system for booking carts & computer room

Hi all,

With the start of a new school year, might some be willing to share or describe what type of system their school uses for teachers to reserve laptop carts and/or use of computer rooms? 

I'm in a 800+ student secondary school and, thus far, we've used a hardcopy sign up sheet in the staff room. This year, the school is adding additional resources, so we'd like to go digital - if it is practical.

Resources available for booking:
  • 3 Computer Rooms
  • 4 Chromebook Carts
  • 2 Assembly Rooms
We're a G-Suite school and use VSware.

Add those items as resources in G-Suite Calendar and setup up a dedicated equipment calendar for scheduling bookings....

If you are going to let teachers book themselves then they all need write permissions to calendar which means they can also delete!

We use the Room booking option on VSware. 

The numbers in green show how many rooms are available for a given period, we need to add descriptors but the pattern is Reg, P1, P2, Break, P3, P4, Lunch, P5, P6.

When you click into a specific period you get a nice list of the rooms available and an option to book. Some screen shots attached.

I've also used the room booking in VSware, the user interface is bit confusing but once you get used to it, it's certainly functional.

I noticed this came up in the GSuite admin console recently:

I've not played around with it but I like that it has nice statistics on what's being used. Could be a fun experiment to try out!

Hi Tom,

Why not use the room booking facility on Vsware for the computer rooms and assembly rooms and create virtual rooms for the carts also on Vsware. It allows people to see when they are available and manage their own bookings.

Hi Tom,

We have a laminted A4 page on the wall with a grid with each square representing a day-period. Teachers can write on it and then erase as they need to. Great for teachers who might need the room for a few weeks for a CBA and then not need it again. 

I know you wanted something digital but it might be a good-stop gap until something better is found?

Primary Schools don't have Vswear! so we use Google Calendar. We found teachers had difficulty ensuring they were on the correct room/resource when the various calendars were shared with everybody so we set up a calendar for each item/room.  Works a treat and the beuty is you can view it from anywhere in the world.  So even sitting on Bondi you can book away.

have you considered using google calendar? Set one calendar up for each resource and colour code them, give staff a quick demo of how to book and view availability. I use it albeit in a smaller school with less resources but find it works a treat.

Hi Tom

We are an ETB school that uses VSWare. We added 2 chromebook trolleys as classrooms eg Trolley 1 and Trolley 2 on VSWare and teachers book the trolleys using the room booking feature on VSWare. It works great and saves the rows over who took the trolley! 

You can see from the system who had it last if it hasn't been returned or put on charge. Trollies are flat out when CBAs are being completed so its important to have an efficient booking system operating.
