlook be imported to g-mail.

Thanks for the help in advance.

All the best,
Tricia

Hi Tricia,

How many users?

650 or so in the last place I worked

What is the maximum number of users?

Not sure

Do the students keep their e-mail addresses for life?

If you wish I suppose, unless there's a limit for users.  We used to delete 6th years every August.

Do they have storage on Google Drive?

Yes, 2Gb I think

Can they use Google Sites?

Yes

Are there any restrictions?

Not that I know of but you can set use restrictions in the control panel.  Students and staff also have access to loads of Marketplace apps like Mailchimp.

Hi Tricia
We are rolling out google apps for education in our school this year.
We have 500 users, teacher and student accounts.
Don't know max users, I think its 1000
Emails for life technically, but we will be deleting students after they leave
30g storage between emails & drive
Yes they can use sites
You can put different restrictions on usage of Google apps, for example use of sites, group creation, Google+.

Bar a few teething issues, so far so good

We have been letting students keep addresses when they leave. I say to them that we can do this so long a Google keep allowing us to have more accounts each year. If they change policy then so will we. Currently we have 1240 accounts.

My school has also allowed students to keep their respective accounts. We've been using Google Apps for Education for five years now and our user accounts total 1,570. John Hegarty and Padraigh O'Dubhaigh have been great with sharing advice over the years.

Historically, the school has given accounts to only TY and senior cycle students. Last year, the school took a slightly different approach by providing the first year students with their @loretonavan.ie Google Apps accounts, but with the email component DISABLED (I wasn't too keen on policing First Year's use of email). As such, the first year students had access to Google Docs, Spreadsheets, Presentations, etc for authoring, collaborating and sharing their work with teachers.

With the buy-in from the first year English teachers, the first year accounts were rolled out in the context of the respective English classes . As part of this, each first year student created a folder in their Google Drive called English Portfoliio. This folder was then shared with the respective English teacher. Students authored select, pilot English assignments using Google Apps and, as the assignments were completed, the students copied them into their "English Portfolio" folder where the respective teacher could access as needed.

This year, we're rolling out the accounts with the first years in the same manner.

I really liked the idea of rolling out the Google App accounts to the juniors in a specific academic context, i.e. English portfolio. It sets the tone for how the accounts are to be used as opposed to "messing around with email."

The students really liked how they could be drafting content in school and then, once at home, log into their account and continue with their work. No memory stick and no need

The students could share their work with their respective teachers

Hi Trica,

> How many users?
2000. However with the edu addition Google will expand the limit as required.

> What is the maximum number of users?
See above.

> Do the students keep their email addresses for life?
We disable them when they leave the school.

> Do they have storage on google drive?
Yes they have full access to the google apps suite.

> Can they use google sites?
Yes

> Are their any restrictions.
The service does exactly as advertised and offers the full google apps suite to users.

In our setup we have it hooked up to our schools active directory server with user accounts, groups and passwords syncing. Adoption by students has been slow, some teachers have integrated it into their lessons and used it for publishing content.

Hope this is useful to you.

Hello Tony,

Sorry, I should have stated that also... I work as an administrator in an FE college which has over 1,600 students and roughly 200-250 staff.

We have something in place at the moment, but I myself don't think it is very good and would love to approach management and lead them towards Google.  I feel that most people are familiar with gmail and the transition to a college e-mail account would be much easier and more acceptable for both staff and students.

Want to get my facts right before I approach management.

All the best,
Tricia

Hi
I would really recommend looking at Anson Alexander videos  (re google apps - gmail, google drive, etc) on Youtube - they are excellent. Also might be worthwhile looking at ´setting up google apps for your domain´.
