Hi everyone,


Just have two quick questions about GSuite for our school community.


Is there a cost to setting up GSuite for our school?

Is there a limit on the amount of user?

Hi David

There is no cost and, as far as I am aware, no limit to the number of users.  You need to provide proof of eligability to gain access to the Google for Education functionality.  It is a relatively straight-forward procedure.

Hi David,
G suite is free,  has unlimited storage for students and staff and, as far as I know unlimited users - there are large schools in Ireland using it and school districts in the US using it.

If you are a primary school going this route I would suggest having someone like 
 assisting you the appropriate setup for your school - they are quite inexpensive as Google has provided some funding for them to do this.

There is NO COST if you set it up but if you use a third party then there is. 

It’s straight forward and shouldn’t be an issue to setup. 

The only thing they look for is proof that you are a school etc, I’ve used images, domain confirmation keys as well as a google hangout were I was talking to someone as I walked through the school and took images of classrooms and the outside of the school, very bizarre but straight forward. 

To date some there are so limits however I’m sure there’s a fair usage policy but between me, you and the list, there’s one school I manage that has 700 users but that is more down to me not getting time for a tidy up. That brings me nicely only management, it’s straight forward and user friendly. 

I honestly can’t recommend it enough and the CESI tribe has any number of users who I’m sure would be happy to help you out .

Hi David,

I echo all the previous posts… there is no charge for setup and usage.

If a 3rd party helps you with the setup - there would be a minor charge I’m sure.

However - setup is relatively straightforward and once setup - it’s a dream to use. Literally removing and adding new teachers in one particular school myself at the moment.

The only cost element is if you opt to buy chromebooks and provision them into your gsuite .ie manage them through gsuite. I think it is a 3 year licence at 20€ per device approx.

It seems we can’t get access to Enda’s School because we don’t have an @Enda’s schools email address.

 

Setting up staff in G-suite is straight forward and something you can do yourself and there are plenty here to give you a hand. Start small and learn as you go, then sit down and say “ RIGHT!, I want to do A, B & C with a focus on B, who do I pay to train us in the are of B.

Thanks everyone, I had a good look at it this afternoon. Had an issue with our schools domain, I think another teacher may have created an account using it before so I will try and figure out who or if I can’t find out, I’ll look at creating a new domain.

When I was setting up the GAfE I got a training day from Camara.ie, there was an offer so there was no cost. It was a very good session and prepared me for some of the initial problems that I would encounter.

You can use WHO IS to find information about who owns a domain. Sometimes it might be a generic company which might need a bit more chasing but often it will give you useful contact information. For the details of my school for example it shows an email address I can be contacted at

:-)   Point is: the most common seup for staff is MS-based with G Suite for learners only, but there are schools who go the google-route too.

Yes and No. Yes if you’re staff/students are very experienced and happy to just use the web interface…

If you want desktop/laptop versions - No.

The only cost is if you need to buy your domain if you do not have it already, however for G Suite itself, no.  I am a Google Certified trainer, so if you have any questions, please feel free to reach out, I will help in any way I can.

What Chris said and many before him, google is Free on-line with free offline options for phones, tablets and PCs . 
365 free online and free online for phones tablets and PCs .......... this is the bit that’s gets everyone, 365s offline version is Word Excel etc etc (MS Office) and that’s what costs the money and the setup involved.

TBH - I have a few schools who are happy to just pay the cost, and a few schools who have - then thought… “er, can’t we just use Google’s tools completely free?” And the answer is yes - GSuite is free (but also online)

I generally gently move people towards the excellent LibreOffice which is a simpler version of MS Office - and includes database and drawing tools. I find there’s little upskilling and many benefits.

I would say the largest part of my non-productive time these days is working out how to link Apple, Office 365 and G-Suite functions/information that the three have deliberately designed not to link except for the desktop versions. This is the thing people don't necessarily understand about Office 365 - a lot of the "premium" functions that people value are generally paid for or not available on mobile unless you pay. So I agree with Chris' suggestions of Libre Office in some situations - it is often what will work - but find it hard to sell to nervous non-IT types. Simplest - stay G-Suite... it does most things.

TBH - I have a few schools who are happy to just pay the cost, and a few schools who have - then thought… “er, can’t we just use Google’s tools completely free?” And the answer is yes - GSuite is free (but also online)

I generally gently move people towards the excellent LibreOffice which is a simpler version of MS Office - and includes database and drawing tools. I find there’s little upskilling and many benefits.

In my view it is not realistic to run a school entirely on O365's cloud-apps and a school that tries it will therefore add O2016 for teachers first, and later for many students as well.  If that is true than the licensing costs will be low compared to the support and licensing contracts on the clients. So,  from that perspective a school that sees IT from a Windows fat-client + MS-Office perspective will stick to that in order to avoid upsetting staff with a lot of newness. Then put the kids on the cheap cloud-only-versions, which will remain device-centric in the sense of "wanting the 'real-thing'" will remain aspiring to have full-office on all clients. Learners will perceive the cloud-versions as slow and less capable.  

I realise that this could easily turn into a less objective thread. Are there objective reports on how attainable it is to run MSO in the cloud only for a school? G Suite is already being used in schools without having MS-Office installed and preferably on Chroembooks or iPads so it is certain that there are no "Grey" installs of office on the clients. 

How about a collaboration comparison? I have worked with up to 12 learners in a shared document wiihout ever losing a document. I have collaborated with 1 other person in 1 online-word document where the other copied a table from a web-page into the document. The browsers started giving errormessages and the document had become damaged to the extent of having become inaccessible. Has anybody seriously tested the reliability in collaborative use comparatively? 

In my view:
O365 free doe allow web-access anywhere but has serious limitations because MS sells the more capable non-web-version of office for money. It does alllow MAC and Win clients quite well, but MAC does not allow MS-Access to be taught.  Schools that use it will find that they need separate fat-client support for drivers, videocards, antivirus etc. So teachers will need tto be more technically proficient in recognising errors. 
G Suite does not have a non-web-version that outcompetes it on features. So you will not be locked into the PC-based version. It allows Linux, ChroemOS, MAC, Win clients equally.  G suite has been deployed in schools where the coordinator updates the web-based user-info and outsourced WiFi with very little technical knowledge/experience and the teachers only use Chroembooks with very little technical knowledge. 

There are great teacher working with Google, Apple and MS stuff, so I hope my observation that G Suite is pure-play web and therefore easier for distance learning does not lead to a "war" and we stick to objective arguments. I am not saying everybody should go pure-play web.

I wonder can I ask those in the know on the list - how does GAFE compare to O365 when it comes to security and the ability to lock down everything as will be required by GDPR.  I've listened to someone speak about O365 and its abilities to be totally compliant with Data and how it controls sharing, and what data can be downloaded/edited on Teachers personal devices.  Is GAFE capable of this?

I'm wary of suggestions that we need to "lock down everything" to comply with GDPR. 

I expect all the major players will be GDPR compliant and if we use their software sensibly and with due care and consideration we will be too.

Competition between O365 and G suite should keep the prices comparable. 
For many having a software defined network in the cloud will still be preferable to having server hardware somewhere.

At BETT I spoke to anyone who would listen to me about GDPR and here ‘s the thing.

 

  1. BOTH Google (g-suite) and o365 are GDPR compliant . so this argument that one is more compliant than the other has to be put to rest.
  2.  It’s up to us (the school) to do everything in our power to protect the data we control, when the GDPR police (no such thing) ask the question what are you (the school) doing to protect the students details, what procedures do you have in place, we need to be able to show a set of procedures .

This also means Parents, Students and Teachers can ask to see what information we the school have on them.  

( this by the way means that YOU can ask, FACEBOOK, Twitter, the ESB the RTE etc what information they hold on you. )

 

I’ll be doing a soap box (hopefully) my application hasn’t been accepted yet at the CESI teachmeet so please feel free to come over to ask me questions. I’ll also be visible on the Saturday of the conf. so feel free come up to me. ( there’s going to be more super heroes around so keep an eye out )

 

I’m trying to learn as much as I can about it with-out doing a Law degree. GDPR is so much fun 😊

One of my non-education client companies, which operates globally, has taken high-level advice on GDPR that's specific to their situation and business. Apart from the need to have traceable procedures, and to re-validate existing databases for specific, not general permission to hold contact data, they have been advised that the differences to existing regulations are minimal. Mostly, these involve slight changes to the text of online forms that collect data. So beware of the GDPR advice gravy train... you're probably 85% compliant at least already. I'd worry more about whether your data backup processes are robust, as you do have a duty to keep the data that is held safely. Hoping to finally get to the CESI meet this year...
