School Amalgamation

Hi All
Our School (St. Patrick's BNS, Castlebar) is due to amalgamate with St. Angela's GNS this September to become Castlebar Primary School. There will be 2 campuses at opposite ends of the town with a total of approximately 730 students on a Senior Campus and Junior Campus. We are both GSuite Schools. We each have a set of ipads 30 & chromebooks 30 and IT rooms.
The IT committees from both schools are due to meet this week to put plans in place. I would really appreciate hearing from anyone with advice on integrating ICT systems and practice.

Will the new entity have a new identity - and therefore a new domain?

Wouldnt that be fairest - a new domain.and everyone uses takeout to transfer material.??

Good that you are both Google already

Maybe best to celebrate good practice in place. Figure out whats being done already.....eg shared drives, apps, extensions, add ons etc. In otherwords if someone prepares an audit tool. Would you consider asking PDST for help??? Having an outsider help might pave a smoother path and transition.

Thank you for your responses. We have secured a new domain and we are waiting on a Roll Number. We use Aladdin so all will have to be transferred. Regarding the Workspace accounts, will we be able to use our current accounts (i.e. those ending in @stpatsbns.eu/ @stangelasgns.ie) in September or will they have to be transferred to new workspace accounts  under our domain name?

Hi Caroline,

Best of luck with the amalgamation! We are in the same situation of you - two campuses 750 m away from each other. Junior building and senior building with one staff, set of grants, etc. 

We don't do anything exceptional in terms of ICT, but if you would like to chat you could contact me off list.

Set up the new domain, whitelist the old domains and that will allow sharing and tranfer of content.

Option 2 is to use one of the existing workspace accounts, whichever is busiest and add the new domain. Switch the new domain to praimary then you are only tranferring one to another as opposed to 2 to a new one

I will bow to more superior knowledge but I'd imagine as long as the 2 schools keep your original domain then the google will still work. However, I do think it  would be prudent to put a fairly short timeline on data transfer.

With regards to the domains I think Conor has created a great video that I think everyone should watch. 
I agree with option 1, I get asked all the time about workspace accounts being shorter, some schools have such long domains by the time the student finishes signing in the class will be over . 
 Eg. Hassan.Dabbagh @ Stanley st Cornelius of the land . Com  
They would much rather HDab...@ssc.ie . Just because you have a primary domain doesn’t mean this is what you have to stick with . 
I believe connecting the domains or more accurately, linking domains is straight forward as long as you have a plan.

+1 keep it short. Some schools go with their full name in Irish as a domain name. Good luck calling that out over the phone!

On the plus side for chrome devices you can apply a policy to prefill the domain name so the students only need to enter their username.

Hi Caroline, 

Another +1 on keeping it short.

And we did it for pupil access purposes.  Typing @ballanationalschool.com was a real challenge for many of them so we changed to @ballans.ie which works out so much simpler for Chromebook login and iPad usage of the Docs and Slides apps.

We added the @ballans.ie to the @ballanationalschool.com account and within that the old account can be transferred to the new account - Google Drive content, gmail and all.  However you have two domains to amalgamate to one so that would only potentially work for half of you.

Any tips for changing from gsuite school to office 365 and possibly with keeping the same domain name

HI Declan,

My hot tip would be "don't" (though I'm sure you're past the decision stage now).  I am part of another organisation which moved to 365.  It has been a never ending battle.  Although their key player in the office is top notch ICT, they had to enlist the services of 365 agent to carry out even the simplest tasks.  Good luck with the move but good old reliable google would be my choice where, even the non-techiest non-techie can feel at home.

I use both platforms with various organisations I have to say the biggest pain is trying to use Outlook for email when you are used to gmail! 365 is more fully featured in some ways but Workspace has a much better workflow for users.

I would concur with Nicky...

As with many things… beware who’s driving the move. I’ve personally been involved with 2 schools who were forced to move to 365. They were promised “centralised IT services” where they could simply submit a ticket and get an answer to a problem very quickly. I was brought in after no response whatsoever in 2 weeks, then a non-answer to the question, then a request for more technical data… from an overworked teacher who just needed an answer.

In both schools - after 18 months of headache, they ran dual systems (most moving back to Google Workspace) while fulfilling the “requirement” to use 365.

If the driver of the change is the company selling it to you… run away. If it’s being driven by “management”, smile and prepare for war. Money and supposed cost-savings is often the bottom line - rather than the needs of individuals.

A really good IT person is what is required. My son works for UCC in this capacity as their “Microsoft backend specialist” (you’ve no idea how much slagging he gets for that) - and he is driven demented from both sides - user and top tier support directly (kinda) from Microsoft…

Rant done. ;-)

As an actual response… you should have no problem keeping the same domain name - you (or someone) will have to change MX records in the backend so they point to the correct server, but that shouldn’t be a problem.

You can manage multiple domains from a single Workspace Admin account.


However I would strongly advise contacting Google Support for this, explain the scenario and they most likely will advise the best way to approach it.
